This does not guarantee that a place will be available. The registration fee will not be returned if the nursery cannot offer the place on the schedule and date required. Nursery Fees and Charges The nursery year runs from September 1st to August 31st. The nursery closes defined by the university closures Nursery fees are calculated from actual booked attendance, based on the fee structure for each Nursery. The fees payable by the parent/guardian are calculated by taking the child’s weekly attendance fee, multiplying the same by 49.1, being the number of chargeable weeks per annum ,(including bank holidays, University closures and 5 inset days) and dividing by 12 to give a monthly payment which is payable monthly in advance, on the first day of each month (the due date) by either Salary sacrifice arranged by UCL pay roll, vouchers or by cheque paid directly to the nursery manager. Additional sessions purchased, over and above normal booked sessions, will be charged monthly in addition to the equal monthly amounts. Unused booked sessions are not refundable. Payment of Childcare Fees Upon acceptance of a childcare place, Half payment of the estimated monthly fee is required in advance by cheque, voucher or UCL salary sacrifice(for UCL Employees). Each charging period will be for one calendar month. .UCL Day Nursery fees reserves the right to increase the said fees at any time upon giving one calendar month’s written notice to the parents/guardian of the proposed increase. Any reduction to a child’s booking pattern will only be implemented at the start of the following month, provided at least two weeks’ notice is given to the Nursery Manager. Arrears If there are outstanding fees at any time, the Nursery reserves the right to immediately suspend or terminate childcare services for the child until the position is rectified. Any cost incurred as a result of suspension or termination will be paid for by the parent/guardian of the child. Cancellation/Termination (i) After an offer of a place has been made by the nursery but before acceptance by the parent/guardian either party may cancel the offer by serving 7 days written notice. (ii) After acceptance of the offer by the parent/guardian either party may terminate this agreement by the service of one calendar months’ notice in writing. During that said one month period the nursery undertakes to continue to admit the child and the parent/guardian undertakes to pay all fees due. In the event of the parent/guardian failing to pay the month’s fees the child’s place shall be immediately withdrawn and the nursery shall be entitled to serve a formal demand for payment of such monies. (iii) In the event of the parent/guardian giving notice of withdrawal of the child and immediately withdrawing the said child there shall be due to the nursery two calendar month’s fees in lieu of notice. Failure by the parent/guardian to provide two calendar months’ notice or any notice at all shall render the parent/guardian liable to the nursery for two month’s fees. Late Collection Surcharge Parents/guardians collecting beyond the booked session times will be subject to an additional surcharge of £25. Infections & Illnesses UCL Day Nursery cannot normally undertake the care of sick children. The nursery must be informed of any child sickness or problems before attempting to bring the child to the premises. Each case can then be considered on a strictly individual basis. In the interest of other children and staff it will be necessary to exclude any child who has been diagnosed with certain contagious illnesses and diseases. The exclusion will remain in force until the child’s Doctor has cleared the condition .As noted above no refund will be given in the event of the child’s exclusion due to illness. Opening Times Each specific Nursery has individual opening times. Most Nurseries will be closed for weekends and all Public Holidays. Normal opening times are 08.30 to 17.20 hrs. 5 inset days per annum have been have been calculated into the annual fee Force Majeure UCL Day Nursery are unable to offer any refunds or compensation for closure or suspension of nursery activities as a result of third party action, inclement weather, fire, flood or any other event beyond our control. Personal Property UCL Day Nursery cannot be held liable for the loss or damage of any item belonging to the public on the premises. This particularly applies to children’s clothing and toys as well as motor vehicles, prams and buggies. This enables the nursery to proceed with taking photographs for developmental books, displays and special occasions such as Christmas, birthdays and trips. Parents have the right to refuse for their child to be photographed by not signing the consent slip for photographs that you will receive in your application packs. If parents refuse for their child to be photographed their child will not be photographed by staff, students or other parents. Aim Our aim is to: Have a clear policy on the acceptable use of mobile phones and cameras that is understood and adhered to by all users of the nursery. In order to achieve this aim, we operate the following Acceptable Use Policy: Mobile Phones The Nursery allows staff to bring in personal mobile telephones and devices for their own use. Users bringing personal devices into nursery must ensure there is no inappropriate or illegal content on the device. All staff must ensure that their mobile telephones/devices are left inside their bag throughout contact time with children. Staff bags should be placed in the lockers, staffroom or office unless requested by the Manager to move them to another appropriate location . Mobile phone calls may only be taken at staff breaks or in staff members’ own time, unless prior arrangement with the manager/Deputy. If staff have a personal emergency they are free to ask permission to use the setting’s phone or make a personal call from their mobile in the designated staff area of the setting, i.e. staff room or office. If any staff member has a family emergency or similar and required to keep their mobile phone to hand, prior permission must be sought from the Manager/Deputy and the mobile phone should be placed appropriately within the nursery Staff (will need to) ensure that the Manager/Deputy has up to date contact information and that staff make their families, children’s schools etc. aware of emergency work telephone numbers. This is the responsibility of the individual staff member. All parent helpers/students will be requested to follow the same guidelines required by staff. During group outings staff will have access to their own personal phones, which is to be used for emergencyor nursery purposes only. Concerns will be taken seriously logged and investigated appropriately in conjunction with the safeguarding children policy. The Manager/Deputy in her absence reserves the right to check the image contents of a member of staffs mobile phone should there be any cause for concern over the appropriate use of it. Should inappropriate material be found then our Local Authority Designated Officer (LADO) will be contacted immediately. We will follow the guidance of the LADO as to the appropriate measures for the staff member’s dismissal. Cameras Photographs taken for the purpose of recording a child or group of children participating in activities or celebrating their achievements is an effective form or recording their progression in the Early Years Foundation Stage. However, it is essential that photographs are taken and stored appropriately to safeguard the children in our care. Only the designated nursery cameras is to be used to take any photo within the setting or on outings. Images taken on this camera must be deemed suitable without putting the child/children in any compromising positions that could cause embarrassment or distress. All staff is responsible for the location of the camera; this should be placed within the lockable cabinet in the office when not in use. The camera must be locked away at the end of every session. Images must only be down-loaded by a member of the nursery team Photographs should then be distributed to members of staff (key person) to record in children’s learning journeys. Under no circumstances must cameras of any kind be taken into the bathrooms without prior consultation with the Manager/ Deputy. If photographs need to be taken in a bathroom for the purpose of learning, two members of staff will be present at all times.
