University of Bolton Job Shop Code of Practice
The aim of the University of Bolton Job Shop is to assist students who are looking for work
and to make appropriate contact with employers who wish to fill part-time, casual and
temporary vacancies.
The Job Shop will not enter into employment contracts with students or employers. All
employment contracts are to be agreed directly between employer and student.
The Job Shop is run by and is part of the University of Bolton Careers Service.
The Job Shop will advertise the following positions:
 Full time graduate level roles
 Part time work (up to 15 hours a week)
 Temporary work
 Vacation / seasonal work in the UK and abroad
 Graduate schemes
 Work experience placements
The Job Shop cannot guarantee responses to vacancies placed by employers.
The Job Shop and Students
All current students at the University of Bolton will be able to access the Job Shop service
and support. It operates in the following way:
1. On a day to day basis, the Job Shop will ensure that registered students have
appropriate access to job vacancies. Information will be displayed on the notice
boards within the careers centre and also on the online vacancy system powered by
Graduate Prospects.
2. The Job Shop will ordinarily make information available about all the suitable
vacancies it receives: students will take responsibility themselves for pursuing the
vacancies.
3. The Job Shop will provide students with employment and vacancy information that is
up-to-date and as accurate as possible. All information provided is given in good
faith and is based on information provided by the employer. Students must confirm
for themselves that this information is accurate before accepting employment.
4. It is the responsibility of students to ensure they have the relevant skills and
qualifications required. The careers service staff will support students in making any
applications and will help them to assess their suitability for the post.
5. The Job Shop will not disclose the personal details of students without their
permission and will abide by the requirements of the Data Protection Act 1998, and
any other legislation related to the electronic storage of information.
6. If any student is dissatisfied with an employer and believes them to be in breach of
any employment law, then the Job Shop will act by providing what advice it can and
then will of course refer the student onto an appropriate specialist agency. The Job
Shop will not act on behalf of the student in any dispute with employers.
7. Any students that fail, without good reason, to attend a pre-arranged employment
interview, or who otherwise abuse the services of the Job Shop, will be restricted
from using the service and will be removed from the database.
8. Students are asked to keep the Job Shop informed of any changes to personal
details such as address and telephone number. The Job Shop will not accept any
responsibility for errors made due to a lack of up-to-date student information.
9. Students are expected to be aware of their own study commitments and not take
employment that will adversely affect their academic work, for example, by accepting
working hours which will clash with lecture times or by exceeding a reasonable
number of working hours. The Job Shop recommends that full time students do not
work for more than 15 hours a week.
10. International students from outside the EEA who are studying at the University of
Bolton under a student visa are expected to be aware of any restrictions that their
visa places on their ability to work in the UK.
The Job Shop and Employers
The Careers Service aims to promote employers and their opportunities with a high level of
efficiency and accuracy, whilst working in the best interests of current students of the
University.
General requirements for employers advertising vacancies for students and/or graduates
are:
1. When using our vacancy advertising service we require employers to provide:
 A brief description of the organisation, including a postal address and/or landline
telephone number, the job title along with a brief description of the role.
 A personal specification outlining the necessary skills required and the
employment conditions wherever possible. The employer should also state the
number and distribution of hours to be worked, and where feasible, the date the
employment will end.
 Details of how you would like interested students/graduates to apply and a
closing date.
 Details of a website or other contact details where applicants can obtain further
details about the vacancy and/or organisation.
 Remuneration details confirming that pay meets the national minimum wage
standards. Details of the National Minimum wage can be found at
www.dti.gov.uk/er/nmw/index.htm
2. Employers are asked to check that all information provided is accurate, true and not
open to misinterpretation. It is the employer’s responsibility to check all details prior to
submission, as the University accepts no liability for errors.
3. Where vacancies are advertised on behalf of a Recruitment Agency, the client must be
made known to the Job Shop (details of the client will not be passed on to students
without consent).
4. The employer shall satisfy themselves as to the suitability of any employees and shall be
responsible for taking up any references provided by the employee before engaging
them in employment.
5. It is the duty of the employer to meet all the statutory legal requirements with regard to
students employed via the Job Shop. In particular, the employer is reminded of the
following requirements:
 Payment of National Insurance contributions, income tax and other taxes
where appropriate
 Adherence to relevant Health and Safety regulations
 Provision of adequate insurance including any specific insurance relating to
young people under 18 years of age
 Compliance with all equal opportunities legislation
6. It is the responsibility of the employer to let all candidates know the result of an
application as soon as possible and also to inform the Job Shop as soon as a post has
been filled.
7. It is the sole responsibility of employers to check and verify that individual applicants are
legally entitled to work in the UK.
8. For part-time vacancies the employer should be aware of students’ study and exam
obligations and not ask them to work in excess of 15 hours per week, except during
holiday periods when they do not usually have the pressures of study.
Disclaimer
The Job Shop has no obligation to promote employers and their opportunities and reserves
the right to decline to advertise vacancies which it reasonably believes not to be in the best
interests of either students, graduates or the University. In particular, this will usually include
vacancies which:
 Promote or endorse illegal activity.
 Require an up-front financial investment by the applicant.
 Are connected with a ‘pyramid’, ‘network’ (or similar style) selling scheme.
 Involve writing academic course-related materials which may be used by other
students.
 Require the taking of medication or other forms of treatment, such as
participating in drug trials.
 Are salaried positions which do not pay an hourly rate that meets the national
minimum wage.
 May directly or indirectly discriminate against candidates on the basis of race,
colour, nationality, ethnic or national origin, religion or belief, disability, sex or
age.
 Require photos of applicants.
 Involve students working in private households unless organised and insured
through an agency.
To avoid any uncertainty: the University of Bolton does not accept any liability whatsoever
that may arise out of the content of any job advert.
The Job Shop reserves the right to edit vacancy adverts for purposes of brevity and clarity.
The University of Bolton does not accept any responsibility or liability whatsoever for the
performance and/or behaviour of students and graduates either during the application
process or as an employee of the organisation.
The University of Bolton shall not be liable for any loss or damage suffered by employers
arising from, or in any way connected with, the introduction of an employee to the employer
by the University.
The University of Bolton does not accept any liability for loss, damage or inconvenience
suffered by an employer where access to the vacancy system is suspended or lost through
circumstances out of the control of the University.
These guidelines are designed to increase mutual confidence and provide a framework in
which to operate. Whilst the Job Shop is in no way obliged to take action against any party
breaching any of the issues outlined above, access to its services may be withdrawn from
any person or organisation breaching this Code of Practice.
The placement of a job vacancy with the Job Shop shall be regarded as acceptance of this
Code of Practice.
