Meeting Days – It was the general consensus of the group to set our future meetings for the first Tuesdays of the month at 11 a.m. Our next meeting will be November 1, 2011. 1. R23 Forms informational a. 241 requests since 7/9/10 b. Completed: 199 requests for 3538.55 hours 2. Upcoming Items: a. We will have an emergency test for NetSupport on Friday, November 18th at 2 p.m. Provost McArthur will advise Executive Council and Jamie Glover will advise Josh Lehman for notification to faculty and staff. b. Planning for 2018 – please send any thoughts on items being planned in functional areas that will have an impact on technology to debbieg@cameron.edu 3. Pending items: Implementation of 90 day password expiration - password portal software rollout is anticipated for late November. Viewfinity is currently being deployed. As users contact us requesting administrative rights to their PCs, we are explaining the use of Viewfinity. The software enables people to let ITS know about software requiring admin permissions. When users try to install a new program, they may get a popup asking for an administrator username and password. Instead of entering anything, click on ‘NO’ or ‘CANCEL’. A Viewfinity window will pop up on their screen, which will ask for a brief justification/reason for needing the software installed. Once the information has been sent, ITS is notified about it in our Viewfinity console. We approve the request if sufficient reasons and/or justifications are provided. Once approved, that particular software installation is approved for all staff not just the one employee, which means that all approved software can be installed without the employee having to wait on a technician to install. 4. Are there any after action items following the Delcom deployment 5. University Leadership Council Projects – Provost McArthur University Leadership Council (ULC), is a university without students, a think tank for higher ed. They perform research for best practices. Some topics of interest that Cameron will be having them review: I.T. planning, conferencing, business continuity planning, study abroad, and advising center. The service is for the entire university and they accept three issues at a time. I.T. planning will be one of the three initiatives. 6. Students were migrated to Gmail 8/1/11. Some comments heard were regarding their dislike for the physical look of Gmail, students like the option to now access their email on mobile devices. Josh Lehman is working on posters to advertise the 12/31/11 date for students’ Outlook email to be removed from university servers and to highlight the new functionality for students to now be able to access their email on their mobile devices. He will also have the link to the student blog, ‘CU, Do You Know?’ http://doyouknow.cameron.edu/ It was suggested Margot initiate a reminder to students every 2 weeks for them to migrate their old email from OWA before 12/31/11. Detailed instructions are available on our website and on the blog. Beginning November 1, 2011, the subject line should change to ‘Deadline Approaching’. All OWA student accounts should also be emailed for students that are not currently active and did not receive a gmail account. Discussion regarding Auto-Complete when typing an email address is a problem for faculty and staff. It was mentioned that some users use Auto-Complete as their Address Book, which is not a best practice. It was asked if non-delivered email could return a message ‘Not valid address’. This is not an option with Microsoft. Beginning 1/1/2012, any email sent to a student’s OWA email address will return ‘Undeliverable – Delivery has failed to these recipients or distribution lists’. Greg offered to send a FAQ how to remove unwanted names from the list. It was requested that Margot send faculty a note to email from rosters. 7. 8. 9. Banner related: a. DegreeWorks – Consultants were on campus last week and again this week. b. Inventory – This will need to be developed and may require consulting. Provost McArthur is interested in any classroom inventory and screen shots that might be available. c. Faculty compensation/overload module - on hold Critical dates for planned system outages: a. 11/24/11 – 11/25/11: AggieAccess and Banner will be unavailable for Oracle upgrade from 10g to 11g and operating system patches to Banner systems. This was postponed from March 17-18, 2011 due to issues with the upgrade. Functional areas are reminded to be testing in TEST, as there are significant changes. It was decided the Implementation Leadership Team (ILT) should sign off indicating their functional areas have tested and resolved issues. Other Topics
