Main Purpose of the Job:
Basic reason for, and purpose of, the position
Lead a professional, highly motivated and target driven team, ensuring sustainable stock
is sourced and distributed to support our retail activity to generate sustainable income
for the Willen Hospice.
Key Accountabilities:
Key points that you will use to measure a person’s success in this role
1. Working with the Retail & Lottery Manager, devise, develop and deliver a
strategic programme of activity to ensure retail activity is adequately resourced
with appropriate stock levels to ensure retail targets are achieved.
2. Responsible for the day to day management of the Distribution Centre and Store,
maintaining high standards of quality control and stock rotation. Ensuring
merchandise is distributed and selling space is maximised within the Store.
3. Recruit, train and effectively manage the Distribution & Store Team including
volunteers, ensuring they have the skills required to fulfil their roles to their full
potential.
4. Ensure the team deliver high quality customer service and take a lead in
responding promptly to escalated customer enquiries and complaints ensuring all
supporters have a positive experience of engaging with the Hospice.
5. Support the Retail & Lottery Manager with developing and implementing new
initiatives to generate stock and income e.g. house clearances, donation stations,
mobile retailing, whilst liaising with external providers as required.
6. Ensure the Distribution Team maintain an accurate record of stock and sales
activity on the retail stock management system including retail gift aid.
7. Support the Retail Management Team with key activities including new good
buying, retail audits and budget & strategic planning.
8. Develop a strong working partnership with colleagues across the department and
the wider organisation.
9. Ensure the team operate within the Organisational Policies and Procedures, meet
the highest standard of cleanliness and merchandising, and comply with statutory
& legal requirements e.g. Trading Standards including electrical testing.
10. Undertake other duties as requested by Retail & Lottery Manager or Director of
Business Development to support our Retail activity.

Requirement
Requires tact and persuasive skills to motivate staff and
volunteers. Good interpersonal skills. Ability to manage
and build teams and good relationships with all retail
colleagues, external contacts and customers.
Minimum of 3 years retail/distribution experience
required, preferably in a varied product background.
Understanding of retail legislation required. Experience of
managing a team essential. Knowledge of charity retail
preferable.
Assess specific/one-off items for specialist evaluation.
Devising and implementing new ways of generating
income from external resources. Able to assess donated
stock and determine suitability for sale. Utilise stock
holding/sales information to assist in the purchase of new
goods.
Planning, good organisational skills and ability to delegate
work to the team organising deliveries/pick-ups from the
retail sites, suppliers, donors and general public. Driving
skills.
Regular use of PC including email, stock system & Gift Aid
documentation. Movement of goods etc. using the
equipment provided. Stock handling on a daily basis.
Merchandising skills preferable.
Incidental contact with patients and ensures good
customer care to supporters and suppliers acting as an
ambassador for Willen Hospice at all times
Responsible for ensuring hospice policies and ‘Sorting and
Distribution’ guidelines are adhered to by volunteers
working within the team. Expected to make
recommendations and propose improvements for
operation of own area and working practices. Operate
within organisational policies and adhere to the Shops
Manual.
Ensuring weekly sales evaluation of income. Balancing
cash to send to finance dept. Responsibility for stock
items, updating CRS as required & pulling reports to
maintain stock levels. Daily cash handling, banking of
daily takings etc. Reconcile sales from till rolls.
Training and development of staff and volunteers within
the store & distribution area ensuring mandatory training
is completed. Conduct appraisals in line with Hospice
policy.
Use of IT for email and documents. Ensure the team are
informed of Hospice policies and of other hospice

necessary. E.g. Volunteer contact details, Pick-ups and
deliveries etc.
Pro-active approach required for developing ways of
generating increased income from the stock and the
Store. Liaise with local companies. Should be aware of
market place & competition.
Role is managed not supervised, operating within agreed
guidelines and operating procedures, able to act with
discretion within a set of defined parameters. Able to
escalate as necessary.
Often standing to sort and price stock. Moving and
handling of sacks and cartons of donated stock. Constant
requirement for stock handling and some quite large
items – receiving deliveries and merchandising of stock.
Concentration required when updating schedules and
records, using computer skills. Workload can be
unpredictable due to nature of donations.
Tact and diplomacy and to demonstrate empathy when
dealing with staff and volunteers. Indirect exposure to
distressing circumstances.
Reasonable environment, but weather dependent.
