University of Oklahoma EMPLOYMENT BENEFITS COMMITTEE NEL Room 215 January 21, 2016 Present: Committee Members: Don Clothier Will Wayne Renda Passek Glen Pinkston Karen Rupp-Serrano Debbie Copp Jannie Porter Jeff Berry Les Hoven Lindsay Mitchell Dron Silas Michael Kramer Others: Angela Hawpe Call to order 1:32pm Approval of Minutes (Hawpe) Advised that due to Jessica Cadotte’s maternity leave we do not have last meetings minutes. Once the minutes are completed they will be emailed out and approved via email. 2016 Preliminary Enrollment Information (Hawpe) Plan enrollment was as expected. There was a decline in the HMO due to the plan increase. PPO inversely saw and increase in participants. ConnectYourCare Transition Update (Hawpe) As of December 21st cards were supposed to be mailed out. In actuality they didn’t start going out until December 29th. HR are still receiving calls in regards to the matter and Hawpe advised committee that if they are receiving calls or concerns to direct them to HR. Call services are not going as smoothly as anticipated. Call time waiting is extremely long usually going over an hour. Hawpe is working with ConnectYourCare to rectify this matter. Hawpe advised that we are dissatisfied at the way things have started off. Money is in the process of being transferred from Payflex to ConnectYourCare. The completion date for the transfer was set for 1/21/16. If the transfer is not completed by the date, communication from main HR will go out 1/22/16. With Long Term Care, the last payroll deduction is going through. CNA will send info out to participants in February confirming the change. Retirement Update (Silas) We will have an emphasis on Financial Wellness this year with topics concerning debt, Medical/Health Care cost planning, paycheck understanding and etc. The Financial Wellness Fair dates are tentatively set for March 15 – 17th HR Retirement along with Fidelity Investments are completing the annual reports on fund performance and we will review them with the RPMC committee on the next meeting 2/12/16. Wellness Update (Mitchell) For the Norman campus more requested standing desk are scheduled to arrive in March. An additional shipment is scheduled to arrive during this summer. OU is receiving a flat 10% discount on the price of the desks. The 2016 Webinars through Magellan are up and running. You can register for them by going to the OU training calendar. The Alzheimer’s lunch and learn will be available in February. Registration will be through the OU training calendar as well. Wellness is gearing up for the 10 week nutrition challenge. Lindsay’s Grad Assistant Stephen will be running it this year and we will hear more about it in the coming weeks. March is National Nutrition month. There will be a checklist for employees on employee wellness that will be coming out in the next few months. Update from the CHRO (Hoven) We reevaluated the Voluntary Retirement Plan that we had approved in 2012. We also looked at what other schools are doing with their plans and have come up with a plan that is before the Regents for approval. The intent would be for cost savings. Procedures will be put in place to discourage refilling the positions. We also tried to predict who’s going to participate. All the data was based on those who are eligible. Eligibility o Full time eligible Faculty and Staff that are age 62 and older that are eligible to retire 12/31/15 or prior. o The window for enrollment will be February 15 – March 30. o All retirement information will need to be in within 45 days to make an election. Incentive o Faculty and Staff will be paid an amount equal to 75% of their annual base salary not to exceed $100,000 in a single lump sum. Reemployment Eligibility o Participants will not be eligible for reemployment in a benefit position for three years after retirement. o Participants can return in any part-time .25 FTE or less non-benefit eligible position after 60 days.
