Roll Call The following Senators were not present at the meeting: -All Present Approval of Minutes Motion: Senator Boruch move to approve the minutes from last week’s Senate meeting Second: Senator Lopez Discussion: None Vote: Unanimous, last week’s minutes have now been approved. Call to the Audience Chairman Lee entertains a motion to add item s to the agenda and title it SB 25-91: ASNAU, Graduation Sashes, $615 (Budget Line 80) Motion: Senator Lake move to add item s to the agenda and title it SB 25-91: ASNAU, Graduation Sashes, $615 (Budget Line 80) Second: Senator Creer Discussion: President Smart explains that this will pay for graduating sahes and will be taken out of the awards and recognitions line, which will leave $1600 left in the line to pay for the banquet. They will go to nine people, but the order will be for 24 sashes because they are cheaper to buy in bulk and will be used in later semesters. They will be receiving their sash at the banquet. Discussion: None Vote: Unanimous, item s (SB 25-91: ASNAU, Graduation Sashes, $615 (Budget Line 80)) has been added to the agenda Blaise Caudill: He is representing Theta Chi Fraternity and is confused because he was under the impression that they had an OA and a bill on the agenda. Senator Woodhouse explains that the other representative needed to get the budget in by a certain time so they decided to postpone it until next week. New Action Business Motion: Senator McDiarmid move to vote on item a, Club Recognition: Day of the Girl Arizona Second: Senator Lopez Discussion: This club is being started by an ASA intern, meant to spread awareness of the issues that girls face including body image, sexual assault, etc. The founder created an official Day of the Girl through legislation, which now takes place on October 11th, created to be a more effective and impactful movement. It benefits NAU and the Flagstaff community. She plans on reaching out to the community and even to legislation. They also want to participation in volunteer activities and would like to officially be recognized in all cities Vote: Unanimous, item a (Club Recognition: Day of the Girl Arizona) has been approved Motion: Senator Lake move to vote on item b, Club Recognition: Flagstaff Kuwaiti Students, provided that they meet with student life to ensure that their constitution is in accordance with the university policy Second: Senator Reddig Discussion: There are many Kuwaiti students at NAU and this club would gather them all together to do activities and create a sense of community to adjust to classes and make friendships. Currently, they are looking at 40 students but would like more eventually. Senator Chan asks where they will be meeting; the representative says that they will meet at houses. Senator Fox says that in article three in the membership section, there are conflicting qualifications. It says that members must be Kuwaiti but then later states that they will not discriminate. The representative says that they should be Kuwaiti. Senator Fox says that that contradicts the last part which agrees to NAU’s policy prohibiting discrimination. Senator Lake asks that if it went through student life, does it abide by the policy? It does not. Dr. Farmer says that it would if it included a statement that says those that support NAU Kuwaiti students are welcome as well. Another representative explains that it is open to all NAU students but that officers must be Kuwaiti. Dr. Farmer says that that does not align with the university policy. Senator Lake says that it is says in the requirements that members must be Kuwaiti citizens. He is okay with passing it as long as they change this qualification. Dr. Farmer suggests passing the club with an understanding that they will reword their constitution in accordance with the policy. Vote: Unanimous, item b (Club Recognition: Flagstaff Kuwaiti Students) has been approved Motion: Senator Fox move to vote on item c, Club Recognition: Immigration Action Research Team, item d, Club Recognition: NAU Computer Art and Technology Club, and item e, Club Recognition: Upsilon Chi Fraternity Second: Senator Lake Discussion: The Immigration Action Research Team is a collaborative effort between the community, first-year seminars, undergraduate students, and graduate students. They would like to attend conferences, host events, and provide a space for students to develop leadership abilities and take initative in ways they cannot do currently. Senator Lake ask what they are currently unable to do; he explains that they would like to be able to attend conferences, host events, and have information on the website. The NAU Computer Art and Technology Club focuses on computer technology and art, in addition to graphic design, 3D animation, computer programming, video game design, etc. They wish to come together to collaborate with teachers and students to create something they are passionate about, rather than assignments they are forced to do. It provides more freedom. The Upsilon Chi Fraternity would like to be recognized as an entrepreneurial fraternity that holds its values in leadership, establishing a legacy, brotherhood, and knowledge. They plan on holding themselves to a high standard with hard work and no entitlement. Senator Woodhouse asks if they will be a business fraternity; technically, yes, but they wish to be more entrepreneur-specific. Senator Lopez asks if they will be recognized under the Untied Greek Council; they will be recognized under the FCB to work with the business students. Senator Fox asks about the statement in the constitution that mentions that they will not wear letters while partaking in illegal activities; they explain that it is for a precaution so that they are not recognized for partying but for business and brotherhood. Senator Lake asks if this is a national fraternity; it is not, so NAU could be the founding location. Senator Lake informs the fraternity that if they need any help constructing a constitution that he would be more than happy to help. He suggests making quorum 50% plus one rather than 75%. The representative explains that they would like to keep it at 75% because they have so few members. However, once the fraternity grows, they will consider implementing that. Their students have always been very successful and this is the first time an NAU saxophonist received an invitation. The budget is $1100 for airfare, $450 for participation, $150 for participation, and $200 for meals (which will be his own contribution). Last year, he requested funding for a different musical festival (nationals) that costed $1800. He will be attending the same festival— which he budgeted for this year in January and is paying for completely on his own—and it is $1900. Senator Woodhouse asks how he was chosen; his saxophone professor is a friend of the quartet members and once the workshop did not become full with European students, it became open to him. Senator Creer asks what he means by the school of music grant $0 in the fundraising efforts; he approached the school and none were applicable for this situation. There is one scholarship in the air, however. Senator Fox asks if he was not planning on going to the other conference, could he have provided for the trip to Germany? He could have; however, he did not get invited to this until after putting the down payment on the first trip. Senator Lake feels that he has asked for lots of money (including the $1800 last year and some funding from the saxophone society request) and though he is glad that he was invited to such a prestigious event, he does feel some concerns with how much he should receive. Senator Lake attends conferences but he picks and chooses which ones and budgets them accordingly and is generally more conservative in giving funding to the students. Chairman Lee asks how rare this experience is; this is the top ensemble grou in Europe, so it is very rare. Senator Fox has concerns with him attending the other conference and wonders if he is at all self-reliant. He cannot attend all conferences. Senator Cross disagrees and sees that he did not know about this opportunity before registering for the other one and that he is funding the other completely on his own. Senator Creer agrees and says that he will be representing NAU in two places and many clubs do similar things. He is also contributing his own money for food. Senator Tenney says that this is no different than past decisions. Chairman Lee points out that he did take fiscal responsibility for the other trip. Two years ago, they placed 29th but could not attend last year for financial reasons. Recently, they qualified to get to nationals and had some students place first in certain events in October. They would like to bring everything back to the school and grow the club to promote a healthy lifestyle. Chairman Lee asks if they can walk through the budget; they charge $100 for 33 members and are sponsored. They participated in a letter writing campaign and wrote to ten addresses asking for funding. They pay for their coach ($200/month and a $100 bonus). They also fund shirts, trisuits and printing ($142/suit out of pocket), sponsor printing, lodging ($300), transportation, entrance fees ($70), a hotel in a Havasu, and now 17 attendees for the nationals. The entry fee totals to $1800 and they will need a hotel for Tempe for four rooms to attend both the race and the banquet. Senator Fox inquires about the sample personal budget; it is like a budget that represents what each individual has put into this sport (bikes that cost $1,000 to $2,000; running shoes, swim gear, coaching, etc). Races also generally cost between $70 and $120, plus other lodging and their uniform. All proceeds go toward women and children survivors of domestic violence. They will also be holding a field day which includes a 74 foot obstacle course, which will go toward feeding children who rely on school systems for food, which makes backpacks every week for students. The third event is a clothing swap which will be donated to homeless shelters. They need help paying for rooms and rental equipment. Senator Woodhouse asks about the field rental equipment; there is a phoenix company that does bouncy houses and they received a $600 coupon for their services. The obstacle course is similar and is inflatable. They will also be providing a water volleyball court which costed $1200 for generators. She asks if they will be paying for staff; they will not, instead the sisters will be trained how to work the course. Senator Lake asks what the purpose of their organization is; they work on community service and are required to do 15 hours per semester but they go above and beyond and actually do around 70. They are recognized nationally and wish to expand on doing more than their required hours. They do six projects in different areas to give back including body image, shoe drives, mental health, specific sisters, etc. Senator Lake asks if they have funded other events through dues. They are trying to expand and doubling their events. They also pay for many out of pocket items like shirts and transportation to the valley. Senator Lake asks if their formal is yearly. It is; their goal is to raise $500 this year and they will be doing a raffle which will cost and bring in money. The Raddison will cost $700. Senator Woodhouse inquires about the $50 Krispy Kreme fee on their budget; they will need to travel to Phoenix to get the donuts, so it will pay for gas. They have significantly improved from last year and placed second in the conference ahead of UCSD and UA. They are asking for funding for the bus and driver to attend a tournament at Cal Berkley next weekend for the pre-game series. They drove to Santa Barbara recently and got third out of eight teams. They drove themselves after the tournament ended and did not return home until 4 AM because they could not fund a hotel room, which is a safety concern. Senator Fox asks if they have come for funding before; they did last spring, but not this year. They wish to give back to the students. The budget includes many organizations financially supporting this event. They wish to rent a hall at the DuB for easy student-access. Otherwise they would have gone off-campus, but they wanted to make it as easily-accessible for students. The tickets are $3 and Sodexo is helping with funding; however, they still need money. They are mainly paying for NAUPD (9 officers) and have already met with them to ensure a safe event. It will also pay for giveaways like glow sticks, waters, and first aid kits. Senator Lake wants to make sure that the budget line is correct and thought that they agreed to only use budget names. Because it mentions the diversity events line in the bill, it is okay. It will help cover costs for the environment fee and the entrance fee, which totals to $711 for 9 people to attend. They hope to bring an understanding of cultural and geographical understanding and an enhancement of the organization. President- Sammy Smart -President Smart reports that the tuition hearing went really well last night and thanks those who spoke. We had the most students speak on behalf of the tuition pledge and in general. All students were aligned in their statements. President Haeger was pleased with the attendance. A new student regent was appointed from UA and is a sophomore currently. Next year, she will be an ex officio member and then will have voting rights. There will be a tuition vote next week in Tucson. On Friday, they will be discussing it with university presidents. It was a 5% increase for in-state students for incoming freshmen. Hours are due today! The state of the student address was cancelled because of the snowstorm; instead, they will be invited to the LOUIE awards. b. Vice President of Student affairs- Annsley Niemann - VP Niemann reports that there is a new route for the Undie Run, which will be more on the North Campus. It will go by many residence halls! They are planning on getting DJs out there and ASNAU members will have first aid kits and fanny packs for safety precautions. As far as working, she will need everyone to work the event. Sign up on the sheet. The dress code will be jeans and polos. We will also be wearing traffic vests. Sammy thinks that we should wear underwear over our clothes, but she disagrees. You can wear shorts as long as they are respectable. It is April 26th. We will also be handing out ASNAU shirts at the end of the run and there will be tabling to hand out the kick axe shirts. If you work office hours during this time, then you can use these events to replace it. This is the last week for the Snowjack Express and there will be a confirmed amount in the line next week. c. Vice President of Academic Affairs- Ryan Lee -VP Lee reports that hours are due this week. Additionally, he is going to start exit interviews which will give him three weeks to do 14 interviews. They would like to have opinions and recommendations for next semester. Thank you for all of your hard work this week, remember to maintain your hours schedule. Please be available for the next few events! Put up the posters, as well; they are very important to attendance! Remain strong about the budgets and signatures. d. Chief of Staff- Makenzie Mastrud -Chief of Staff Mastrud reports that she sat on the study abroad committee and they reviewed 55 applications and they discussed funding. They cannot fund all of the people that applied; it was unfortunate to see them calling other organizations for funding. She has been working on next year’s budget, which will be presented on April 25th. Discuss with them any comments or concerns that you have. Ticket sales will be going on for a 12-hour period. The doors will open at 10 AM. They need their student ID to get into the concert. She has been working with the Health Promotions representative for a presentation on SODAS. If you work the extra shift, then you can get an extra ticket. Staff Reports A. ASA- Jack, Danielle, Shayna -ASA reports that the ASA jobs will be up for applying. You do not have to have served on ASA previously to apply! It is a great opportunity to get involved. Next week, there will a board meeting on Wedneday at 6:00 PM at UA’s law school; you can still call in if you cannot physically be there. Please show your support if you would like. Yesterday was the tuition hearing, which went well. Shayna attended the committee of the whole hearing, which passed. It is expected to pass on a party line vote. It looks like the Democrats will be against it and the Republicans will be for it. HB 2169 will not allow student orgs to donate to political campaigns and will prohibit them to take a stance. During the committee, there was another amendment, Senator Tobar proposed an amendment to reword things so that it would prohibit ASA from funding political campaigns but could still exist. Is the bill saying that they cannot donate money or time? It says funds, but does not say time. She has also been working on a budget for next year’s ASA and has been cutting as much as possible. The executive director has been drafting many grant proposals. She is shooting for the end of April for a finalized budget. Our communications director has left to go to another organization, and the organizing director will be leaving tomorrow. B. Public Relations- Matt Villa -He reports that they have been having problems with the posters; they are just going to have SUN entertainment do it. They are working on passes for you and your guest and invitations for the banquet. C. ITS-Joey Smoll -He is working on updating the site for chief of staff and staff packets and descriptions. D. Special events- Tony Buchta, Sara Martin -They report that there is a sign-up sheet; please work four total hours. Contracts for the banquet have been finalized. One concern that she has is that the poster looked folded and crumpled, so please be considerate of all of the time put into it. E. NSG- Representatives -This week, they have hung up posters for their philanthropic event. The money will go toward Matt’s Chemo Bags. Go to the Facebook page for more information. Committee Reports A. Appropriations: Senator Woodhouse thanks President Smart for stepping into the meeting to make quorum. If anyone would like to run a meeting, contact her. B. Legislative: Senator Lake reports that they will be meeting today after this meeting. It should not take too long; the final meeting will be April 13th, so that everyone can attend. They only want to vote once so that they do not have to take up too much time. They are discussing a probation status for senators; you are either a full-time senator or impeached. He also wants to discuss people holding more than one position in ASNAU. Senator Reports College of Arts and Letters a. Shannon Boruch-Senator Boruch reports that she has been doing her office hours and has given out OA packets. b. Anthony Lake-The all-state music festival will be held in Flagstaff soon on the 20th. He also thanks the team because when he first joined the organization, he did not know what the organization was. Now, the music building and majors are very grateful for the increase in the funding given to them. He did two bills this week and worked over spring break; he was contacted by four clubs for funding this past week. College of Social and Behavioral Sciences a. Samantha Cross-Senator Cross reports that they had a dean’s meeting. She also wrote a bill; if anyone is willing to take her hours, please contact her. b. Jeremy Reddig- Senator Reddig reports that he did his office hours and made appointments. Additionally, he has been paying attention to people that need help. College of Health and Human Services a. Derek Lopez-Senator Lopez reports they will be meeting with their dean in April. He also reports a slow week in the office, but he met with a dental hygiene student and was emailed from another club about funding. b. Dominique Creer-Senator Creer asks for suggestions for the task force committee; please email her about teacher evaluations and professors so that she can give a thorough report. The report will be given next Wednesday. If anyone is interested in attending at 1:00 in Cline Library that would be great. College of Education a. Kelsey Smart-Senator Smart reports that they are hoping to meet with their dean once more. It has been very slow this week; however,there may be another club coming in for a bill. b. Adam Fox-Senator Fox says that he met with ASUA over spring break to create stronger ties between in-state universities. College of Business a. Jeremy Chan- Senator Chan reports that they are still hoping for a dean’s meeting. He wrote a bill for ASNAU and had an interview with another senator about the College of Business. He also gave out funding packets. b. Derrell Tenney- Senator Tenney reports that he has a meeting with a club tomorrow and he has worked his office hours. He also played the accordion for four hours and was asked to play it at the banquet. College of Forestry, Engineering, and Natural Sciences a. Oregon McDiarmid-Senator McDiarmid reports that they had a dean’s meeting and received information on the new building that they are putting up. They were updated about ASA. He is working on the homecoming thing and has reached out to other organizations. Hockey will be coming back next week. He thanks Shayna for going above and beyond for ASA. b. Shayla Woodhouse-Senator Woodhouse reports that she wrote a bill for the NAU Club Baseball. Additionally, she asked about the concert poster. Advisor Reports (Rick Brandel and Art Farmer) Rick Brandel—Dr. Brandel encourages Senator Tenney to play the accordion. He has volunteered to work at the NAU Undie Run and will not wear inappropriate shorts. He will be distributing pamphlets regarding how to appropriately wear fanny packs for the Undie Run. He thanks everyone who took the time to go to the tuition hearing last night. If you go beyond your four years, you will then take the pledge tuition of the class behind you.
