Post Title: Programmes & Volunteers Co-ordinator Responsible to: CEO Salary: £19, 857 pro rata Hours per week: 26 (Core hours 1pm - 5pm, Mon – Friday) 1. PURPOSE OF POST Co-ordinate sport-led activity sessions in schools and the community, across a broad geographical area and age range and develop strong relationships with school representatives, service providers and sports representatives Co-ordinate the organisation’s volunteers from recruitment to attendance at events and schools Gather, manage and produce reports on key data for use by the schools, DMSF and its funders Maintain and update, when appropriate, the organisation’s administration, databases, policies and processes and legally required documents First point of contact and therefore ‘face’ of the organisation 2. KEY DUTIES AND RESPONSIBILITIES 2.1 IN-SCHOOL SPORTS ACTIVITIES 2.2 Attend initial on-site school meetings with CEO to understand school requirements, facilities, frequency and expectations Develop tailored programmes of activities, by term, building in set rewards events, one off Plan, book and manage logistics arrangements including transport and equipment Co-ordinate and schedule sports coaches for each school and identify number of volunteers required Maintain and update a timeline schedule, attendance records and key contact information for each school Identify key contacts within each school and develop strong working relationships with them to secure diary dates, emergency processes etc VOLUNTEERS Ensure there is a pipeline of volunteers to support new schools as they sign up to a DMSF programme Regularly review, research and recommend ways to attract and recruit volunteers, co-ordinate selection and induction events Update volunteer availability and rotas weekly, advising schools and sports coaches of changes in advance Working with the CEO, develop and expand commercial volunteer partnerships Log rewards earned, specialist skills, experience etc Office Address: Wenlock Way, Manchester City Council Wenlock Way Offices, Wenlock Way, West Gorton, Manchester, M12 5DR Charity No: 1150767 Company No: 7211650 1 2.3 Co-ordinate and collate attendance records and regular feedback from children, schools, coaches and volunteers Identify patterns and trends in the MI & feedback and use to make recommendations for change and highlight opportunities to cut costs / improve efficiencies Prepare and disseminate regular MI pack and ad hoc reports as requested by the Board, CEO or partners 2.4 3 MI AND REPORTING ADMINISTRATION & AD HOC DBS applications, records and renewals Responsible for keeping databases and cloud files up to date e.g. contact spreadsheets, timetables, standard documents, forms Record and submit expenses and log ad hoc spend (?)
