Summary Statement: State the major function(s) of the position and its role in the university. Attach an organizational chart with positions, ranges, and names for the division which reflects the position in it as well as those supervised in the department. (This section is used for advertisement of the position.) The Business Data Analyst creates and runs standard and special reports and other system queries for data extraction from the university’s administrative information systems to support Controller’s Office functions, including Student Accounting (cashier and loan) operations, general accounting, payroll operations and other such activities as required. The Analyst also generates standard and special reports from other administrative systems used by the Controller’s Office. This position works closely with the Controller to ensure timely and efficient reporting. The position reports to the Controller. 2. List the major responsibilities, including percentage of time devoted to each. Provide enough detail to enable a person outside the department to understand the job (percentage first with heading and then bulleted information). 50% - Data Extraction/Assessment Develop queries to be used by campus end users; assess user needs and create ad hoc queries and reports Monitor the accuracy of data in the student information system and other administrative systems Assist and support the Controller by providing data from which to make decisions about improvement of functional processes Coordinate technical issues with the Controller Write and run quality control reports aimed at error detection and resolution; recommend corrections needed to users and/or Controller Upload information from administrative systems into other systems (i.e., financial, human resources, payroll) Develop reporting for non-student receipts in the financial system 40% - Administration & Compliance Document system and business processes in a business process guide Conduct administrative systems functional testing and modification development Design and run system queries for identifying data errors Ensure compliance with governmental technical reporting standards Develop and oversee external data transmission to third parties Assist with analysis of effectiveness of departmental workflow and make recommendations to the Controller to ensure efficiency for data entry Provide support for web applications for the Controller’s Office, Student Accounting and Campus Audit web sites Assist with staff training in the functional use of administrative systems software Recommend changes in operating policies and procedures resulting from software limitations/capabilities 10% - Other Duties Assist with Controller’s Office operations, as directed by the Controller, to include system analyses, evaluation of new systems and system installations Position Description – Business Data Analyst Page 3 3. Level of Freedom: The Analyst uses his/her own judgment in making decisions while conducting needs assessment, developing new queries, reviewing data for errors and resolving problems. Incumbent must interact and collaborate with staff within Controller’s Office and with other campus offices. Goals for the position are determined by the Controller. Level of Impact: The effectiveness of the Controller’s Office operations is dependent upon producing accurate and timely data. Failure to identify functional user errors could result in high error rates in data entry and delays in processing business transactions, resulting in errors in student billing, Controller’s Office financial reporting and Payroll Office processing. 4.
