Student Services Council Wednesday, November 16, 2011 9:00 – 11:00 a.m. Present: Dennis Bailey-Fougnier, Margaret Tam, Sesario Escoto, Sandi Moore, Lyn Hood, Lois Christos, Masina Hunnicutt, Margery Regalado Rodriguez, Tama Bolton, Tootie Tzimbal, Catherine Lachance, Marion Brodkey, Barbara Schultz-Perez, Rachel Mayo, Barbara Rigg, Vera Romandia, Janelle Glaum, Pattie Tomnitz 1. Program Planning Dennis again reminded everyone about the necessity of completing program plans before the next accreditation. Keep in mind the services that need to be offered (Student Success). Program Plan statuses were reported as follows: VPSS: Three pages have been written and Dennis has committed to Cabinet to have it completed before the end of January. Margaret: Outreach is completed and working on SLOs. Lyn: Student Employment is done. Marion: Student Health Services is reframing mission statement; has three pages written. Tama: A&R is ready to begin writing. Tama: Financial Aid is gearing up – will have a staff retreat in January. Program Review draft will be reviewed by staff in mid March. Rachel: In the process of revamping previous Program Plan. Catherine: FTTW in beginning stages; has outline and is using the Chancellor’s Office Program Plan as base. Margery: Matriculation (including Assessment) is done. DSPS: Done. EOPS: Chancellor’s Office Program Plan is done and will be used as base; working with Craig for data collection. Lois/Sesario: Student Affairs is almost done; reviewing data from Climate Survey; comparing budget to cost of running the office. Barbara: Counseling has measured SLOs and have quantified data; working on cost versus need. 2. Posting Policy Sesario reminded everyone that there is a posting policy and reported that there has been an increase in indiscriminate posting around campus. Every department office has jurisdiction over their areas. Student Affairs Office approves posting at three sites: the 900 Building, the Cafeteria, and the Gazebo. Postings must be stamped and will be posted for three weeks. There is a free speech board on the wall by the Gallery. If a department needs to post to advertise a change in policy, etc., please meet with Sesario for special permission. Sesario is revising the posting policy and would like to consult with departments who use posting for advertising to see how the policy could be rewritten. Other places to advertise: the student email newsletter, the staff email newsletter, and a new suggestion of the inside of the pedestrian bridge. 3. Student Rights & Responsibilities The handbook has been going through revision by committee since last spring and is in its final draft. The Academic Dishonesty, Concern for Student, and Disruptive Student forms are now electronic, in addition to PDF. The document can be found on the Student Affairs web page. 4. Foster Youth An anonymous donor has pledged $50,000 for the first year of a Foster Youth Program, and $100,000 each year thereafter. The unmet need for 20 students is $100,000. Of 100 identified foster youth, only 17 have made it through the financial aid process. The program will provide emotional and financial support, and help to guide them through the financial aid process, similar to what ACE and EOPS do. Some administrative and counseling staff will be hired. There will be incentives (food, gift cards) for attending get-togethers where they can directly give input on their specific needs. 5. Office Moves Due to STEM Grant The 800 Building must be vacated by June. Due to the very fast timeline, there was not enough time for many discussions regarding office moves. There are many trickle-down ramifications due to the necessary relocation of offices. Offices affected are: President, Administrative Services, Instruction, Student Employment, CAP, FTTW, Mini Corps. Dennis showed a chart listing the moves. (This chart has been emailed to SSC.) Below are relocations affecting Student Services: FTTW, CAP, Student Employment, Puente, & Foster Youth Program: to SAC West, lower level. Dean of C&ESS: to Building 100. Mini Corps: to Watsonville Center. Outreach: to 910A (EOPS). There was additional discussion regarding the activity/noise level of SAC West upstairs, as well as possible future moves of SHS if/when the Mailroom moves. 6. Food Pantry The Cabrillo College Food Pantry will begin December 9 and will continue to be open every Friday from 9:00 AM to 1:00 PM for students with valid Student Activity Cards. Food for 50 will be bagged and there will be no substitutions. Students will be given food on a first come-first served basis. 7. Student Success Task Force Read the recommendations on the Chancellor’s website. Approximately 80% of the recommendations are matriculation. You can provide feedback online and link to webinars. EOPS holiday event: 11:30 AM, Friday, December 9 in the Cafeteria. (Santa arrives at 12:30!) Next meeting: December 14, 2011
