ENROLLMENT SERVICES DIVISION COUNCIL MEETING DATE: MARCH 20, 2015 Chairperson: William Garcia Members Present: Eman Dalili, Alexis Estwick, Kimberly Garcia, Lorena Garcia, Julieta Ortiz, Ngoc Tran, Breanna von Stein Recorder: Lucy Nelson The meeting began at 9:00 a.m. The new student representative, Eman Dalili, was introduced to the committee members. Review of the February 13, 2015 Meeting Minutes 1. Name correction for Kimberly Garcia. Removed Julieta Ortiz as a member present. Updates 1. The April 10, 2015 Division Council meeting will be rescheduled. Emails will be sent to the committee members to choose a new meeting date, either April 4th or April 24th. 2. Bill Mulrooney from Admissions & Records expressed concern at the statewide level that the CCCApply application confirmation numbers are very similar to our Colleague student ID numbers. Students are mistaking their ECC ID numbers with their CCCApply application confirmation numbers, creating problems entering student data in Colleague by Counseling, Testing and Outreach. 3. Students were minimally affected by the delay in posting final grades by A&R. The Financial Aid delay in the SAP appeal process was resolved. 4. Thirty-four new computers were installed in the Testing lab and ten more are on order. 5. Starting on April 1, 2015, financial aid students will receive their award letters in MyECC if they have applied for financial aid and are eligible. Students will also be notified if they are missing documents. a. Students who submit all of the required financial aid documentation by June 1, 2015 will receive their disbursement the first week of August 2015. Is there is a flyer to promote this incentive? If so, it could be posted on the Student Services Center lobby plasmas or given to Outreach counselors to promote at the high schools. 6. Testing staff are seeing many students confused about the last date to qualify for priority registration. Students should go to Counseling first with their AP scores. Students still need to test even with their AP scores if the math or English portion is not satisfied. ECC’s spring break hours do not appear to be communicated to high school students. A large number of high school students have been coming in too late to test during ECC’s spring break. Can ECC spring break hours be added to the class schedule? They can be added to the Outreach Counselor’s guides. 7. March 31, 2015 was the deadline to complete the requirements for Summer and Fall 2015 priority registration for new students in and out of the district. 8. Experimental academic courses were offered for a trial one-year period. W. Garcia will find out if they will be offered in Fall 2015. 9. Few minor changes will be made for this year’s commencement. Volunteers must get the approval from their managers to participate. 10. Student ambassador applications will be available on Monday. The number of Outreach student ambassadors hired will increase to forty; there are twelve returning student ambassadors. STEM and Outreach will work together in their recruitment of student ambassadors. Outreach ambassadors will also work at the Information Desk and Financial Aid Lab. STEM student ambassadors will lead STEM activities, conduct STEM tours and give enrollment information. 11. The AB 540 flyer was updated and is now a one-page document. The flyer will be forwarded to the Division Council members. The changes to the flyer reflect changes made by the state legislation on eligibility. The changes will not affect financial aid students. 12. Dipte Patel was selected as the new Dean of Counseling starting April 1, 2015. Committees are in place to select the Director of Student Development and Assistant Director of Financial Aid. The meeting adjourned at 9:34 a.m. 2
