Incredible Children’s Art Network (iCAN) Director of Finance and Operations 11/15/13 Overview: The Director of Finance and Operations is an entirely new senior administrative position joining the leadership team at the Incredible Children’s Art Network. Reporting to the Executive Director, the first Director of Finance and Operations will help define this new post and will: Oversee and manage the financial and accounting functions including all aspects of general ledger and profit and loss statement (i.e., reconciliation, analysis), cash management, payroll reporting, accounts payable, financial statements, annual tax filings, and annual budget preparation. Oversee the maintenance, upkeep and planned renovation of the 16,000sf iCAN facility, as well as manage iCAN capital equipment inventory and facilities needs at multiple established teaching sites within Santa Barbara Unified School District. Oversee all human resources, information technology, and legal and compliance requirements. Provide timely and accurate financial and operational information to the Executive Director as well as the Board of Trustees. Work collaboratively with the Executive Director, the Directors of the Visual Arts and Music Programs and the Director of Network Relations to develop short-term and long-range strategies and to ensure oversight for the organization’s financial and operational stability. Duties and Responsibilities (including but not limited to): In coordination with iCAN’s independently contracted accountant, maintain general ledger including reconciliation of all balance sheet accounts; prepare monthly close and financial statements; update statistical reports; support financial reporting for grants and development purposes; prepare for the annual audit and IRS Forms 990, 1099 and 5500 and any required state public charities reports; plus other filings/reports as required. Oversee implementation and coordination of operating account practices and policies; track daily balances, reconcile accounts, manage cash resources and banking services. In consultation with the Executive Director and other senior iCAN Staff Team members, develop annual operating and capital budgets; prepare monthly reports on actual vs. budget with updated forecasts. Prepare monthly iCAN payroll; supervise reconciliation of payroll deductions. Monitor payroll filings and reports. Serve as direct liaison to iCAN’s fiscal agent, the Santa Barbara Education Foundation in its administration of the payroll and Human Resources requirements for the staffing of the Visual Arts Program (only). Supervise administration of medical, dental, vision, 401(k), 403(b) and other employee benefits programs; maintain accurate and complete employee personnel files; review and respond to unemployment compensation claims. Supervise any sales transactions and invoices for miscellaneous services provided to other institutions and individuals. Oversee ongoing building maintenance, upkeep, custodial and setup services; negotiate recurring maintenance contracts, equipment purchases and leases. In close coordination with the Executive Director, represent iCAN in the planning and execution of an extensive new major capital project and improvements. Oversee maintenance and integration/administration of the iCAN database, financial accounting and various other systems; coordinate IT requirements – hardware, software and network needs. Qualifications/Experience: Exceptional expertise in financial/budget and facilities management. BA/BS required. MBA and/or CPA preferred.
