Introduction:
This procurement action is a very essential and strategic SAP project that must be performed by qualified and competent SAP Contractors. Therefore, each Contractor
in the approved selected bid slate is given the equal opportunity to present to Saudi Aramco his technical and commercial proposal based on the scope of work of this
project and his own human, material and technical resources that he plans to provide for the performance of this project. One of the main reasons for this technical
evaluation of Contractors is to determine the Contractors level of understanding of the specific work and the degree of readiness and competence that Contactors
demonstrate in their technical, commercial and end-user training proposals for the performance of this job. Furthermore, the technical evaluation is an important tool
that should help Saudi Aramco Bid Review Team to identify potential “low ball” and/or technically unqualified bidders before opening their commercial bids. If the
need arises, Saudi Aramco will hold technical and/or scope of work clarification meetings with all the bidders to answer their queries for the clarification of this job
either via phone conference, email or fax correspondence or via physical meeting at IT Procurement Unit (ITPU) premises. Please use the tables below to fill in the

Project Objective(s)
The objective of this project is to develop a BW Aerospace & Defense solution that would cater to all reporting and analytical requirements of the Aerospace &
Defense landscape. These requirements would be met by providing a Dashboard to the users.
This would help them investigate the corresponding trends and render decisions accordingly.
The key objects summarized are:
 The solution will have provisions for ETL (Extraction Transfer and Loading). The data in BW will be refreshed on daily, weekly or monthly basis depending
on the reporting requirement.

The solution will be delivered using BI 7.0 functionalities and using transformation instead of update rules.

‘SAP Aviation and Defense (A&D) delivered Business Content will be enhanced with custom developments.

Delta Mechanism will be implemented for the superior efficiency and optimal feasibility of data loads on a nightly basis.

The Aviation reports will be created using Xcelsius, flex and BW reporting tools and will be published on Portal

The reporting requirements for Aviation Department are primarily satisfied within the operational system (PRA R/3). The reports are available under the R/3 operation
system of the A&D PRA system. Around 38 existing Aviation reports are located under a repository that is named as Aviation Cockpit.
Saudi Aramco has developed an Aviation cockpit where all the related transactions are grouped in a dashboard to facilitate the users to enter with a single traction (code
ZAD034). This is to enhance the usability of the cockpit. However it limits the analysis of the information provided due to lack of flexibility in current solution. Also
this solution is time consuming and resource hungry.

EJADA has analyzed the pain areas of the existing system and proposes a solution in SAP BI for the Aviation Dashboard which has multiple layers.

The Data will be extracted using custom extractors from SAP IS - A&D and loaded into BI using process chains.

These objects will be utilized in order to minimize the gap between this solution and standard solutions. Business Contents will be enhanced with custom
developments.

The data will then migrate to Layer 1 (DSO).

The data will be further migrated to Layer 2 (Cubes) using BI 7.0 transformation functionalities.

DSO layers would be used/ will be configured. DSO layers would usually act as the first layer which will hold the detail, granular transaction data. These
would act as Level – 1 InfoProviders.
New InfoObjects will be created for all missing elements and added to the DSO based on requirements.
These Level-1 InfoProviders would then feed the InfoCubes that would hold summarized data. Again, as with DSO above, Business Content InfoCubes
have also been provided module specific. Multiproviders can be built across the individual data targets as needed.
Data Transformations will be done through of Start/End Routines and individual routines to ensure that the reporting requirements are met; DTP can be
used to load this data.

The Aviation BI Dashboard will be built on BW queries, Xcelsuis and Flex Interface.

A resource from Saudi Aramco for each of the concerned Saudi Aramco system will be identified and assigned to support the project with regards to the
implementation of a connectivity solution with their respective application.

It is assumed that Saudi Aramco will facilitate for full development and testing environments for the source systems populated with sample data. The project
team is assumed to have full access to these environments.

All the documentations will be provided to EJADA team in English Language.

All the front-end development on dashboard will be in English Language only.

Any delay in the project resulting from delayed response of Saudi Aramco personnel or from the unavailability of the required Saudi Aramco resources or other
third party resources (such as legacy systems vendors), will be logged and reflected to the project plan.

EJADA will try to absorb any delay in the project. However EJADA keeps the right to charge Saudi Aramco for any delay from Saudi Aramco that could affect
the project duration.

SMEs (Subject Matter Experts) and Management (if required) will be available on a timely basis to participate in completion of the Business Blueprint,
playback of the business processes during realization and resolve any issues.

Appropriate infrastructure will be in place during the project to support the project teams.

Saudi Aramco will retain ownership for the project.

Coordination to establish any required hardware or software infrastructure or landscape.

No changes to the technical environment should be done to ensure that it does not impact project schedule or introduce an element of risk, unless warranted for
the project.

All BASIS activities will be managed by Saudi Aramco. EJADA’s efforts for this work will not be considered

Transport/Development strategy for the developments to be discussed and finalized during Project Preparation phase.

Timely resolution of the issues raised by EJADA regarding configuration is assumed, in order to adhere to the time schedule.

6.3 Acceptance Criteria
For Deliverables
In each phase, deliverables mentioned in above table will be sent to the Saudi Aramco Project Manager or the Proponent (Subject Matter Experts or SMEs) for his
review and approval. Once signed, they will be considered finalized from Saudi Aramco.
For Phases
For each phase, documents will be signed-off from Saudi Aramco Project Manager or Proponent. With all these documents, Solution Manager will be updated as per
Saudi Aramco Project Control Group (PCG)’s requirements. PCG will send their project compliancy check list mentioning that all the requirements of deliverable for a

On the Go-Live of the project, it will be assumed that End-User has started using the system in production environment and all the scope requirements for this project
are completed. EJADA shall provide (22) twenty-two business weeks of support from the Go - Live date and on completion of this support, Project Closure will be
signed off by the Project Manager of Saudi Aramco. At this time, project will be considered completed by EJADA.
6.4 Post Implementation Support
There will be (22) twenty - two business weeks of Post implementation support (after Final Preparation & Go-Live phase). This will be provided as second level
support. If users face any problems or issues they will contact SAP Help Center at first. If it requires intervention of consultants put on support, the request will be
diverted to them and they will resolve the issue for the end user.
Any issues or bugs occurring after the support period not related to scope of the project will not be considered as part of support even if the team is present onsite.
Any change in requirement or enhancement in original requirements will be subject to duly established scope change management process. Any enhancement or change
in scope during post implementation support will be covered with a change order with mutual agreement between EJADA and Saudi Aramco Project Managers.
6.5 Issues and Risks Management
We are already cognizant of the issues and risks associated with such kind of Implementation Projects and have taken counter measures to minimize the impact. Some
of the risks relating to the proposed project are briefly enumerated below:
 Timelines of completion – To avoid the risk of huge time overruns on the project and ensure accomplishment of all Project Objectives within the specified
time frame.

Resources planning and their availability – This is extremely critical in the context wherein the implementation is dependent on individual excellence and
their capability of the consultants to understand the business requirements and configure the same.

Mid-course issues relating to resources – Resources identified for the project may leave the company during the course of the assignment creating a major
problem in replacement of the resource as well as maintaining the continuity of the project.

Loss of focus and misdirected implementation – A project tends to lose focus during the course with different user groups and team members basing their
expectations beyond the original mission.

Based on the experience we have gained on various projects, we would suggest following strategies to address the Issues/Risks:
Peer Review
In order to ensure that there are no gaps in the understanding of the business processes as well as in dealing with technical issues associated with configuration and
development, project team should carry out a structured walk through of peer groups not associated with this project. The peer groups would independently come up
with their observations and also do the trouble-shooting to ensure that there is a proper recognition of all key issues. This would also help in getting an unbiased
perception of the assignment execution
Scope Management
Project should follow a stringent scope change process which will help document, analyze and report to the Steering Committee the cost and time implications of all
scope changes.
Professional approach to risk Assessment
The project lead / quality manager for this engagement should be conversant with the standard tools and methodology associated with crisis/risk assessment in a project
of this size and complexities. They will formally carry out a review and present his observations at critical stages of the project so that the organization is fully assured
that the matters which have crisis implications are addressed formally and at all times.
Plan Ahead Approach
All the project activities should be planned ahead of time so that risk of occurrence of crises is minimized.
Back up Plans
For any resource provision planning, back up resources should also be in place in case a crisis occurs.

Whenever there is a risk of occurring a crisis, all the concerned parties such as project team members at Saudi Aramco and EJADA senior management are
communicated the risk situation so that a collective effort is undertaken to avoid the situation.
Issues/Risks Management Process
A process will be defined during project preparation phase to manage the issues and risks during the whole project as per Saudi Aramco standards. Issues and risks
registers will be maintained to manage them.
6.6 Reporting Method / Communication Plan
Approach
Timely and accurate information should be available to all stakeholders interested in this project. The Communication Plan should focus on both giving and receiving
information about the project. The latest version of the Communication Plan, related documents, and Project Status will be disseminated as required. The following five
(5) strategies will be employed as an approach to communications delivery:
 Project Documentation Repository (All the project milestones, deliverables and documentation for management of Saudi Aramco).

Formal channels (Emails, standard reports, memos, formal announcements, communication log, updated project plan) to communicate project status and
significant events.

Face-to-Face communications to distribute and receive detailed or sensitive information.

Communication of project successes or milestones through project management or sponsors (Through presentations, if required).

Use of feedback to determine acceptance of specific communications.
Performance
Throughout the project, the Project Manager will assess the Communication Plan and its effectiveness. The stakeholders will be asked periodically whether the
communication is meeting their needs. Feedback on the effectiveness of the Communication Plan will occur throughout the project. Communication Plan related
documents will be updated monthly or as needed and should be presented at the monthly status meetings.

A ‘Train-the-Trainer’ approach will be developed. The user project team members will be identified and prepared for training development to become

Our approach is template-based so that we can offer a consistent, proactive and effective solution for managing the given change.
Our proven templates for business impact analysis are further customized for given CM needs to be used throughout the project for risk/impact management.
We believe that Risk Management is a dynamic activity and hence measurement of business impact on periodic basis is essential for prioritising the efforts for
managing the risk accordingly.
We emphasis on clear Communication to all stakeholders – Proactively, Periodically and Adequately. We develop right communication strategies & plans,
models, frameworks, channels and ensure that the intended message is conveyed to the target stakeholders in it original form, design and content – on time,

Change Management Plan & Change Charter
The Change Management Plan is the OCM roadmap aligning to the Project Deployment Plan while Change Charter is the document that allows the assessment results
to be translated into actions and monitored. Change Charter emphasizes on OCM deployment along with SAP implementation phases, focusing following points:

Clear documentation of the risks & associated mitigation plan
Approach for measurement of change impact during execution of change
Plan of action for managing various risk/impact categories

These documents would cover the approach and roadmap how Change would be carried out in ERP implementation at Saudi Aramco project. The risk pertaining to

Communication Plan outlines how the Communication strategy would be deployed to ensure effective communication across entire section of the stakeholders. We
understand that various stakeholders need to be communicated differently at different period of times; hence as a result, this plan enlists following key points pertaining
