We made it potluck style, which was a lot of fun. It was nice getting familiar with my club members and just relaxing together. When I sent out the email for this meeting, I used the term PEN in the subject line, and PEAC in the body. The former adviser told me that this was a definite no-no, so that was a learning experience. I was approached with the offer to be an officer for PEAC. I was nervous about the idea of jumping into a leadership role for a club that I had not been involved in for very long, but Nathan, Amy, and Laura ensured me that they would support me every step of the way. This was the first time I had met Laura, so I was surprised that she already wanted to be the president. It was a good meeting, though. Nathan is very patient so that was nice, considering I was still pretty new to being an officer. During this meeting, we all were trying to decide on a new logo for the shirts, and discussed the paperwork involved in passing over the officer responsibilities to new officers. When I began in PEAC, I started as the VP of Action. Therefore, it was my job to determine how we might find ways to raise more money for the club. I spent some time looking over ASU’s website, Summer 2012 1 hour Officer meeting with Laura Smith (new president), Scott O’Connell (vice president) Corri Wells about t-shirts, logo, conference, etc. 7-19-12 1.5 hours Officer Meeting and even went through some old USG packets with my roommate who was President of PAB on Tempe campus. We sat in her office for quite a while because there were a bunch of documents from years past, but not a lot of recent ones. She helped me figure out some great opportunities, but they would require a lot more volunteers than we currently had in the club. These opportunities included stadium clean up and doing concessions at basketball and football games. I was in charge of concessions for football games when I was in student council in high school, so I thought this would be a great idea for us. It was interesting to transition from Nathan, who was very laid back about the club, to Laura, who wanted to accomplish things immediately. We went over ways to create a new logo and began talking about the Prison Education Conference. An officer meeting was held with Corri, Laura, Scott, and myself. Because I held the title of VP of Communication, I was designated the tasks of putting meeting minutes up on Orgsync for members to view, as well as emailing members for participation in Homecoming events such as a “Game Day Grant” tailgate, Stadium Cleanup, and MU window painting. We also spoke about bridging the gap between PEAC/English Department with Justice Studies, t-shirt quotes and designs, speakers for the March ’12 Prison Education Conference, and reaching out to other ASU campuses. This meeting was all 8-20-12 – 825-12 2 hours Logo 8-28-12 1 hour General Meeting about getting a step ahead so that we can still plan our conference, but meanwhile attempt to expand our reach throughout the ASU campuses, and spread our name around the Tempe campus during Homecoming. This was an exciting meeting because we had so many opportunities to get involved with the events happening on campus. This was a very long process! We had one of our members ask her talented friend, James Choe, to design a logo for us (our current one). I was in charge of communicating and being the middleman between him and the rest of the officers. Because Corri’s husband is an expert in design, we had him look over it several times, so it was a backand-forth process for a few days. James and Corri’s husband perfected it eventually, and we printed it on the shirts. I met up with James and gave him one of the shirts and had him sign some documents that gave us permission to use his work. This general meeting was the first of the semester, so Laura began by introducing all of the officers. We wished to add more VP’s to the club so that we could divide tasks and be more efficient, so we also asked if anyone would be interested in signing up to be an officer. We distributed handouts about joining PEAC and assisting us in our goals, as well as information about related courses and internships and the purpose of PEAC. We also used this opportunity to vote on the tshirt designs, so that everyone in the club would enjoy wearing 10-9-12 1.5 hours Officer Meeting 11-6-12 30 min Winter budget request 11-11-12 30 min Creating photo release form 11-29-12 2 hours General Meeting them and be proud to do so. We also went over our budget and conversed about inviting Alan Elsner to speak at the conference. During this meeting, Corri, Laura, Scott and I discussed details of the conference, the PEAC webpage, our upcoming vendor on Hayden Lawn, Homecoming events, and various other small items. This meeting was a bit stressful because Homecoming was quickly approaching, but it is difficult to get involved in such a big event when there are very few members in a club. We were still in the process of planning the Prison Education Conference, so it was hard to manage several tasks between three officers. Soon after this meeting we ultimately decided to opt out of participating in Homecoming events this year. For this budget we requested money for food for meetings, flyers, apparel, and gifts for conference speakers. I was hoping for a good amount of money for gifts for speakers so that we could ensure they would be really nice. However, we didn’t receive funds for this item, so we had to find the money for speaker gifts elsewhere. To create a photo release form for an upcoming meeting, I researched the best formatting and most appropriate content for our purposes. I did not have a solid sample to work from, so I was a bit nervous that it would not be what we needed. In the end, however, it seemed to go over well. This meeting was very successful because rather than just 12-3-12 1 hour Email Group Creation 12-6-12 2 hours Officer Meeting discussing ideas, we accomplished tasks. Scott stepped down from an officer position, so we signed up two more VP’s, Gloria and Annette. It is always fun to work with new people that are passionate about the goals of PEAC. We received tshirts, locked in a vendor spot, and planned a holiday party. We also decided that we would hold a weekly meeting so that we could easily follow up with each other when we were all on campus at the same time. It was great to add two great people to the club because even small things like creating a flyer are very helpful and gives other officers the opportunity to complete other tasks. This is a task that should not have taken very long, but took me what seemed like forever. Laura assigned me the task of creating an email list of every member in PEAC because she did not like using OrgSync. I tried to export the list from OrgSync, but for some reason everything got jumbled and it was next to impossible to sort them out. I ended up manually putting emails into a group in my Outlook email program. There were a lot of names, so I’m sure I will find a way in the future to better accomplish this task. This meeting was spent discussing the logistics of the conference. We discussed the many different ways we could possibly receive funding from different colleges and/or organizations, the menu, and the schedule of events. This was a bit of a stressful meeting because it was all about the numbers of the 12-6-12 30 min Finding contact/bank account information 12-11-12 1 hour Officer Meeting conference, which is the most nerve-wracking part. What if we don’t have enough money? What if we don’t have enough support? We split up the duties, which mostly consisted of contacting certain departments and orgs. This relieved some stress off of each us so that one person was not responsible for contacting a long list of possible resources. Laura asked me to create a document that had all of President Crow’s information on it, as well as his staff’s. She also requested that I find information on how we open up a bank account, so I grabbed one of the packets that my roommate had given me from our research for fundraising and found some info on that. This meeting was also dedicated to the conference, but this time we had solid information. We planned a meeting with Maureen Goggin to see if she would be willing to fund a small amount of our budget for the conference, solidified two speakers on the schedule, decided on a menu, and threw around some more funding ideas. It felt great to end the last meeting of the semester on such a high note. We were all excited for the spring semester to start so that we could solidify more conference plans. This was one of the last meeting that Gloria and Annette attended, however, so although I’m not sure if it was too stressful for them, or if they believed we were focusing too much on the conference and not enough on other tasks. Even so, they helped a great deal, and we were grateful for their contributions 12-17-12 1 hour Emailing/Ordering/Confirming for t-shirts 1-9-13 1 hour Meeting with Maureen Goggin 2-20-13 30 min Creating blurb for State Press 2-20-13 2 hours Coffee Mixer during the time they were involved with PEAC. I was in charge of conversing with Anton Sport to order our t-shirts. They ended up looking really great. It is always a long process when trying to place an order when there are several people that need to confirm the design and price, but worth it in the end. Corri, Laura and I met with Maureen Goggin about the conference. She was very impressed with everything we had accomplished in such a short amount of time, which was great! She agreed to give us $1500, so we were all relieved that we had some more financial backing. It was a great meeting, and it was encouraging to know that she had so much faith in our club. Laura gave me the task of creating a blurb for the State Press that would advertise our coffee mixer, conference, and hopefully recruit new members to the club. She could be a bit picky when it came to things such as this, so we worked on it for a bit until it was perfect. I appreciated her guidance, and was excited for the coffee mixer to see if the ad would work and bring in some students. We held a coffee mixer so that anyone interested could stop in and chat with us about the club and conference. A few people stopped in and gave us their info. When there weren’t others in the room, we had the opportunity to take care of business matters. I like get-togethers like this because we have the opportunity to accomplish some lingering tasks for the club, but it is relaxed with no pressure. It was also 2-27-13 30 min Phone conference to discuss tabling 2-29-13 3 hours Tabling at MU 3-7-13 1 hour Officer Meeting 3-19-13 2 hours Drafting a script “snowing” that day on campus, so that added some excitement to the event! We talked on the phone about the labels and water bottles for tabling in a few days. Jess was in charge of getting the labels done, and I would drive to campus so that we both could go to the store to pick up some water bottles to tape them on. Jess and I advertised PEAC and handed out water bottles. The water was a hit because it was a warm day, so hopefully they took the time to read the label. We had a few very interested students stop by. Carrying the water and supplies wasn’t the most fun or easy thing to do, but it was a stressful day for me so this was a nice and relaxing thing to do with my teammate. For this meeting, we wanted to tie up some loose ends for the conference. We talked about things such as transportation for speakers, flyers, dinner after the conference, who we would be giving t-shirts to, and final budget numbers. The conference was quickly approaching, so we were all a bit frazzled at this point. Although I was excited for the conference, I couldn’t wait for it to be over so that we could all get a break. On this day I met with Corri to help me with my script for the conference. I appreciated her very much for giving me her insight on this. I had a rough draft to work from, but she gave me a lot of information about the speakers so that I may be better educated. It was nice that we had some PEAC officers and volunteers who would introduce 3-20-13 30 min Email Correspondence 3-22-13 2 hours Officer Meeting the speakers so that the talking would be dispersed between everyone. I did have quite a long introduction in the beginning about the early days of PEAC, so it was fun to reminisce with Corri about that. After getting her help with the script, a lot of my nerves were relieved. It is also nice being able to speak your writing rather than have others read it, so that you don’t have to worry about grammar! That shaved off a lot of worry. This was a very stressful, nervewracking, and disappointing day. Corri, Laura, Jess and I spent a long time updating each other on what was done and what needed to be done. Laura scolded me because I wanted to focus on my already assigned tasks for the conference rather than make a drive from my home in Glendale to Tempe to have a meeting about a webpage that was not an important aspect of the conference. After working so hard, practically being her secretary, and sacrificing a lot of my time for this event, I was shocked that one missed, unnecessary meeting would conjure up so much hate. Awful as it was, I learned a lot, which is all I could ask for. Tense does not begin to describe the air between everyone in the club and the president. It is not fun or efficient to work in an environment like this, so we decided to let it go, put a smile on, and get through this conference with heads held high. We’ve worked much too hard to let this get in the way. During this meeting we talked about the finalized logo, pick up of the t- 3-26-13 2 hours Last meeting before Prison Education Conference 3-28-13 3 hours Preparing for Prison Education Conference shirts, finalized transportation of speakers, materials for speakers, when we would meet at University Club the day of the conference, details of the civil dialogue, photography and filming of the event, dress code for officers, parking, next meetings, and a few other various items. Phew! The purpose of this meeting was to finalize plans for the conference, such as who has which duties and what left there is to do. It was nice to all be able to be on the same page and walk through the conference together so that we were prepared for anything. It was a bit difficult because communication within the group had become strained, but those of us who were still working together were able to team up even more successfully than before. It is never good to lose a member of a group, but we made it into an experience that made our group stronger. Even with all the stress this situation put on us, we were able to put it aside and work on making this conference the best one yet. I made a script for myself for the Prison Education Conference because I would be emceeing the event. I was so nervous! I am generally a quiet person, so I was more nervous than excited to be the host for the day. I wrote and re-wrote my words several times, but eventually I was confident with the script I had written. I have made several speeches throughout my academic career for leadership positions and class assignments, but I have not had experience being the emcee for a whole day! I was interested to 3-29-13 12 hours Prison Education Conference 4-20-13 1 hour Meeting before dinner 4-27-13 2 hours Phone Conference see how I would perform in the end! We held the Prison Education Conference, which I emceed. It was amazing! I was nervous the whole day because I was wary about speaking, but I learned a lot from the experience. The speakers, handouts, food, guests, and all of our volunteers were awesome. The dinner we had afterwards with our speakers and related professors was so much fun. Opportunities like these are some that I will never forget. Corri, Jess and I met before we went to dinner together. The meeting was mostly just getting organized and ensuring we had certain paperwork. It is always fun to be around Corri and Jess, and it was great that we could get a lot accomplished before going on a non-business related dinner. Corri, Jess and I spoke on the phone about revising the constitution and other items we would talk about for our upcoming meeting. The biggest stress was making sure that we would have enough members there to be able to officially vote in a new constitution. Prior to the call, I spent some time editing the constitution and ridding of obviously “power-hungry” statements, and then sent it to Corri and Jess to look over. We all easily agreed on changes, so that was a relief. We were nervous that our former president would come to the meeting and oppose the revisions, but we hoped that we would have enough positive members there to outvote any opposition. 5-1-13 1 hour Meeting to revise constitution, vote new officers, discuss summer funding 5-1-13 1 hour Credit Union 5-12-13 30 min Budget for summer 6-5-13 1 hour Phone Conference During this meeting we voted me in as the official new president, Jess as VP of Communications, and Tina as VP of Finance. We also discussed and voted on the budget. It was a great meeting because we all felt a sense of relief to vote new officers in and start fresh. I was really looking forward to the semester. Corri, Jess and I went to the Arizona Credit Union on campus in the MU to open an account for PEAC. We carry debit cards so that we can easily purchase things needed, such as water bottles. It is much, much easier to have a card to spend money that we have earned. It saves valuable time that we could use to be accomplishing other tasks. I submitted the budget for summer, which included requests for money for food for meetings, a tablecloth with our logo on it, water bottles for tabling, food for meetings, and t-shirts. I was hopeful that we would get a good amount for the tablecloth and apparel, in particular, because they are great ways of advertising the club and make us look sharp. Corri, Jess and I discussed a few items that we needed to get rolling for fall, such as budget, what materials we needed for the semester, getting our vendor set up, and speakers for the next conference. With our new and improved logo on hand, we decided that more t-shirts and a tablecloth for events were musthaves. Because Jess was the officer mostly in charge of finances at the time, we employed her to ask Renee if we could somehow combine our 30 min Budget 1 hour Researching speakers/ideas for Prison Education Conference 7-3-13 7-3-13 entire budget to spend only on these two items. I took the task of contacting Eric Kessler, who was our vendor the past year. I needed to let him know that I was now the president and person of contact, and ask if he was still interested in working with our organization. We also began brainstorming about who we would want to invite to speak at the next Prison Education Conference. Corri mentioned Professor Keith Miller, but we decided that we would first research other speakers before contacting him. I completed our budget with the requirements and restrictions of the USG Appropriations Packet in mind. Due to the fact that we would not need much marketing materials and no conference money until the next semester, I requested funds for catering for general meetings with other PEAC members, t-shirts, and a small amount for marketing materials so that we may get the word out about our meetings. Our club draws an immense amount of curiosity, but few are willing to break out of their comfort zones and join our quest for supporting prison education. Due to this lack of action, I thought it important to have materials to advertise our organization, dates, and purposes of our meetings. Before an upcoming phone meeting, I wanted to get some research under my belt in regards to who would be good candidates to ask to be speakers at the conference. I stumbled across the website for Arizona Association for Lifelong Learning, 7-9-13 1 hour Phone Conference 6 hours Reading Marshall Frank’s Criminal Injustice in America: Essays By A Career Cop 1 hour Email to Marshall Frank 7-20-13 through 725-13 8-15-13 which I thought would be a great resource. I also found some affiliates of theirs: Arizona Education Network, Mountain Plains Adult Education Association, and Commission on Adult Basic Education. Perhaps these would be good contacts. During this phone call, we decided to contact Marshall Frank as a potential speaker, and tried to solidify a date for the conference. I think this was the most stressful stage of planning the conference because it was a lot of “what ifs.” I wanted to read as much about Mr. Frank as I could so that I would be educated before asking him to grant us such a huge honor as to speak at our conference. Before contacting author and excop Marshall Frank to be a speaker at the Prison Education Conference, I wanted to read one of his works so that I had a better idea of who he was and what he stands for. I found his book refreshing in the way that he writes what he truly believes without a fear of the critiques he might receive about his thoughts on controversial subjects. This book took me awhile to read because I wanted to go back and re-read some parts that I thought were important, such as (obviously), his thoughts on education in prisons. By reading his book before contacting I was also able to reference some of his thoughts that support our goals when I did email him, so I think this gave us a bit more credibility. PEAC and myself were honored when he accepted our invitation to speak. Of course, I sought revision from Corri and Jess. I added a quote from his book that really sums up the goals of PEAC, “Many leave prison angry and most likely to return one day because they have not been schooled, rehabilitated, treated, trained, inspired or instilled with a sense of self-worth” (XII The Business of Prisons). I hoped that this would provide him with encouragement that we are all on the same page and would be honored to have him as a guest. I was anxious to get a response! Although I had the base of the email written out from my previous email to Mr. Frank, I took the time to watch Mr. Pica’s videos on his website for a second time and research his mission a bit further before completing the email. As before, I was very anxious for his reply. Corri, Jess and I were all under a lot of stress because it was the start of the semester and the prime time to accomplish tasks for the conference. We talked about the acceptance by Marshall Frank to speak at the event, documents for our vendor, meeting with Dr. Mark Lussier, estimates for the University Club, and other various items. It was a very hectic phone call – we each had a lot to accomplish. A very kind and helpful vendor has been helping us out with raising money for our conference. I was glad to accept the task of communicating with him to see if he would like to work with us again, and soon after begin our paperwork for the 8-21-13 4 hours Passport to ASU 9-9-13 2 hours Phone meeting about conference budget and meeting with Dr. Lussier 9-11-13 1 hour Meeting with Dr. Mark Lussier 9-11-13 3 hours General meeting 9-30-13 1 hour Researching ideas for PEAC club involvement sales. It was a bit of a long process, but a simple one. Jess, Tina, Eric and I advertised PEAC at Passport to ASU. This was the first time we had met Eric, who was very interested in becoming involved with the club. He is very eager to help our cause, so it is so nice to have him on our team. We had a lot of students sign up for our email list, so it was a successful day all in all. We met on the phone to plan out what we would talk to Dr. Lussier about. We made the calculations for our budget we have so far, what we plan to have after fundraising, how much lodging and airfare will cost, etc. It was a long process but it felt good to be prepared. Corri, Jess and I met with Dr. Lussier about the conference. He was gracious enough to give us $3000 for our budget! I was very nervous because it is a daunting thing to ask someone for money, no matter what situation it is. All in all, it went really well and Dr. Lussier is a very kind man. Tina, Jess and I went to catering and brought food back to LL for our meeting. The meeting went pretty well, we don’t have a large quantity of members but I do think we have quality – which is more important. They suggested visiting prisons and making a documentary with students around campus about prison education. Hopefully we can find a way to incorporate these ideas into the club. 1. Movies approved and recommended to be shown in prisons – how are these films educational/beneficial for inmates? What other movies would be more effective? 2. Producing a short video with interviews from students around campus – what do you think about education in prisons? 3. Roundtable Discussion – what is most important to be taught in prisons? Reading and math? Parenting and community involvement? 4. Educating each other – how do we react when someone opposes our goals/beliefs? Do we try to persuade? What are our roles as prison education advocates? 10-4-13 1 hour 10-10-13 1 hour Officer Phone Conference During this phone meeting, we discussed the next PEAC group meeting and details about the conference. We decided that our next general meeting would be focused around two of our members who have had experience in prison - one as an inmate and the other as an intern. Prison is something that is almost unimaginable for some people, and those who think they may understand it have no idea how it really works (or doesn’t). Therefore, I believe that hearing from fellow students who have had experiences in these places will make the idea of prison so much closer to home, and because of this, make our efforts more effective. Therefore, I assigned her to order the catering for What is the connection between the Department of Correction and the Department of Education in Arizona (or other states)? Should it be stronger? What are their weakest points? Is the bridge between them too narrow or too wide? The Arizona Department of Corrections Education Program offers: Functional Literacy Program, GED Preparation Program, WorkBased Education, Special Education, Resource Centers which provide materials to support academic and personal development programs – are they working? Are they enough? If having scored under an 8th grade level, inmates are required to enroll in a “Functional Literacy Program.” Should they be required to get a GED? Or at least strongly encouraged? Why do we use the 8th grade as a median? 10-31-13 30 min Email to School of Transformation contacts Thanks to Dr. Lussier, we are beginning to bridge the gap between PEAC and other departments/colleges within ASU besides the Dept. of English. Due to the fact that prison education is a topic that many kinds of students can relate to and be 11-4-13 4 hours General Meeting passionate about, we have made it a goal to reach beyond English and include any other departments that wish to be involved. I emailed Professor Gomez, Professor Durfee, and Professor Lopez, who are all professors in the School of Social Transformation, and invited them and any of their interested students to our meeting on November 4. I am so pleased that this move is finally being made. In the past we have tried to make a connection to other colleges, but have been overwhelmed with other responsibilities. Now that we finally have this opportunity, I am hoping that it will go smoothly and that all parties involved will benefit tremendously. During this meeting, VP of Finance Tina Cai and member Eric Verska shared stories of their experiences with the prison education system. This was our best meeting yet, in my opinion, because it was the most educational and personal. It is much more effective to learn something about prison education from people who have had firsthand experience. Tina and Eric were great and I learned a lot from them that day. I hope that more students with experience with prison education will join PEAC in the future so that those who do not attend the conference but do attend general meetings will have the opportunity to learn such interesting facts and listen to amazing stories. 11-6-13 1 hour Brainstorming for book drive/email correspondence 11-12-13 2 hours Correspondence with another ASU organization/ research on gender issues in prisons During our last general meeting, we decided that a book drive would be a great idea as our last big effort for the semester. We are hoping that this will get the whole university involved, and therefore spread awareness about prison education. I emailed the other officers and inquired whether we might want to get in touch with bookstores around the Tempe area, in hopes that they might donate some books to our drive. We also talked about how we would acquire boxes to put the books in, and how we would get them to Tina when she takes them to Florence to teach at the prison. I looked through my own books and gathered up about 10 books that I want to contribute to the drive. Today I was forwarded an email by the president of the “genderwhat?!” student organization at ASU. They wanted to unite with us because of the fact that gender equality is an issue everywhere in the world, including in prisons. I asked our advisor about her opinion on collaboration with the organization, and we agreed that right now is not a good time to begin a new project with a club that we 11-12-13 30 min Correspondence with vendor are not all that familiar with. She did give the name of one of her students to the club so that they may begin a project that way, but we agreed that the officers are too preoccupied with securing more conference details and wrapping up the semester to take on another task right at this time. After this, I was curious as to the actual stories of gender inequality in prisons, and found many interesting facts about the lack of hormone treatment behind bars after sex changes, and the many lawsuits that have been issued because of this. It is a seldom explored, yet very interesting issue. Due to the fact that no one was available to get the check from our vendor while he was on campus, I emailed him to inquire if he had sent it elsewhere. Before I did this, I searched through my emails to make sure that he had not already told me his plan for this, although I was 99.9% certain that he hadn’t. He asked me about dates for next semester, so I am hoping that my fellow officers will transition smoothly into their new roles after the semester is over. It is a bit difficult to be the main means of communication between vendors and other contacts, as I will have to pass down the torch in less than a month. 11-24-13 1 hour Phone Conference 12-5-13 1 hour Tying up loose ends During this phone conference, Corri, Jess and I discussed altering the schedule of the conference so that we can have time for Michelle Robeiro to speak. Because she is the backbone of the Pen Project, we feel it is imperative that she be a major player in the conference every year. We also discussed acquiring hotel rooms for our speakers, and other various details about the conference. It feels great that we are 90% done with the process of pulling this conference off. Although I will not be an ASU student next semester, I hope that I will be able to help out, because once the spring semester comes, time until the conference seems to fly! Although there will still be small details to speak about after turning in this log, the final task I accomplished is to ensure that my adviser and fellow officers had materials they need for when after I am no longer an ASU student. Of course I will still be available whenever needed or wanted, but I made sure that they knew where to get things such as a blank vendor contract. I combed through all of my documents to make sure they had everything they might need. It has been a fantastic semester!
