The pocket program will have the final schedule. World Fantasy Awards Banquet and Presentation The World Fantasy Awards will be presented Sunday afternoon. Luncheon will begin at 1:00pm (doors open at 12:30pm). Members making banquet reservations will choose one of the following entrées: (all entrees are gluten and dairy free) Pan seared breast of chicken in a hard cider emulsion Pan seared Pork Chop in a hard cider emulsion Vegetarian –Braised chick peas, apricots, cauliflower, dates and spices all in a hard cider-reduction and quinoa Butternut Squash Bisque Mixed greens composed of Endive, watercress, apples, blue cheese crumbles, walnuts and balsamic vinaigrettes Buttermilk mashed potatoes Roasted autumn vegetable blend Warm Rolls with butter Caramel Apple cheesecake Tea, Coffee, or Soda Cost: $52.00 per person, including all taxes and gratuities . A limited number of Banquet tickets may be available for sale at registration but meal choices will be limited. Reservations through the website must be made and paid for by Noon (EDT), Friday, October 30, 2015. Any cancellations must be made by that deadline to receive a refund. Note that there is limited seating. Reservations will be honored up to the seating capacity of the room. Seating will be open. The room will be opened after the Banquet and additional chairs provided for members wishing to attend the award presentations but not the banquet. About Saratoga Springs Saratoga Springs is one of New York’s oldest resort communities. Originally people came for the baths and mineral water. Now, two seasons of horse racing and the ambience of a small town with much preserved from the nineteenth century are among Saratoga’s highlights. The area is steeped in history. A turning-point battle in the American Revolution was fought nearby, and battles, forts, and trails from the French and Indian War and the American Revolution surround Saratoga. The cottage where U.S. Grant wrote his memoirs and died is also nearby. Museums celebrating racing, dance, and automobiles are found in Saratoga. Lyric Ballad Bookstore, a world-class bookstore located in an old bank with its vault intact, is located blocks from the City Center. Many small shops and a wide variety of restaurants are within easy walking distance along Broadway, Saratoga’s Main Street. Saratoga is home to the famed Yaddo Artist colony whose grounds are open for tours. Skidmore College is located just north of the City Center and New York State’s Empire College is also located in Saratoga. Saratoga Springs is a very walkable city. Much more detail is available through the Saratoga Convention & Tourism Bureau, 60 Railroad Place, Suite 100, Saratoga Springs, NY 12866; 518584-1531, or browse http://www.discoversaratoga.org/ There are several local spots that you may wish to visit. 9 Maple Avenue is a jazz bar within 2 blocks of the Convention Center that carries at least 150 different single malts. It is a 40 seat establishment that opens at 4 PM. The Bourbon Room at 8 Caroline Street around the corner from 9 Maple Avenue also carries an extensive selection of drinks and food. It also opens at 4 PM. There are two bookstores within walking distance. On Broadway is Northshire Books, a renowned independent bookstore. On Wednesday, November 4 from 7 PM to 9 PM, they will be hosting a TOR 35th Birthday Party to which early arriving convention members are invited. South of them, at 7 Phila Street is Lyric Ballad Bookstore, a world class used bookstore as noted above. Both merit a visit. Shipping from WFC As of the date of this PR we have been unable to get a local shipper to come to the Convention site. We are still working to get a shipper to come but be prepared to walk several blocks to the UPS Store, the Kinko/FedEx store both near the Embassy Suites, or the US Post Office. None of these is open on Sunday. Getting There Air: Saratoga Springs is served by Albany International Airport (locator code ALB); the town is about 30 miles north of the airport. The airport has direct service by many major U.S. airlines, and is an International Port of Entry. Almost everyone attending WFC 2015will be able to book a direct or one-connection flight for arrival and departure. Rail: Amtrak’s Saratoga Springs station is a long walk or a short taxi ride from the primary hotel. Check at www.amtrak.com for times and connections. More information and links to transportation services are available at http://www.discoversaratoga.org/transportation.asp Auto: Saratoga Springs is located about 30 miles north of Albany, New York, about equidistant from Montreal, Boston, and New York City. Saratoga Springs is one mile from I-87, the Adirondack Northway, a beautiful scenic route between Montreal and New York City. Detailed driving directions are available at http://www.discoversaratoga.org/directions.asp?page=directions. Please note that there is construction on I-87 at Exit 15. An alternate route is to use Exit 14 into Saratoga. At the ‘T’ intersection turn right. Turn left at the next traffic light. At the stop sign turn right onto Maple Street and proceed to your hotel. (For the Embassy Suites do not turn at the stop sign. Proceed to the next traffic light, turn left and then right at the next traffic light. Embassy Suites is two blocks ahead on the left.) This route has frequent traffic lights and stop signs. Free parking is available at the Saratoga Hilton and the City Center. There is an adjacent lot for the Saratoga City Center that also currently offers free parking. WFC members can validate parking by bringing the ticket from the hotel parking lot to the front desk for validation. Each of our hotels also has direct driving directions available on their web site. There is no shuttle service from the airport or the Saratoga train station to the hotels or City Center. Information on transportation from the Albany Airport can be found at www.albanyairport.com/ as well as at the Discover Saratoga website above. It is usually cheaper to book transportation with a Saratoga service than to use an Airport approved service. There is a Google document on our Facebook page https://www.facebook.com/groups/196747267179090/ for those wishing to coordinate their travel to and from Saratoga. WFC 2015 Code of Conduct General. We want our convention to be a safe, comfortable, and enjoyable experience for all of us. Since the convention committee and the sponsoring corporation have neither legal police powers nor employ police officers, we have set the following standards of expected behavior which apply to everyone and comply with New York State legal requirements. We expect everyone to behave responsibly. Any action or behavior that is illegal, causes significant interference with event operations, causes excessive discomfort to other attendees, or adversely affects the convention's relationship with its guests, its members, its venue, or the public, is strictly forbidden and may result in revocation of membership privileges with no refund. We offer the following guidance for anyone unclear on the concept, but remember that this code is not exclusive. Harassment. In New York State harassment is a defined criminal offense. None of the Committee, Hotel or City Center staff are trained to recognize, in New York State law, the difference between legal harassment and incorrect/uncivil behavior. We have consulted with the Saratoga County District Attorney and the City of Saratoga Springs Police Department and been advised to report any incidents to the Police Department so that they can determine if the reported conduct meets the legal definition of harassment to charge the offender. Incidents can be reported to the registration desk or the hotel registration desk. We do not tolerate harassment of convention attendees or staff or facilities staff in any form. Everyone is entitled to a harassment-free convention experience, regardless of gender, sexual orientation, disability, physical appearance, body size, race, national origin, or religion. Harassment as we generally understand it includes inappropriate physical contact, unwelcome sexual attention, offensive verbal comments, deliberate intimidation, stalking or following someone, making harassing photography or recording, and disrupting talks or other events. These are not legal definitions. Anyone asked to stop any harassing behavior is expected to comply immediately. A request to "stop" or "go away" means exactly that. If anyone engages in harassing behavior, the convention committee may warn the offender, remove the offender from the room, or expel the offender from the convention with no refund as well as report the incident to the Saratoga Police Department. If you feel that you are being discriminated against or harassed, or if you notice someone violating hotel or convention policies, we respectfully suggest the following: 1. If you feel comfortable doing so, point out the inappropriate behavior to the persons involved. Often this will solve the problem immediately. 2. If you do not feel comfortable talking with the persons involved or if talking to them does not resolve the issue, please report the situation immediately to a Board Member, Convention Committee Member, to the Registration Staff or the hotel registration staff. Try to provide name(s), badge name(s), badge number(s) and/or physical description of the person(s) involved. Every incident reported may be reported to the Saratoga Police Department by the person receiving the report. 3. In order to take action, we need to know about any incidents during the event. Weapons. Please leave your weapon home, even if you have a license to carry it. To enter a convention with a deadly weapon is a statement that says: “Fear me, I am armed and dangerous.” This is harassment through intimidation. Don’t do it. Americans with Disabilities Act The Convention will make every effort to accommodate needs in compliance with ADA requirements. To do so, we need to know, in advance, needs that any member has under ADA. We will make every attempt to meet those needs in a timely fashion. The later we know about the need the harder it will be to comply. Last minute requests may not be met due to time constraints. Both the Hotel and City Center are ADA compliant. We will provide special seating opportunities for each program item. Email needs to Chair@wfc2015.org. Dietary needs for the banquet should be sent to hospitality@wfc2015.org. There is an interior ramp between the Hilton and the Saratoga City Center for those who have mobility issues. Auxiliary Bar Those of you who attended the 2007 WFC in Saratoga know that the hotel bar is quite small. We have created an auxiliary bar in Travers-Alabama that will be open Thursday – Saturday from 4 PM to Midnight. (The bar may close early if there is little or no utilization.) This bar will accept cash, credit cards or room charges to your Hilton room. There will be a variety of comfortable seating options available. No food except minor snack food will be served in this bar although food can be ordered from the restaurant and brought into the auxiliary bar. The bar is located to the right of the Hotel registration desk as you face that desk on the corridor leading to the Hotel pool. We need to note that State Law does not allow liquor to be taken from the Hotel into the City Center. There will be 1 reception where liquor may be brought from the reception or bar into the City Center – Friday’s mass autographing because we have a special permit and security guard for that event. And open carry is illegal so don’t leave the building with a drink. Autographing The main autographing opportunity is Friday’s mass signing in Hall D of the City Center. Wheeled carts and backpacks are prohibited in the signing room. Those with large quantities of books will have a space to store their books with direct access to the signing room. This will be the same location as in 2007. If you are unsure of the location check at the check-in desk outside the signing area. Any convention member who wishes to sign may pick up a name card at that desk. Except for our guests, seating is open. There will also be an opportunity to get books signed after each panel and reading with tables outside of the program/reading area. Note that it is at the discretion of the panelist if they wish to sign. Please use these tables rather than getting books signed in the program/reading room. Remember that panelists are at the Convention to enjoy themselves. Limit your requests to designated signing times and locations. Receptions There are three receptions for all Convention members. We will have a welcoming ice cream social on Thursday evening at 7:30 to approximately 8:30 in the Gallery. There will not be a cash bar since that location is near both the Hotel and our auxiliary bar. On Friday night, there will be a reception and cash bar outside the signing room in Gallery. This will open after the doors open for the autographing at 8:30 PM. There will be a desert reception for the Art Show on Saturday evening from 9P.M. to 11 P.M. in the City Center prefunction lobby with a cash bar. As noted elsewhere, please do not bring drinks into the City Center from the Hotel for this reception. It violates State Law. The Art Show will be open then and drinks and deserts may be brought into the Art Show. There will also be a cash bar at the Banquet. General Events There will be five general events to which all members are invited. The Opening Ceremony will be Thursday at 1:30 PM in CC 2A. This room is on the second floor accessible by stairs, escalator or elevator. Most of the program items will be held in CC 2A and CC 2B. On Thursday after the IceCream Social in the Saratoga Ballroom there will be a special performance of 3 short plays by the Irish fantasy master Lord Dunsany. The Open Book Theater Company will perform “The Jest of Hahalaba”, “Fame and the Poet”, and “The Glittering Gate”. Immediately after the plays Robert Aikman: Author of Strange Tales (film) written, directed, and edited by R.B. Russell and Rosalie Parker; with contributions from Reggie Oliver, Jeremy Dyson, Heather and Graham Smith, and Jean Richardson will be shown. On Friday evening the mass autographing will be held in Hall D off of the Gallery. The door will open for signers at 8:00 P. M. and for those wishing to get signatures at 8:30 P. M. This event will end at approximately 11:00 P. M. Saturday evening Convention members are invited to the Artist Reception in CC 1 from 9 to 11 PM. Finally the World Fantasy Award Presentation is expected to start around 3 PM in Saratoga Ballroom on Sunday. Book Bag Stuffing Volunteers are welcome to assist in stuffing the Book Bags. This will start at 1 PM, Wednesday, November 5 in CC D directly off the Gallery. Those working for at least two hours will be able to stuff their own bag. Badges Members are asked to wear their badges for all Convention functions. You may be asked to prove membership if you are not wearing your badge in function rooms. Membership With cancellations there are still memberships available. Anyone wishing to purchase a membership should add their name to the waiting list on the website and wait for an invitation.
