Job Profile Post title: Service Administrator-Employment, Education and Training Responsible to: Education and Training Coordinator Employment, Education and Training Manager Department: Employment, Education and Training Salary: £22,000- £25,000 pro rata per annum Hours: 3 days per week (21 hours) Background High Trees Community Development Trust is a registered charity with a mission to build the social and economic capacity of individuals and develop sustainable communities. Established in 1998 and based in Lambeth, South London, High Trees has been delivering projects and services to local people for the last 16 years, adopting a holistic approach to community development anddelivery in three key service areas: Community Engagement and Development; nurturing and capacity building individuals and community groups to empower them to take local action and develop advocacy skills Employment, Education and Training; Community Learning and accredited training courses, employment support, volunteering opportunities and work placement schemes Children, Young People and Family Services; working on the basis of early intevention, we deliver youth clubs and forums, wellbeing projects, self development programmes, mentoring and youth leadership. Purpose of Post To provide efficient administrative and programme support to the Employment, Education and Training Department. Key Accountabilities Administration Undertake all administration relating to our Employment, Education and Training (EET) services including but not limited to; o Preparation of service paperwork, such as registration and evaluation forms o The preparation, publishing and circulation of EET programmes and timetables o Registering accredited courses with awarding bodies o Produce word processed letters, reports, spreadsheets and other documents as necessary Undertake all data-inputting in relation to EET services including; o completed registration forms and project data onto designated Client Management Systems (CMS) in a timely manner o the production of data as and when required and development and maintenance of electronic information systems as required, e.g. electronic course bookings, filing, Intranet and department returns. Programme Support Prepare sessional staff contracts and support induction Support the planning and preparation of service timetables, launches and enrolment days, team meetings and learner/service user forums Support the marketing and promotion of EET services Assist with enrolment sessions each term and give on-going information and advice in person, by telephone and e-mail where necessary Attend the relevant meetings held by our contractors related to CMS and data-inputting; attend relevant meetings held by other partners Quality Assurance Carry out outreach visits to undertake data collection and risk assessments as and when required To monitor the take-up of services, profile and attendance rates of participants, quality and evaluation. Ensuring tutors are maintaining course files and all related documentations periodically Support the Education and Training Coordinator with scheduling teaching observations, learning walks and course file reviews Work with the Employment, Education and Training Team on continual improvement of the service General Duties To be a participatory staff team member of High Trees CDT To attend staff team meetings, supervision, and training, when required. Requirements Education and Experience A minimum of 2 years’ experience of working within the Training or Learning and Development environment A relevant Level 3 qualification in Business Administration or equivalent Sound experience of using Microsoft packages; word, excel, outlook and powerpoint Experience of data inputting, understanding and using information management systems Experience of working in a charitable, community based sector Knowledge, Skills and Ability Strong organisational skills, including the ability to plan and prioritise own work and manage routine administrative tasks Understanding of Adult and Community Learning programmes Ability to work and communicate effectively within a team situation Ability to organise and prioritise multiple deadlines An awareness and understanding of Equal Opportunities An awareness and understanding of Data Protection An awareness and understanding of Health and Safety Personal Qualities Flexible and adaptable to new situations and able to motivate and inspire others.
