Provide administrative support to the Manager, Staff and Residents within a diverse and busy environment. Assist in the financial management of the Cyrenian House Therapeutic Community (TC), and ensure accurate financial records are maintained. -1- Root Directory → Serenity Lodge Therapeutic Community → JDF's → JDF SLTC Administration Assistant Receptionist Duties and Responsibilities Administration Administrative support to the Manager and Coordinator. Data entry of statistics for reporting purposes (SIMS). Word Processing, internet, email and excel spread sheets. Answer all incoming calls and assign to appropriate destination. Maintain and order stationery and other items required for the day to day maintenance of the TC. Maintain petty cash. Postage and banking. Maintain reception whiteboard. Assist residents working in the reception area to develop administration skills. Take and distribute minutes of staff meetings. Weekly visit to head office in Perth to deliver and receive documentation. Support residents with transport to appointments. Other duties as directed by the Manager. Accounts Check and process accounts. Collection of delivery dockets and invoices. Oversee the Maintenance System- form collection, job allocation, job sign off in collaboration with the manager. EFTPOS receipting and banking of funds. Maintain and record rental records and other miscellaneous funds from residents. Ensure all time sheets are received and faxed. Community All members of staff have a role in the life of the TC. Administrative staff are included in community events, projects, celebrations. Therapeutic Community specific skills and responsibilities Community as Method Through active participation in all aspects of the community, staff ensure the safe environment and positive functioning of the TC is developed and maintained, encourage resident participation and interaction, and provide appropriate therapeutic interventions. Staff may involve themselves in activities such as recreation, meal preparation, dining and chores, on an equal footing with residents, as a means of emphasising their membership of the community and their participation as role models. -2- Root Directory → Serenity Lodge Therapeutic Community → JDF's → JDF SLTC Administration Assistant Receptionist Interactions between residents and staff in an informal context during daily activities help establish a relationship that facilitates therapeutic interactions. Staff serve as role models for shared community values. In general decision-making processes are consultative, with staff as objective facilitators and the final decision-maker only where necessary. The role of staff in Therapeutic Communities is not the same as that which would be expected at other AOD services. There is a therapeutic intervention provided by staff however they are not expected to be the major agent for change. This is the responsibility of the community and staff roles are to support the community as method process. Staff Role Support therapeutic interactions between resident members that support positive change and personal development. Provide objective facilitation and demonstrate rational and fair process in community decision making. Support the integration of residents into the community. Support the empowerment of residents. Support the maintenance of a safe environment and positive functioning of the TC. Encourage resident participation and interaction. Provide appropriate therapeutic interventions. Encourage involvement in community activities. Encourage interaction with residents in formal and informal contexts while maintaining clear boundaries. Encourage role modelling for the community residents. Support the offering of personal experience where appropriate. Staff need to: Handle ongoing and intensive involvement with residents. Apply the TC model. Maintain their personal boundaries. Maintain objective facilitation/‘rational authority’ in decision making processes. Challenge, and deal well with confrontation, role modelling appropriate responses. Perform varied tasks including facilitating living skills development. Relinquish control to support resident empowerment, recognising that ‘the community and not they (the staff member) are the major change factor for residents’. -3- Root Directory → Serenity Lodge Therapeutic Community → JDF's → JDF SLTC Administration Assistant Receptionist Selection Criteria TC Administration Assistant/Receptionist Essential TAFE diploma in office administration, business administration certificate, or equivalent qualification and/or experience Experience in administration work and bookkeeping. Excellent fast and accurate data entry skills Verbal communication and interpersonal skills to convey information. Written communication skills to prepare correspondence as required. Organisational skills to set up office procedures, schedules and prioritise work, manage time effectively. Excellent computing skills, including data input, spreadsheets and word processing. Numeracy skills to handle monies and check invoices. Knowledge of office procedures and systems Ability to work collaboratively with management and other employees. Ability to use initiative, work effectively under pressure and meet deadlines. Experience in accounting Experience in administrative roles Writing general correspondence.
