Exercises Meaning of Microsoft Access Microsoft Access 2007 (Access 2007) is a database system management (database programs). It can store, manage, manipulate, analyze, retrieve, display or publish information from database. Meaning of database A database is the computer equivalent of an organized list of information. Typically, this information has a common subject or purpose, such as the list of employees, phonebook guide or a classmate’s address book. ICTL for Secondary School/HSBM2012/Microsoft Access Module Lesson 1: Starting Microsoft Access 2007 1. Click-on the Start button, then click-on Programs, then click-on Microsoft Access 2007 (Figure 1) Figure 1 2. Getting Started with Access When you start Access 2007, you will see the Getting Started window In the left pane, the template categories including the featured local templates are listed, as well as the categories on Office Online. Templates are pre-built databases focused on a specific task that you can download and use immediately. Figure 2 ICTL for Secondary School/HSBM2012/Microsoft Access Module Lesson 2: Creating New Database File You have three main options on the Getting Started page. You can open a template database stored locally or online, an existing database, or a blank database 1. In the Open area of the Access 2007 Getting Started Task Pane, click the Blank Database to create a new file. Figure 3 2. When you choose the New Blank Database option at the top of this window, you will be prompted to rename the database. Type-in the word students profile as shown in Figure 4. Figure 4 3. Click Create to finish naming the database. ICTL for Secondary School/HSBM2012/Microsoft Access Module Lesson 3: To Set Up Table The new database opens with one table showing as a default. It also defaults to naming this table Table1 in both the Navigation Pane, and the Table tab itself. You will want to name your tables based on your database design plan. Figure 5 1. To give the table a unique name, you must first click on the Microsoft Office Button in the upper left hand corner of the application. Figure 6 2. Then, select Save from the menu. The Save As dialog box will appear to let you save the table. Type the word Student Table as your new table name. 3. Click Ok to finish save the table. ICTL for Secondary School/HSBM2012/Microsoft Access Module 4. To Close a Table, you can click the X that appears in the upper right hand corner of the active database object window. Click X to close the active database object Figure 7 5. To close the Ms Access, click on the Microsoft Office Button in the upper left hand corner of the application, then Exit Access. Lesson 4: To open an existing database 1. Repeat Lesson 1 to open Ms Access 2007. Once you have created a database, you will see your database in the Open portion of the Task Pane. 2.
