Minutes of the January 30, 2006, meeting approved. Announcements, organizational: ITC meetings spring semester 2006: January 30, February 27, March 20, May 1. Old Business 1. Global address book and 4x4 userid: At the previous ITC meeting, Robert Kelly noted that users on the exchange server can find the 4x4 of anyone in the global address book and asked if that information could be hidden. Matt Singleton reported that the 4x4 cannot be removed from the GAB without disabling the tab that shows the email address. As the persons authorized to have an exchange account are, at present, only faculty, staff, and students who are employed by the university – in other words, a fairly limited number of persons – the ITC recommends not disabling the email information tab at this time. The security problem will be reduced with the conversion to the new 4x4 in 2007 based on the SoonerID. 2. Individualizing SPAM filtering: A question from the January meeting concerned the possibility of allowing an individual to adjust the SPAM filtering to be either more or less strict than the current system. Matt Singleton: In theory, the filter could be made more flexible and adjustable, but the process for doing so would be highly labor intensive and expensive; moreover, it would require constant revision to keep up with changes in the SPAM received. 3. Wireless campus: Matt Singleton distributed a set of maps showing the current plan for expanded wireless access across the campus. The maps display wireless locations as they were in 04-05, plus those available 05-06, plus those funded and to be installed and activated in the coming year (06-07). All building renovations and all new buildings are prepared for wireless. Enabling wireless access for the exterior spaces, i.e., north and south ovals, is under discussion. In addition, IT continues in discussion with potential partners outside of The University of Oklahoma for a wireless network covering the entire community. New Business Support for data backup: Deborah Trytten’s statement on best practices for data backup was distributed for review. Don Maletz asked if there were a means for IT to provide additional software and hardware support for those numerous departments, faculty, and students not tied in to networks with full-scale professional backup systems. Matt Singleton: IT is in the process of negotiating a site license and discount for the Symantec LiveState program for recovery of both programs and data files on desktops and laptops. The program also enables saving backups and incremental backups to any storage device. Fees for the use of the program are as yet undetermined, as is the usability of the program for Macs and Linux. The program may be available for the campus before the end of the spring semester. Software site licenses: Inquiry from David Korbly (Bizzell Library): are there procedures for recommending new software for campus site licenses? IT: We receive inquiries regularly and try to pursue cases where there is a significant number of requests, especially if the requests come from a variety of different sources. David Korbly’s interest was in the Macromedia program “Captivate,” which has been used to design a number of tutorials on the use of library resources. Loretta Early: IT is itself using Captivate for training tutorials. IT inquired about a campus-wide site license and was quoted an extremely high price. Matt Matos: the IT store is in the process of acquiring Captivate for discounted sale on campus (price not yet determined). Adjourned: 4:40 pm. Don Maletz
