Assign and set up work area (2-4 weeks prior as applicable):
 To obtain telephone and phone extension, contact CTSA IT.
 To purchase office supplies, contact assigned department staff person.
 To configure computer workstation contact CTSA IT.
 To order keys, name plate or install desk/office equipment, contact Facilities.

Notify HR of new employee’s work location and phone extension. HR to update
employee phone list.

Contact CTSA IT for Windows login.






Prepare hiring documents. Send hire letter, parking information, etc.
Create orientation plan.

Schedule IT Workstation Orientation during employee’s first week.


Explain process for reporting absence or illness.

Review job description and performance expectations.

Review school and department organization charts, duties of department staff, and staff meeting
schedule.

Provide keys and complete related paperwork. Obtain alarm codes as needed.

Discuss phone use and voicemail.

Give tour of department and work area including restrooms, eating areas, mailroom, shared
terminals/faxes/printers/copiers, meeting rooms, etc. Provide fax numbers, copier codes.

Review department/floor emergency plan, location of First Aid Kit, etc.

Assist Employee in obtaining parking permit if needed


Request SAMS access from Business Office as needed.

Conduct Workstation/IT Orientation.
Review departmental/school functions, goals and projects (involve others, as
applicable).

Arrange lunch with co-workers

Discuss training for new employees with supervisory duties, including Effective
Supervision training (UC Learning Center) and student hiring process, as applicable.
Review email and Oracle programs, including department specific information and
email lists.
Introduce & allow 2 hours to view Campus Human Resources e-NEO video:

Introduce & allow 1 hour to view ‘Health & Insurance Orientation’ and ‘Retirement and
Savings Orientation’ videos through At Your Service.

Review campus mail & mailing address.

Explain how to order office supplies.

Explain process to submit Facilities work requests.

Provide a copy of performance standards. Explain review process, probationary period


At Supervisor’s discretion, schedule/host all-employee welcome reception. Send
invitation to all staff.

Arrange for/conduct Campus tour. See UC Irvine Campus Tours schedule


Explain common fiscal policies, train in completing routine business forms and other
business related topics.

For staff new to UC Irvine, conduct 3-month review.

Review 6-month progress at conclusion of probationary period.
