ASSISTANT BRANCH/OPERATION MANAGER
Position purpose
To ensure at all times efficient branch operations, observance/implementation of corporate values, provision of
acceptable customer relations within the bank regulations (KYC, Operations policy, HR policy, prudential
guidelines, Risk policy, internal audit control etc.).
Key Result Areas:
1: Branch Cash Management
 Observe the cashiers limit and the Bank main safe limits and confirmation of the same.
 Ensure appropriate insurance cover for cash is within the provision set in the contract (cash in the main
safe/ cash in transit)
 Supervise cash transactions (deposits, withdrawals) in the Banking system and reconcile the report
with content in the main safe.
 Reconcile daily cashiers’ transactions (Local/foreign currency register) alongside the closing balances
in the cash tills.
 Monitor and supervise the cash levels in the bank and facilitate cash deposit/withdrawal to/from CBK or
other banks as per the banks regulation and risk policy.
 In liaison with branch manager, maintain the register on security stationery held in the vault
(Bankers cheque, Counter cheques, FD certificates, Main safe register, Loan/Account opening files
etc).
Supervise and submit timely monthly management reports within the set guidelines (1-10th of every
month) e.g. main safe balance, cash balance, FCY balance, risk compliance report, clearing
reconciliation etc.
2. Relationship and accounts management
 Monitor, reconcile and supervise customers’ accounts (deposit, new, dormant) in compliance with KYC
guidelines.
 In liaison with Branch manager, cross sell the Bank’s products and respond to customer queries
promptly and handle all loan applications submitted.
 Handle all customer queries and ensure prompt feedback/closure on the same.
 Print and verify customers statements on monthly basis. Post customers statement via email on daily
basis.
 Verify daily entries passed through G/L accounts (Inter-branch, inward/outward cheques forex
T.T/Bankers cheque account)
 Open new accounts within the stipulated KYC and AML guidelines.
 Supervise and ensure provision of CBL acceptable standards of customer services at all times.
3. Handling of Clearing section
 Verify the cheque book series, validation
 Reconcile and verify if the cheques debited/credited are posted into right accounts. Balancing of inward
and outward cheques
 Daily Reconciliation of clearing adjustment accounts
 With customer’s instruction, implement the stop payment instructions.
 Supervise and verify the internal posting.
 Verify all outgoing EFTs/PAYE/VAT/RTGS are posted correctly in banking system.
 Release unpaid cheques to customers with consultation of the supervisor.
 Monitor and control the branch security status at all times.
4. Operations and controls
 Achieve the Banks Risk management control standards and ensure compliance.
 Monitor and supervise all branch operations voucher movement register.
 Signing of banker’s cheques, bank correspondence (letter, documents and internal vouchers).
 Ensure proper filing of branch documents by undertaking monthly snap checks on the same
(Outward/inward clearing schedule, FD certificates etc).
 Supervise by ensuring that all details in RTGS are accurate and proper and that the same is posted
promptly.
 Monitor and ensure that all CCTVs’ are functioning at all times by conducting snap checks on the same.
 Monitor and reconcile pre-paid expense accounts and do adjustments on monthly basis.
 Ensure that all bills that are due are paid on time (electricity, water, telephone etc).
5. Staff Administration and supervision
 In liaison with branch manager, monitor and supervise all branch staff movement and attendance by
monitoring the staff attendance register.
 Facilitate branch performance management reports and submit to HR annually within the set guidelines
and timelines.
 Support facilitation of training to all branch employees.
 Ensure branch annual leave schedule is submitted to HR by January of every year and full utilization of
the same.
6. Credit and relationship management

In liaison with Branch manager, cross sell the Bank’s products and respond to customer queries
promptly.












Receive and guide and advice customers on issues concerning Loan applications.
In liaison with Branch manager, vet the loan applications and prepare credit proposals to head office credit.
Review and renewal of all facilities (loans, overdrafts, guarantees, IPFs and letters of credit etc).
In liaison with Assistant manager/branch manager, ensure safe custody of securities e.g Loans files
and security documentation.
Open bank accounts within the stipulated KYC guidelines.
In liaison with Branch manager, cross sell the Bank’s products and respond to customer queries
promptly.
Monitor and verify clients credit(loans/overdrafts) data at all times (check interest charged, personal
details, validity of security given)
Handle all approved offer letters/guarantee forms/letters of lien to ensure that all charges and all the
securities are in order (signed by customer, witnessed and stamped by lawyer, letter verified by
witness.
Print interim customer statements on need basis.
Generate monthly branch progress reports and forwards the same to head office.
Facilitate debt recovery by issuing of reminder letter/liaising with advocates to issue demand letters and
notice and forward the same report to head office.
Generate monthly reports on loans and commission and forward to credit manager – head office.
