2.4.7 Issued: Revised: October 21, 2000 September 11, 2009 BARON CLUB Organization There shall be a Baron Club representing all intercollegiate sports at Brewton-Parker College. Membership in the Baron Club shall be open to all persons who desire to support the intercollegiate athletic program at Brewton-Parker College. Categories of membership and dues for such categories shall be established annually by the Baron Club budget committee. There shall be an annual meeting of the Baron Club for the transaction of business and election of officers. The officers shall be a president, two vice presidents, and a secretary. The Athletic Director shall serve as treasurer. The Baron Club shall have authority to establish by-laws and rules of procedures to govern its organization and activities, subject to the general policies and procedures of the college. Purpose The purpose of the Baron Club shall be to support the mission of the intercollegiate athletic program at Brewton-Parker College by encouraging financial and other support. Fundraising There shall be a budget committee of the Baron Club consisting of the officers and two coaches appointed by the president. The Athletic Director shall chair the budget committee. The budget committee shall prepare the annual Baron Club budget, subject to review and approval of the Administrative Council. All coaches will actively participate in efforts to raise funds for the intercollegiate athletic program and will be expected to meet goals established by the Athletic Director. Coaches must present written plans for any fundraising efforts to the Athletic Director prior to taking any steps toward soliciting funds. The Athletic Director shall coordinate fundraising activities with the Office of College Advancement to insure that fundraising for athletics is appropriate in the overall fundraising efforts of the college. The Athletic Director shall approve, modify, or deny each plan in writing and coaches shall not implement any fundraising activities prior to receiving written authorization. Fundraising plans shall include, at a minimum, the purpose, including a statement of need and explanation of how the funds will be used, the amount to be raised, who will be solicited, who will do the soliciting, and the time frame of the project. Fundraising includes any solicitation for direct donations of money, supplies, equipment, and facilities as well as indirect donation in the form of purchasing advertising in programs, events venues, or other locations. All funds raised for intercollegiate athletics shall be submitted to and accounted for by the Business Office. Sixty five percent of the funds raised as part of the Athletic Director-led campaign will be deposited into a single account designated for athletics funds and thirty five percent will be deposited into the team account of the coach raising the funds. After a coach has met his/her fundraising goals for the Athletic Director-led campaign, eighty percent of the funds raised through a coach’s individual plan shall go into the team account of the coach raising the funds and twenty percent into the single account. If a coach has not met his/her fundraising goals for the Athletic Director-led campaign, funds raised under the plan of an individual coach shall go into the general account designated for athletics until the goal of the coach has been met. Eighty percent of any funds raised above the goal shall then go into the team account with the remaining twenty percent going to the general account designated for athletics. The Athletic Director will oversee the disbursement of funds from the single account designated for athletics. Such funds will be used first for general items for the betterment of multiple athletics programs (e.g., public address systems, mowers, etc.). Annually the Athletic Director and head coaches will meet to consider overall needs as well as requests from coaches and prioritize the use of general funds. The Athletic Director must approve expenditures from individual team accounts.
