HOW TO PERFORM AN APPROPRIATE PATIENT SEARCH?
Select the patient management function VISI =>
Visit History Inquiry (this allows you to search in
Medipac for the patient.
B. Enter correct spelling of patient’s last name and
date of birth. If more than one patient comes up
with the same name or if one patient comes up with
a date of birth that is different, verify their correct
date of birth (sometimes a date of birth has been
entered wrong). If there is a similar date of birth,
perform a CPIIR and go into that patient’s personal
information to see if it could be the same patient
reviewing address, mother’s maiden name, etc. If it
is the same patient, hit F2 which will take you back
to your original VISI screen. When you search for a patient and use the middle name use the initial of the middle
name. The whole middle name is not always included in the original registration. If you do not find the patient go to
step C. (otherwise proceed with registration)
C. Search by a few letters of the last name and the first initial of their first name to do a broader search;
Search by last name only. If you do not find the patient go to step D.
D. Ask the patient if they had any other names (Maiden name, etc). Search by other names. If you do
not find the patient, go to step E.
E. Search by Social Security number. (Have the patient write their SS# down if there are other patients
within hearing distance). If you do not find the patient go to step F.
F. If you still haven’t found the patient, ask if he/she has been to Vanderbilt before.
You should keep searching if the patient replied Yes.
G. Please remember that a thorough search must be performed to avoid Duplicate Medical
Record Numbers.
(Complete a variety of searches to make sure we
have the correct patient and/or that the patient has
not been entered in our system).
H. If you notice a patient with more than one MR#, call
Medical Records! Medical Records will make
the decision of which MR# is to be used.
I. If you notice a patient with more than one MR#, and
one of the MR#’s start with “09”. DO NOT use the
“09” number, it is an old Lab Medical Record No.
WHEN FINISHED SEARCHING THROUGH VISI:
J. Choose ERRR, ADM, OPR, etc… Enter patient’s last and first name. These functions go out through
the interface and bring back names from EPIC. If you bring up another list of names, be sure to
check the list carefully –

(the patient may have been prescheduled for a clinic visit and will show-up here and would not have showed up under the other searches you
performed). If you do not find the patient, hit F9 to create a new account.
