1. Minute Review/Change/Acceptance of February 16, 2011 Minutes - approved; committee did not meet in
February
2. Next Meeting – May 18 at 11 a.m. in CETES 206
3. R23 Forms
• 156 requests since 7/9/10
• Completed: 107 requests for 2,173.2 hours
4. Blackboard Mobile Central progress – hoping to have Phase 1 online in May. Phase 1 is currently planned to
consist of: how to get help; campus images; news and campus directory. Athletics and the campus map are in
progress, but we are not certain how long these will take. They were originally planned for Phase 2. Other
possibilities for later phases consist of semester schedule, library, tours, videos, links, transit and places.
5. System Roadmap:
• Critical dates for planned system outages:

3/17/11 – 3/18/11: AggieAccess and Banner will be unavailable for Oracle upgrade from 10g to 11g
and operating system patches to Banner systems – postponed until November 24 -25, 2011. It was
emphasized to stress testing in the functional areas to be sure we have worked through all the issues
with Oracle 11g.
6. Expanding wireless in McMahon Village and Shepler – wireless is complete in Shepler towers for the residents.
The Village will have wireless throughout by August 1, 2011.
7. Thoughts on OneNet’s request for disruption of internet connectivity on May 11 from 7 – 8 p.m. There were no
objections to this planned outage. V.P. McArthur will submit to E.C. for input.

9. Worked out procedures with techs and service manager from Standley’s to make delivery of Savin devices go
smoother for departments – please let Greg Davies or Debbie Goode know of issues they may hear about.
10. Pending items
• Implementation of 90 day password expiration. Completed our research for a tool to allow students/fac/staff to
register and reset their password via a web portal. We have concluded there are no free ones that will work.
ManageEngine password portal software by ZOHO Corp is our recommendation at a cost of $3,795. This is
the functionality we want to have in place to enforce password expiration every 60 – 90 days. Looking for
funding possibilities. – V.P. McArthur stated this be submitted with PC and server replacement.

Looking at Google Apps for students, beginning with the Summer 2011 term. This will be taken to the I.T.
Advisory and Teaching and Learning committees. Please send me any questions/concerns/thoughts.
Discussion: ITS had a recent conversation and felt it might be wise to wait and implement for the Fall 2011
semester vs. the Summer 2011 term, as it might be confusing for Summer 2011 students, wondering if they
need to go through the migration of their email again. Waiting for the Fall 2011 term will allow more time for
advertising for a new and improved email program with more functionality to accommodate our students’
mobile lifestyles. Jennifer suggested August 1, 2011 as the date to go live. Ninette reported bills will be sent
7/6/11. John also requests ID numbers not appear in gmail. Debbie will find out more detail about the ID
number. In order to not display the student’s ID number in the address book, we can turn that feature off;
however, it will require students to know the email address for the individual they are emailing.

DegreeWorks work order signed with SGHE. Equipment identified and list sent to SGHE for verification before
ordering. Linda reported she and Glen Pinkston have a scheduled call for 4/21/11 with SGHE.

Faculty compensation/overload module on hold.

Assigning administrative rights to users
We have concluded research on various products that allow users the ability to be a Standard User,
yet provide the ability to run specific apps, such as activeX controls, or other apps that require Admin
privileges. We had hoped to find a free solution. Viewfinity is the best fit for CU at a cost of $12,800.
John stated this should be submitted with PC and server replacement.
11. Any other items?
• VP McArthur inquired when are we going to phase our w:\forms. There is a discrepancy between
w:\forms and what appears on AggieAccess. Debbie will reconcile the two lists of forms, making sure
the latest version is on AggieAccess. W:\forms will go away. Jennifer has a couple of academic
misconduct forms she wishes to reformat and will send to Debbie to be included on AggieAccess.
