ADMINISTRATIVE FACULTY JOB DESCRIPTION APPROVED POSITION INFORMATION (to be completed by HR) Effective: September 1, 2015 Title Range JCC 2 67722 Manager, Business Operations Essential Function: Sedentary Work Description: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time. 1. The Manager, Business Operations maintains and ensures the financial integrity of the Nevada Wolf Shop. The incumbent is responsible for working with the Director and Business & Finance to develop and interpret detailed cost and accounting information and make recommendations regarding the efficient utilization of resources, inventory turns and margins as well as accounting procedures. The position also supports the human resource functions within the department and supervises the shipping and receiving team. The Manager assists other store managers in the analysis and development of departmental budgets, year-end inventory, and audits. The Manager, Business Operations may be asked to answer requests and/or solve problems on behalf of the Director. * Attach an organizational chart with positions, ranges, and names for the division. 2. If line of progression, define for each range as above. 60% - Financial Management Prepare or coordinate preparation of financial and administrative reports; analyze and interpret statistics, financial data and management planning data for predicting resource needs and developing long range plans Analyze and plan for the needs of staff, capital equipment/improvements, supplies, and services and take appropriate action, considering budget limitations Advise Director and staff on financial matters, instruct and orient new members of staff, faculty or administration Interpret, implement, develop and recommend changes to rules, regulations, policies and procedures set forth by the university or outside governing agencies Provide continual improvement of the budgeting process through education of department Associate Directors on financial issues impacting their budgets Provide timely and accurate analysis of budgets, financial reports and financial trends in order to assist the Director 1 Manager, Business Operations Evaluate and advise on the impact of long range planning, introduction of new programs and strategies Enhance or develop, implement and enforce policies and procedures of the organization by way of systems that will improve the overall operation and effectiveness Represent the store at meetings or conferences and at all levels of the university organization Coordinate and participate in internal and external audits; prepare audit work papers Prepare year-end analytical summaries Designate a timetable to complete the year-end inventory at each location Prepare and send out bid information for year-end inventory if requesting additional services Prepare daily sales reports on occasion 20% - Budget Monitoring Manage and control expenditures in accordance with budgeted amounts; authorize requests for supplies and services or other purchases, rarely requiring higher level authorization Prepare major operational and special budgets; coordinate or direct preparation of budgets for reporting units Develop and establish procedures for the budget process and daily operations according to policies and procedures established by the university and outside governing agencies Control and manage proper accounting and records of operational and special budgets, typically utilizing a computerized system; design and implement new procedures or computer systems; manage cost control practices Coordinate human resource and payroll processes 10% - Supervision Supervise, monitor or coordinate work activities of subordinates in areas of accounting and shipping and receiving Conduct performance evaluations Oversee the training and development of accounting staff Act as a project leader coordinating and/or supervising work of professional staff 10% - Quality Control Optimize the handling of bank and deposit relationships and initiate appropriate strategies to enhance cash position Monitor and ensure cash handling procedures are followed Ensure daily accounting duties are accomplished, accounts receivable and payables Troubleshoot discrepancies and investigate shortages 3. The Manager makes decisions related to the management of the accounting functions and the Nevada Wolf Shop. The incumbent also shares overall responsibility for the store with peer managers in the absence of the Director. The Director seeks the input of the Manager on recommendations to improve sales and in budget planning. 2 Manager, Business Operations 4. Consultation with the store director can include issues regarding: personnel, new partnerships/businesses, conflict resolution with departments (both internal and external), Federal/State/NSE/University policies/compliance, NSE/university/division/department goal obtainment/support, and strategic planning. 5.
