Job Description Job Title: Accounts Assistant Submit Resume to: Recruiting@spe.org Summary: The role is charged with primarily supporting the Senior Accountant to ensure the integrity of the balance sheet and that month end procedures are delivered accurately and in a timely manner for the Europe, Russia and Sub Saharan Africa group of companies. Key Duties & Responsibilities: Include the following: Cash & Bank: To ensure that the cash book is updated and posted to the ledger on a daily basis and that banking of cash takes place daily (if appropriate). Prepare/assist in the preparation of the month end bank reconciliation, Sterling and Currency Bank Accounts. All reconciling items greater than one month should be appropriately investigated. Ensure that cash is reconciled on a daily basis to the reports produced by those departments. Ensure that all cheque/bank transfers payments are supported by authorised invoices. Processing BACS payments through internet banking. Ensure that the petty cash book is up to date and reconciled to the cash float. Sales Ledgers: Enter sponsorship and delegate registration invoices onto oracle and EBMS. Ensure that major accounts are regularly reconciled, that cash is allocated on a daily basis and that credit balances are investigated. Pursue outstanding debts in order to ensure that cash is collected within the normal credit period, in line with Group procedures. Liaise with the Event Managers and Sales teams re overdue balances. Ensure the sales ledgers are interfaced into the nominal ledger on a regular basis. Ensure that internal accounts are cleared on a regular basis. Assist in closing off the sales ledger at the month end, running statements, required reports and performing period end procedures. Purchase Ledger: Distribution of supplier invoices for authorisation to various departments. Ensure that all purchase invoices are correctly authorised and coded, and posted to the purchase ledger on a regular basis. Monthly reconciliation of purchase ledger balances to supplier statements. Prepare bi-monthly payment run, passing cheques together with statement and supporting documentation for signature, ensuring that cash payments are allocated regularly and debit balances are investigated. ensuring all supplier invoices are filed accurately and timely. Answering suppliers’ phone calls and resolving queries. Ensure the purchase ledgers are interfaced into the nominal ledger on a regular basis. Assist in closing off purchase ledger at month end, running statements, required reports and performing period end procedures. Job Description Monthly reporting Posting monthly journals as required. Responsible for completing monthly balance sheet reconciliations, including maintenance of the employee expense reconciliation. To help the Senior Accountant with book keeping support to the Russian Branch, as follows: ‐ Preparation of period end journals to trial balance, bookkeeping and reconciliation of intercompany transactions between Russia and the UK group of companies. ‐ Ensure all ledgers are closed off in accordance with the Group timetable, and assist in the completion of the monthly Group working papers. ‐ Ensure that all balance sheet accounts are vouched to the nominal ledger at month end. ‐ Ensure required reports run prior to performance of period end procedures. Annual and quarterly reporting Working as part of the finance team in London to prepare for the year end process, including preparation for the annual audit and to provide assistance to the Auditors as required. Completion of the UK VAT Returns: – 3 Companies (Group VAT return). To help the Senior Accountant prepare documentary support for the outsourced VAT compliance advisors for the following jurisdictions; Spain, France, Poland, Norway, Germany, Portugal, Austria, Denmark, Netherlands, Hungary. The role will be reporting to the Senior Accountant, based in London. QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION and/or EXPERIENCE: Maths and English GCSE (Grade C or above), Part qualified ACCA/CIMA (alternatively AAT vocational qualification, with relevant experience). 2-3 years’ experience of working in an SME finance department. Experience of EU VAT administration and Oracle e-Business suite (including consolidations), multi-currency reconciliations would be desirable. Experience of Ungerboeck event registration software would be advantageous, but not essential. COMMUNICATION SKILLS: Proficiency in English is essential. Ability to read and comprehend instructions, correspondence and memos. Ability to write simple correspondence. OTHER SKILLS AND ABILITIES: Must be computer literate in MS Word, MS Excel, and MS PowerPoint Ability to understand a variety of instructions furnished in written, oral, diagram or scheduled form. Good organisational skills. Self-motivated. REPORTING PROCEDURES: The employee will report directly to the Senior Accountant for vacation, sick leave and other authorised absences from the office. Salary review will be conducted by the Senior Manager, Finance (Eastern Hemisphere) based in the London office and approved by the Chief Financial Officer.
