CHAPTER 1

INTRODUCTION

A management information system (MIS) is a computerized database of financial information organized and programmed in such a way that it produces regular reports on operations to obtain special report from the system easily. The main purpose of the MIS is give managers feedback about their own performance, top management can monitor the company as a whole.

A marketing MIS supports activities throughout the many activities of marketing departments. Some of the typical subsystems of a marketing MIS are marketing research, product development and delivery, promotion and advertising, product pricing and sales analysis.

Manufacturing is one of the areas where information systems have made a major impact. A typical manufacturing MIS is used monitor the flow of materials and products throughout the organization. In a manufacturing process, raw materials or parts are transformed to finished products, and manufacturing MIS is used at every stage. Some of the common subsystems in a manufacturing MIS includes design and engineering, production scheduling, inventory control, process control and quality control.

The system is a collection of information management methods involving computer automation (software and hardware) or otherwise supporting and improving the quality and efficiency of business operations and human decision making.

BACKGROUND OF COMPANY

1.1 Organization Background

Organization Background Yayasan Pembangunan Ekonomi Islam Malaysia (YaPEIM) was established by the Federal Government of Malaysia on October 13th 1976 and incorporated under the Trustees (Incorporation) act 1952. YaPEIM was restricted and re-launched on July

20th 1984 by the Honorable Prime Minister of Malaysia at that time in order to mobilize its potentials and widen its roles. Various encouraging developments already and ongoing in

YaPEIM. The Prime Minister is the official patron YaPEIM with certain powers provided for under the Deed YaPEIM and to aid the administration YaPEIM, the Prime Minister asked YB

YaPEIM governed by a Board of Trustees (LPA) appointed by the Prime Minister of

YaPEIM main headquarters is located in Grand Seasons Avenue, No.72, Jalan Pahang, 55300

Kuala Lumpur. Previously, official buildings YaPEIM located in Jalan Raja Laut, Building

Technology & Innovation Centre 50460 Kuala Lumpur International YaPEIM but since 13

September 2013 until now, YaPEIM has transferred all of their employees to the new official building in Grand Seasons Avenue, Kuala Lumpur. YaPEIM fully operational in September

2013 in the new official building in Grand Seasons Avenue.

YaPEIM SMART is created under a combination of YaPEIM and Koperasi Khairat Warga

YaPEIM Berhad. YaPEIM SMART is a supermarket that provide facilities to consumer to fulfill products based on their need, want and desire at one stop centre that conducive and offering an affordable price for them. YaPEIM SMART already has two branch or outlet such as at Guar Chempedak and Sungai Lalang, Kedah and their coming soon outlets was at

Permatang Sintuk, Permatang Pauh, Pulau Pinang, Lenggong, Perak, Sungai Dua, Pulau

Pinang, Langgar, Kedah and Kampung Baru, Kuala Lumpur.

1.2 Corporate Objectives

The first objective is to Resolve Societal Issues in a Realistic, Integrated, Strategic and Professional Manner in its Effort to Improve the Socioeconomic Status and Welfare of the Ummah and to reinforce the Scholarly Tradition.

The second objective is to inculcate the Beneficence Culture (Sadaqatul Jariah) by

Providing Reliable and Convenient Channels for the Society to Perform Sadaqatul Jariah

(Beneficence Act) using Modern Integrated Approach.

The third objective is to strengthen YaPEIM’s Fundamental Strengths by Reinforcing

All Management Aspects Covering Financial and Investment as well as General

Administration Aspects.

1.3 Vision, Mission and Philosophy of Organization

The organization’s vision is to establish itself as a Prominent Socioeconomic

Development Institution, capable of improving the Ummah’s Standard and Quality of Living by the year 2020.

The organization’s mission is to Uplift and develop the Ummah through a Culture of

Amal Jariah (Beneficence).

The organization’s philosophy is an Instituion based on the concept of Amal Jariah

(Beneficence) that is Capable in Meeting the Current Needs and Challenges faced by the

CHAPTER 2

INFORMATION SYSTEM : MALAYSIA ENTERPRISE RESOURCES PLANNING

SYSTEM (MERP)

The MERP Systems is a Malaysia Enterprise Resources Planning (ERP) and Accounting solutions. It is specifically designed to suit all size of business functional requirements.

This products are one stop solution and specially designed for manufacturing, trading, services, construction, distribution, engineering, ICT, retailing, bio-technology and specific industries like furniture, electronics, chemicals, pipes, garments, plastics, knitting, insurance, food, & beverages, sawmill, direct sales, used car, spare parts, agriculture, aluminium, iron, steel industries, etc.

The system provides access to information related to business processes including finance, marketing, operations, and human resources. The type of information system is information technology use the hardware and software a business uses to achieve objective.

Owner of this system is Koperasi Khairat Warga YaPEIM Berhad and the end-user is the staff in finance department, marketing department, operations department, and human resources department. If the system is problem Operations Department (unit system) to handle and solve the problem. The system is monitored by Operations Department - unit system to control overall operations and administrators .

CHAPTER 3

IT COMPONENTS OF MALAYSIA GST Compliance ERP Solution (M@ERP)

A router is a network device with interfaces in multiple networks whose task is to copy packets from one network to another. The router will then use information in its routing table to make intelligent decision about what packets to copy to which interface.

Wireless routers support wireless interface. Switch splits the network traffic and send it to different destinations rather than to all systems on the network. PC is monitor is the piece of computer hardware that displays the video and graphics information generated by the computer through the video card.

CHAPTER 4

THE BUSINESS PROCESS OF THE INFORMATION SYSTEM

From headquarter (HQ) the buyer department (purchasing) ordering to suppliers create in purchase order (PO) sent to suppliers what we order. the buyer can do manual listing to record our reference. Branch person in-charge (PC) call HQ buyer department when additional stock. Buyer department to control everything about ordering or purchases. Before buyer do the ordering top management must to know and approve from them. When buyer create the purchase order inventory and account department automatic to see ordering from buyer.

After finished purchase order suppliers / vendor give the stock based on buyer order and sent to distribution center (DC). Stock person will be check stock item which the buyer order compare PO with Invoice from suppliers. Stock person will be received, calculate items, and double check goods or material in good condition or damage. Already finished stock person invoice from suppliers will pass to inventory department to key item in system.

Branch person in-charge when he want to repeat order or add item or stock need to contact distribution center. Before do the payment to supplier account department must to double check with system from buyer department, stock received from stock personal incharge and inventory department in-cases the purchasing not tally or goods damage. When items or goods damages account department will create credit note and then sent to suppliers.

Each department print report by system for double check from top management.

CHAPTER 5

COMPATITIVE ADVANTAGE OF HAVING SYSTEM. PROBLEM & POSSIBLE

RECOMMENDATION FOR THE INFORMATION SYSTEM

The ERP system is basically a inventory include account software/application that will allow head department to access all their information. Each department easy to recognize everything and reduce time and cost.

This system no limit time to access, even your at home still can be using and can be reduce cost no need to paid overtime.

The problem of Malaysia Enterprise Resources Planning (MERP)

When use this system work in progress key in data suddenly your WIFI is not connected what your key can be gone because not auto save.

This system not connected with CCTV branches.

This system need to update data always to improved and support system make to strong. IT department need to improved WIFI because system MERP fully use WIFI internet to connected the system. Hardware and software to be update at least monthy.
