Nursery Services – Childcare provision for UCL staff and students
Aim:
The Day Nursery team provide high quality childcare and nursery education in a safe, nurturing and stimulating
care environment, giving priority to the development, needs and happiness of our children and their families.
Service level agreement:
At UCL Day Nursery we follow the principle that the provision of high quality play and first hand experiences can
enable children to learn indoors and outside through social interaction, through play including heuristic and
treasure basket play, communication in the widest sense and the development of language, movement and
multi-sensory experiences which develop health ,strength co-ordination and thinking. We take it as read that this
takes place in emotionally warm, secure and orderly environment underpinned by the key person.
 We believe this quality can be achieved by working together in partnership with parents, carers and
OFSTED, with our childcare and nursery education firmly based on the following principles:

THE FOLLOWING TERMS AND CONDITIONS CONSTITUTES A CONTRACT BETWEEN UCL
DAY NURSERY AND THE PARENT
PLEASE READ IT CAREFULLY:
I, the undersigned, intend to place my/our child (named above) in the UCL Day Nursery at 50-51,
55- 59 Gordon Square, from the date specified in section 2 of the contract. I/we understand that,
having signed this form:
(1) If I/we do not take up the place allocated to my/our child I/we will be required to reimburse the Day
Nursery for any loss of fee income resulting from the vacancy created - i.e. I/we will be required to
pay full fees for the place until the Nursery Manager has filled it and it is being paid for in full by
the parent(s) of another child.
(2) If, having taken up the place, I/we wish to withdraw my/our child from the Nursery I/we will be
required to give two months' notice of this intention to the Nursery Manager. I/we will be required
to continue to pay fees in full to the Day Nursery for up to two months after the date on which I/we
notify in writing to the Nursery Manager my/our intention to withdraw my/our child; unless and until
such time as my/our child's place has been filled and full fees are being paid.
(3) If, for any reason (including illness and holidays), my/our child cannot be brought to the Nursery
when he/she should be present according to the terms agreed herein, I/we will be required to pay
the normal fees for days on which my/our child is absent.
I/we have read and agreed to abide by the Day Nursery 'Information for Parents' with which I/we
understand that this arrangement is in accordance.

Tax Efficient Childcare Facilities
UCL runs an approved, voluntary “salary sacrifice” scheme for members of staff with children
in the UCL Day Nursery (for further information about the Day Nursery and its fees, contact

The salary sacrifice cannot and does not refer to past earnings and constitutes a change in
the terms and conditions of employment with UCL. Staff wishing to take part in the scheme
may do so from the 1st of the month. The sacrifice will be deducted one month in
advance of the effective date (e.g. in July for an effective date of 1 August, etc.) in
accordance with an Inland Revenue requirement that the relevant remuneration is
sacrificed by the employee before s/he has earned it. No rights in relation to the sacrificed
portion can be exercised and the agreement can only be revoked or changed due to a
significant lifestyle change. If you opt out of the scheme you will not be able to join
within the same financial year.
Members of staff who would like to take part in the scheme should contact Emma Sweeney,
Payroll Administrator (tel: 48247, email: Emma.Sweeney@ucl.ac.uk) who will arrange for a
revised contract to be issued. Further information on the scheme can also be obtained from

Closing date for receipt of a signed contract is 18th of the month prior to the effective
month in the relevant year in which the sacrifice is due to take effect.

Once a month scanned copies of all new employee forms and amendment forms from current
members should be emailed to Emma Sweeney (e.sweeney@ucl.ac.uk) by 15th of the month.

On receipt, action on Resource Link as per the instruction and produce an amended contract to send
to the employee.


Terms and Conditions
Registration
To register your child at the nursery a non-refundable fee of £50 is required to secure a
booking. This does not guarantee that a place will be available. The registration fee will not
be returned if the nursery cannot offer the place on the schedule and date required.
Nursery Fees and Charges
The nursery year runs from September 1st to August 31st. The nursery closes defined by the
university closures
Nursery fees are calculated from actual booked attendance, based on the fee structure for
each Nursery.
The fees payable by the parent/guardian are calculated by taking the child’s weekly
attendance fee, multiplying the same by 49.1, being the number of chargeable weeks per
annum ,(including bank holidays, University closures and 5 inset days) and dividing by 12 to
give a monthly payment which is payable monthly in advance, on the first day of each month
(the due date) by either Salary sacrifice arranged by UCL pay roll, vouchers or by cheque
paid directly to the nursery manager. Additional sessions purchased, over and above normal
booked sessions, will be charged monthly in addition to the equal monthly amounts. Unused
booked sessions are not refundable.

No refund will be given in the event of the Child’s absence due to illness, holiday or for any
other reason. This is because the Nursery has to reserve a place for the child with
appropriate staffing in advance..
Payment of Childcare Fees
Upon acceptance of a childcare place, Half payment of the estimated monthly fee is required
in advance by cheque, voucher or UCL salary sacrifice(for UCL Employees). Each charging
period will be for one calendar month.
.UCL Day Nursery fees reserves the right to increase the said fees at any time upon giving
one calendar month’s written notice to the parents/guardian of the proposed increase.
Any reduction to a child’s booking pattern will only be implemented at the start of the
following month, provided at least two weeks’ notice is given to the Nursery Manager.
Arrears
If there are outstanding fees at any time, the Nursery reserves the right to immediately
suspend or terminate childcare services for the child until the position is rectified. Any cost
incurred as a result of suspension or termination will be paid for by the parent/guardian of the
child.
Cancellation/Termination
(i) After an offer of a place has been made by the nursery but before acceptance by the
parent/guardian either party may cancel the offer by serving 7 days written notice.
(ii) After acceptance of the offer by the parent/guardian either party may terminate this
agreement by the service of one calendar months’ notice in writing. During that said one
month period the nursery undertakes to continue to admit the child and the parent/guardian
undertakes to pay all fees due. In the event of the parent/guardian failing to pay the month’s
fees the child’s place shall be immediately withdrawn and the nursery shall be entitled to
serve a formal demand for payment of such monies.
(iii) In the event of the parent/guardian giving notice of withdrawal of the child and
immediately withdrawing the said child there shall be due to the nursery two calendar
month’s fees in lieu of notice.
Failure by the parent/guardian to provide two calendar months’ notice or any notice at all
shall render the parent/guardian liable to the nursery for two month’s fees.
(iv) Notice must be in writing and posted to the Nursery Manager( Catherine Burtenshaw)
(vi) The Nursery reserves the right to terminate any Child’s enrolment, or restrict access to
parent/guardian or child, at any time without notice, in consideration of the protection of other

children and staff, and the well- being and smooth operation of the Nursery. Any disruption
caused by a parent or child that is deemed inappropriate or not conducive to a nursery
environment, or undermines the reputation of the Nursery, or its staff, will be cause for
termination at the discretion of the Nursery Manager.
Late Collection Surcharge
Parents/guardians collecting beyond the booked session times will be subject to an
additional surcharge of £25.
Infections & Illnesses
UCL Day Nursery cannot normally undertake the care of sick children. The nursery must be
informed of any child sickness or problems before attempting to bring the child to the
premises. Each case can then be considered on a strictly individual basis.
In the interest of other children and staff it will be necessary to exclude any child who has
been diagnosed with certain contagious illnesses and diseases. The exclusion will remain in
force until the child’s Doctor has cleared the condition .As noted above no refund will be
given in the event of the child’s exclusion due to illness.
Opening Times
Each specific Nursery has individual opening times. Most Nurseries will be closed for
weekends and all Public Holidays. Normal opening times are 08.30 to 17.20 hrs.

Force Majeure
UCL Day Nursery are unable to offer any refunds or compensation for closure or suspension
of nursery activities as a result of third party action, inclement weather, fire, flood or any
other event beyond our control.
Personal Property
UCL Day Nursery cannot be held liable for the loss or damage of any item belonging to the
public on the premises. This particularly applies to children’s clothing and toys as well as
motor vehicles, prams and buggies.
Data Protection Act 1998
By signing acceptance of the Terms & Conditions you give UCL Day Nursery express
consent to retain and process that information provided by the parent/guardian, which
directly relates to the child, for the sole purpose of childcare. Such information will remain

with UCL Day Nursery for up to 6 years or be transferred to a school of your choice, once
your child leaves the Nursery.
PHOTOGRAPHS IN THE NURSERY
Upon having a child accepted we ask you to consider agreeing to the child being
photographed on occasion by the nursery staff, students or parents. This enables the
nursery to proceed with taking photographs for developmental books, displays and special
occasions such as Christmas, birthdays and trips.
Parents have the right to refuse for their child to be photographed by not signing the consent
slip for photographs that you will receive in your application packs. If parents refuse for their
child to be photographed their child will not be photographed by staff, students or other
parents.
We would also like at times to use the photographs for the nursery publications and website
to promote the nursery. Parents may once again refuse permission for their child to be
photographed for this purpose.
Where pictures are taken of the whole nursery (visit of Father Christmas, trips etc) the
parents of children who have opted out of having their child photographed will be contacted
to allow them to rescind their decision should you wish to do so.

ACCEPTABLE USE (of camera’s & mobile phones)
POLICY
Statement of intent
It is our intention to provide an environment in which children, parents and staff are safe from
images being recorded and inappropriately used in turn eliminating the following concerns:
1) Staff being distracted from their work with children.
2) The inappropriate use of mobile phone cameras around safeguarding children.
Aim
Our aim is to:
Have a clear policy on the acceptable use of mobile phones and cameras that is
understood and adhered to by all users of the nursery.
In order to achieve this aim, we operate the following Acceptable Use Policy:
Mobile Phones
The Nursery allows staff to bring in personal mobile telephones and devices for their own
use.
Users bringing personal devices into nursery must ensure there is no inappropriate or
illegal content on the device.
All staff must ensure that their mobile telephones/devices are left inside their bag
throughout contact time with children. Staff bags should be placed in the lockers, staffroom
or office unless requested by the Manager to move them to another appropriate location .
Mobile phone calls may only be taken at staff breaks or in staff members’ own time, unless
prior arrangement with the manager/Deputy.
If staff have a personal emergency they are free to ask permission to use the setting’s
phone or make a personal call from their mobile in the designated staff area of the setting,
i.e. staff room or office.
If any staff member has a family emergency or similar and required to keep their mobile
phone to hand, prior permission must be sought from the Manager/Deputy and the mobile
phone should be placed appropriately within the nursery
Staff (will need to) ensure that the Manager/Deputy has up to date contact information and
that staff make their families, children’s schools etc. aware of emergency work telephone
numbers. This is the responsibility of the individual staff member.
All parent helpers/students will be requested to follow the same guidelines required by
staff.
During group outings staff will have access to their own personal phones, which is to be
used for emergencyor nursery purposes only.

It is the responsibility of all members of staff to be vigilant and report any concerns to the
Nursery Manager/Deputy.
Concerns will be taken seriously logged and investigated appropriately in conjunction with
the safeguarding children policy.
The Manager/Deputy in her absence reserves the right to check the image contents of a
member of staffs mobile phone should there be any cause for concern over the appropriate
use of it.
Should inappropriate material be found then our Local Authority Designated Officer
(LADO) will be contacted immediately. We will follow the guidance of the LADO as to the
appropriate measures for the staff member’s dismissal.
Cameras
Photographs taken for the purpose of recording a child or group of children participating in
activities or celebrating their achievements is an effective form or recording their progression
in the Early Years Foundation Stage. However, it is essential that photographs are taken and
stored appropriately to safeguard the children in our care.
Only the designated nursery cameras is to be used to take any photo within the setting or
on outings.
Images taken on this camera must be deemed suitable without putting the child/children in
any compromising positions that could cause embarrassment or distress.
All staff is responsible for the location of the camera; this should be placed within the
lockable cabinet in the office when not in use.
The camera must be locked away at the end of every session.
Images must only be down-loaded by a member of the nursery team
Photographs should then be distributed to members of staff (key person) to record in
children’s learning journeys.
Under no circumstances must cameras of any kind be taken into the bathrooms without
prior consultation with the Manager/ Deputy.
If photographs need to be taken in a bathroom for the purpose of learning, two members
of staff will be present at all times.
Failure to adhere to the contents of this policy will lead to disciplinary procedures being
followed.
