Work requires a confidential capacity to assist and support managerial employees and school board members. QUALIFICATIONS: 1. 2. High school diploma or equivalent with advanced business courses. A minimum of five (5) years experience in complex administrative support with at least two (2) of those years in education. 3. Experience and demonstrated knowledge of the operation, function and scope of various school system departmental offices, with ability to communicate with administrators, school board members, system staff and the general public. 4. Proficient in computer technology. Adept in office management practices and procedures. 5. Capable of making decisions acknowledging established procedures and practices, and handles routine administrative details independently. 6. Ability to perform essential functions of the position. DUTIES AND RESPONSIBILITIES: *1. To manage the operations of the Assistant Superintendent’s office, relieving him or her of office practices and operational matters. *2. To make arrangements for meetings including space, time and place; informs participants of topics to be discussed and provides background information if necessary. Schedules all appointments for the Assistant Superintendent. *3. To serve as liaison for the Assistant Superintendent between board members, district staff, schools, media and community. *4. To independently respond to requests for information, composes written correspondence and compiles research materials. *5. To process personnel paperwork for all administrators including appointment and reappointment to administrative position, transfers, reclassifications, resignations and retirement. *6. Request and process all administrative personnel contracts. 7. To assist with the reappointment process for all employees. *8. To handle telephone calls and requests for information. Screens employee/parent/community complaints and/or concerns for referral to proper department. Handles routine requests for information independently. Secretary IV, Human Resources Page 2 *9. To receive incoming inter-departmental mail and U.S. mail; opens, evaluates and distributes mail. *10. To input and prepare payroll for the Personnel Department. Prepares and processes requests for leave, reasons for leave and travel reimbursement requests. *11. To arrange travel/hotel reservations and conference registration. 12. To provide assistance with the preparation of School Board agenda items. *13. To receive portfolios submitted for advertised administrative positions and assist the Assistant Superintendent with the interview process. *14. To update job descriptions. *15. To act as the recording secretary for weekly Human Resources staff meetings; attend meetings and prepare minutes. *16. To act as the recording secretary for the School Calendar Committee; attends meetings and prepares minutes. *17. To prepare the Student Calendar and 10, 10-1/2, 11 and 12 month Employee Calendars. 18. To lend support to the Leadership Team as needed and provides assistance to the organization as required to ensure quality instruction for all learners in a caring and safe environment.
