CTC Board Meeting December 16, 2014 CTC President Bill Brock called the meeting to order at 5:00p.m. Welcome – Bill Brock Introduction of all present at meeting Minutes November minutes were approved as mailed. Members present: Ryan Shrum, Cristi Garner, Randy Whorton, Sujeel Taj, Ron Branam, Michael Leary, Hugh Enicks, Austin Garrett, John Crawley, Steve Smalling, Steve Tompkins, Dick Miller, Jennifer Heinzel, Sarah Barnes, Jessica Marlier, Mike Usher, Mark Wisdom, Chas Webb, Jane Webb. Also present, Club Manager, Stacey Malecky President’s Report - Bill Brock Bill informed the group that the By-Laws have been worked on extensively by our committee to edit and improve the wording. Bill read aloud several sections and explained the changes. Vote on approving the new by-laws Motion, 2nd, approved. Wiseman Award Bud Wiseman is 76 years old. He has done 25 Boston marathons. We will recognize him at the banquet with a new award. It will be called The Special Achievement Award. Ron Brannam explained it will only be given out occasionally (as needed). Website Redesign ~ Bill Brock We have wanted to add to and improve the website for quite a while. This is now “in the works”. Club will work with Bill on the main site and also the administrative site (which is the behind the scenes approach for website administrators to add/delete. This will be modern and more user-friendly. The volunteer sign up area will be enhanced. We are also looking into having online registration for races instead of using Active.com. Bill will prepare a proposal which outlines the design and the cost. Community Relations ~ Bill The committee is doing great work. We will have a 2 documents that describe everything we do and how we give back to the community. It will include all the major facts. We need this for sustainability and to raise community awareness. Bill read from the document. This will help answer the question of potential donors ~ why give back to CTC financially? Topics Covered: Time, Talent, Resources, Volunteers, Charities, Good Spotlight on Chattanooga. Bill explained how impactful a document like this can be and how it can be shown in a presentation or handed out. We will have an Annual meeting/review with the city – like a press conference. Also, the development committee is striving to raise money. A membership sign up model will be expanded to allow donations to help meet our goals. This document will be given out and announced to members soon. Financial Reports/Review - Steve Smalling The Chickamauga Battlefield Marathon had $17,000 great revenue than last year. November shows $38,000 more in outflow than inflow – paying CBM bills and Make A Wish bills. Foundation grant was received. We incurred a loss on the Youth Cross Country Series. Set of financials and detail on each race. Motion, 2nd and approved. Communication – Stacey for Sue Barlow Will hold a transition meeting in early January. Sarah Barnes will assume leadership. We need more people to join this committee. Interested parties please come to this January meeting. Membership – Chas Webb 935 members. What can we do to engage our members? Not the usual participants – encourage – notice them. Discuss timing, equipment and awards. We need to foster common understanding, surveys, best practices. Infostructure- efficiencies – standard practices. Utilizing resources. 2015 Race Calendar draft handed out. Motion to accept schedule – 2nd, Approved. Discussion - Wauhatchie conflicts with Lookout Mountain Trail Race. Discussed pros and cons of moving it. 2015 ROY RULES We have made some changes in the age categories (under #3). Added: Junior* Men/Women 17 and younger. Young Adults Men/Women 18 – 29 Under Points Earned: Added the following: Completion of the Chickamauga Battlefield Marathon will earn bonus ROY points. Completion of the Scenic City Half Marathon will earn 50 bonus ROY points. Added under #8 Awards – Overall Male & Female; Overall Male & Female Masters; Overall Male & Female Grand Masters; Overall Male & Female Sr. Grand Masters. Also ~ Top 3 Male & Female Competitors in each category. * Overall Category are not also eligible for Age Group Awards. Junior ROY Races Include the following: Scenic City 5K Chickamauga Chase 5K Raccoon Mountain 5K Affordable Botox Superhero 5K Chattanooga Chase 1 Mile Jr. Race And all other ROY races This will go to members January 1st. Long Runner award – Data in by November 30th Motion, 2nd, approved. Old Business Hugh Enicks reported on Nationals. There was a huge field and the Best Runners in Masters Open. 600+ running We were very competitive. We were 15th team out of 36. CTC sponsored the team. 40's Team Members:Dean Thompson, John Sillery, Ryan Shrum, Chance Regina, Tripp McCallie 50's Team Members: Hugh Enicks, Tim Ensign, James Wooldridge, Bill Minehan, Mario Wilkowski, Martin Nagy Indoor Nationals coming up in March 2015. Upcoming Races: Pistol, etc. Rocket City Marathon – attended by Bill Brock and Dick Miller. Chas & Cristi Webb have entered the Asheville Race at Biltmore Estate in Asheville. January 15th – Annual Report to Community. More details soon. Board Retreat will be in late January ~ notices going out soon with details. Annual Awards Banquet January 17, 2015 at Doubletree Hotel.
