ASSISTANT DIRECTOR OF FINANCIAL AID
CLASSIFIED ADMINISTRATOR
JOB DESCRIPTION
Under the direction of the Director of Enrollment Services, supervises the operation and activities of
assigned functions within the Financial Aid office; assists the Director in planning and implementing
departmental procedures; serves as the Director in the absence of the Director of Enrollment Services.
SCOPE
The Assistant Director of Financial Aid directly supervises the day-to-day technical processes and general
operations of the Financial Aid office; provides training and support to assigned staff; and ensures
compliance with relevant regulatory requirements.
EXAMPLES OF DUTIES: Duties include but are not limited to the following:














Assists the Director of Enrollment Services in the administration of financial aid programs, which
includes planning and implementing policies and procedures that govern the day-to-day operations
of the Financial Aid office (E)
Participates in college outreach activities and manages the student loan program (E)
Supervises, trains, evaluates, and provides work direction and guidance to assigned staff;
participates in the selection of personnel; and reviews and monitors the work of staff to ensure
compliance and accuracy with all state and federal policies and regulations (E)
Develops, updates and presents financial aid information through the use of brochures, literature,
and workshops directed toward students, parents and community groups (E)
Participates in college outreach activities with an emphasis in financial aid advising and services to
current and prospective students (E)
Verifies documents and maintains student generated information used to determine eligible for
financial aid awards; performs Common Origination and Disbursement (COD) and Business Service
Offices (BSO) reconciliation (E)
Conducts need analysis and determines individual student eligibility for various aid programs (E)
Advises students regarding academic and career objectives in relation to financial aid; reviews
student status to determine continuance or increase/decrease of financial aid (E)
Provides support in the direction of financial aid and other Student Services activities necessary,
during evenings and weekends (E)
Assists in the formulation of operational plans and program budgets; assists in administering
approved budget (E)
Maintains current knowledge of regulations, policies, application requirements and eligibility
criteria for financial aid and scholarship programs, including computer hardware and software (E)
Maintains compliance standards for federal and state financial aid programs; ensures conformance
to federal, state, and District policies, procedures and regulations (E)
Prepares and submit a variety of statistical and electronic data to a variety of internal and external
end-uses (e.g. Fiscal Operations Report and Application to Participate (FISAP) and Management
Information Systems (MIS) reporting (E)
Participates on college committees as required or assigned, and serves as chairs the Financial Aid
Process Committee and Financial Aid Appeals Committee (E)

Attends and participates in professional groups, seminars and/or courses (E)
Resolves and/or assists in the resolution of problems and/or complaints and initiates corrective
action as appropriate (E)

QUALIFICATIONS
Education and Experience:
Any combination equivalent to a Bachelor’s degree in Business Administration, Public
Administration, or a related field and three years of increasingly responsible professional level
administrative experience in a financial aid setting. Previous supervisory experience required.
Please note: Master’s degree in a related field may be substituted for one year of the required
experience.
Knowledge of:









Federal, local, and state programs that provide financial assistance to students
Principles and practices of supervision, training and evaluation
Principles of individual appraisal, including interviewing and advisement techniques
Pertinent laws, rules and regulations such as Federal Title IV regulations and CSAC State Grant
Programs
Planning and organization skills
Various software programs and data systems as they relate to financial aid
Budget preparation and administration
Effective oral and written communication skills
Interpersonal skills including tact, patience, and courtesy
Ability to:











Organize, coordinate and supervise the day-to-day operation and activities of the financial aid office
Ensure timely and efficient delivery of student financial assistance to qualified applicants
Work with students of diverse cultural and economic backgrounds
Demonstrate proficiency in the management of financial aid need analysis, packaging and required
revisions
Interpret Federal and state financial aid regulations and determine appropriate course of action
Monitor and award federal and state financial aid programs
Demonstrate analytical, organizational and supervisory skills
Gather, compile, and analyze data and prepare reports
Establish and maintain effective working relationships with faculty, staff, students and College
administration
Mentor, train, develop, supervise, and evaluate the performance of assigned staff
Perform consistently under the pressure of deadlines and other administrative demands and work
cooperatively with others

AUTHORITY AND RESPONSIBILITY
The Assistant Director of Financial Aid is responsible for supervising, training, and evaluating assigned staff.
In cooperation with the Director of Enrollment Services, the Assistant Director of Financial Aid is responsible
for the day-to-day coordination and operation of the Financial Aid office.
