Nevertheless, the price of Macbook is very high and we don’t have enough budget, so the decision was to use iPad; it is potable and light, more advanced, cheaper than Macbook. Create a project charter Project charter Business need This project aims to enhance the way accounting students of Bahrain Polytechnic do their studies (e-books, notes, e-mails, home works, etc…). Added to that, this project will help to reduce the need for papers and ink which will reflect positively on the environment. Nevertheless, students will no longer need to pay to buy books. Moreover, it will be easier for tutors to share files and documents with student which will save time and effort. Moreover, the polytechnic will save a lot of money since they will not pay for papers, printers, and ink. Added to that, we have conducted a survey for all accounting business students and it shows that most of the participants consider iPad as a favorable device for learning improvement, and they all seek a green environment. Product description E-learning project in Bahrain Polytechnic will be high technology project, implemented specially for Bahrain Polytechnic Students. The E-learning project will be implemented in Bahrain Polytechnic current location. The E-learning project will be for four classes of Business Accounting students. There will be six trolleys with 32 iPads in each one of them and total of 175 and each trolley will be connected to one MacBook to be updated and to install the Applications in the iPads. The trolley will be in the Library Learning Centre, where each student has to rent an iPad, instead of buying regular books, it will be available for them downloaded by the Library Learning Centre in the iPads. Furthermore, each iPad will be in a blue cover for the students and red cover for the tutors Before renting the iPads, the students have to sign a contract in case of losing the iPad, they will have to pay compensatory of BD50 and if they did not return the iPad, their grades will be hold and they will not be graduated. However, if they damage the iPads it will be their responsibility to fix it. The iPads will be tracked by Radio-Frequency Identification tag, to know which iPad with whom. In addition, we will have a machine in the Library Learning Centre to check out and check in the iPads by scanning the iPads rented and the student ID to identify the iPad owner. Project rationale If this project implemented, it would be beneficial for business students at Bahrain Polytechnic. They would expand their learning's methods through studying from iPads which contain all books which are related to their courses, instead of depending on few materials during semesters. Furthermore, a business student could have many books in an iPad and this is effective to reduce students' efforts of carrying their books. In addition, reading books by using iPads would allow students to resize the fonts to the size that they prefer, which would make them read their books in iPads properly without straining their eyes. Also, students would be given the option to either purchase books or renting iPads. This would make them recognize the importance of reading, and gathering information from books to increase their knowledge. As well as, iPads would be available to students at all times. They could rent them from the library and use them to prepare for their coming lessons through summarizing and revising. Project stakeholders The project stakeholder consist of three types of stakeholders which are authorizing stakeholder, principal stakeholders and a project manager. Ministry of education is the authorizing stakeholder for E-learning project. Also, ministry of education and Bahrain Polytechnic staff (Business Tutors, Librarian, Bahrain Polytechnic students and Bahrain polytechnic security officers) are the principles stakeholders. Lolwa AlRowaei is the project manager. Constraints The budget for this project is BD 75,000. If we implement it to all Bahrain Polytechnic Students it will exceed the budget, we decided to implement it only for four classes of the Business Accounting students. Another constraint is we have to implement the project within 9 months even without testing it before the implementation. Assumptions It is assumed that all e-books are available in the store, so the LLC staff will be able to download all the needed e-books for the students. Added to that, all students know how to use the iPads in their learning and they are familiar with it, so there will be no difficulties with dealing with this device. Nevertheless, all the e-books are cheaper than the ordinary books, due to the fact no papers and inc are used in them. Project Scope Project Product The E-learning project will be held in Isa Town campus, Bahrain Polytechnic in buildings 11 and 19. It will be implemented for four classes in building 11 which are: class 11.04, class 11.25, class 11.05 and class 11.11. The trolleys and the renting machine will be in Library Learning Centre in building 19 on the third floor. We will have a contract with Batelco (Bahrain Telecommunication Company) to provide us with Wi-Fi routers and a fix line for the routers for the four classes, because Bahrain Polytechnic is currently using Batelco internet services. The total cost of it will be BD 721.160. In addition, we will buy 175 iPads from i-Machines which will cost us BD 36,750. We are using the special colours of Bahrain Polytechnic (red, blue) for the iPad covers, red for tutors and blue for students. It will cost us BD 1,225 for 175 covers, and for the screen protection guards we will pay BD 525. Also, we are printing the Bahrain Polytechnic logo on the back of the covers which will cost us total of BD 1,225. In addition, we will provide six trolleys to keep the iPads safe and stored in one place and each trolley will be connected to one MacBook to install the applications, softwares as well as updates and control of the iPads. Furthermore, we are going to buy certain softwares, such as Firewall, Proxy Server and Antivirus (Avast) as IT students recommended to us. The firewall will help us to control the network traffic and the communication between the iPads and other devices while using the network. In addition, we will use the Proxy Service to filter the internet traffic. Moreover, the Anti-virus will be additional software to help us preventing the iPads from viruses and crashes. Firewall will cost us BD 2.226, and the Anti-virus with the Proxy Server is free. The students must rent the iPads by scanning the Radio-Frequency Identification tag in the renting machine and they have to scan their ID as well; to identify the iPad owner, then they have to go to the Library reception area to pay the fees of BD 50 and sign the contract, after that, they will receive the iPad. Note that, the LLC will be responsible for downloading the ebooks for the students. The Radio-Frequency Identification tag will be on the back of each iPad and under the covers. These tags will help us to identify each iPad and the owner of it, and will help us to track the iPads inside Bahrain Polytechnic Campus. The wheels are large and soft, the storage is vertical and Eco system is included ("Gilkon lock &," ). Mac-book: Apple Mac-Book Air 13 inches, it comes with 256GB flash storage and 4GB memory. It contains three USB ports, thunderbolt port ("Macbook air,”). iTunes Gift Card: A card provided from apple to their customers to offer them the ability to purchase applications and software for their apple products. The project will have one iTunes Gift Card to purchase the application and software needed as it is cheaper from apple app store. For example, firewall only costs BD 0.371. Screen protection stickers and covers would Protect the iPads screen from scratches and breakage to minimize the repairing cost. The screen protection stickers type will be used is the clear one, the black screen protection would not be used for the project as it is hard to see through it. RFID Tag offer the ability to track the iPads and Macbooks location inside Bahrain polytechnic and an alarm would start if someone tried to take it out of the campus ("Rfid tag sample," ).
