Savannah State University Position Description – Athletics Business Operations Coordinator POSITION DESCRIPTION: Position Title: Athletics Business Operations Coordinator FLSA Status: Exempt Reports To: Athletics Director Department: Athletics Date Prepared: May, 2009 BASIC FUNCTION The Athletics Business Operations Coordinator ensures that the Athletics Department staff complies with the University System of Georgia and the University’s fiscal management policies and procedures. The person in this position is responsible to achieve a fiscally managed operation that has well managed athletic events, operates within budget, and provides guidance to coaches on business processes. NATURE & SCOPE Reporting to the Athletics Director, the Business Operations Coordinator works closely with the Fiscal Affairs Office to manage the fiscal resources of the Athletics Department within the allotted budget. In addition to budget management the incumbent will provide guidance to assigned staff in the operation of ticketed athletic event ticket sales, cash collection, and entry into athletic venues. The Business Operations Coordinator works with Physical Plant, the Police Department, auxiliary enterprises and other departments as needed from time to time to help ensure that a successful University event occurs. PRINCIPAL ACCOUNTABILITIES Process and approve purchase requests, check requests, travel authorizations, personnel and student employment forms for the Athletics Department. Monitor budget status reports for various athletic programs and for the Department. Ensure amounts are correct and petty cash is adequate at beginning and end of shifts. Work with the Coaches and Assistant Coaches in the preparation of various forms to request the purchase of materials and supplies. Provide and/or coordinate training programs related to fiscal policies and procedures for Athletic Department staff Develop, with guidance from the Athletic Director, the annual budget package for submission to Fiscal Affairs. Manage ticket operations for athletic events; issue tickets, collect and reconcile cash; manage petty cash and deposits to the Bursar. Assist the Athletic Director in the coordination of the rental of athletic facilities. Perform other duties as assigned by the Athletic Director. SPECIALIZED KNOWLEDGE AND EXPERIENCE REQUIRED A bachelor’s degree in accounting, finance or related field is required. A minimum of three years of progressive accounting experience in a complex accounting environment is desired. Experience working with an integrated accounting application and a working knowledge of NCAA rules and regulations are a plus. Must be able to work in a fast paced environment, and have excellent organizational, verbal and written communication skills. A background and credit check is required.
