RDA and Serials Catalogers: Will Our Work Really Change? ALCTS webinar presented on March 2, 2011 By Steve Shadle Serials Access Librarian University of Washington Libraries shadle@uw.edu Acknowledgements and Thanks Judy Kuhagen (LC) for outline review and expert reviewing Adam Schiff (UW) for the use of several of his slides and examples from his ALCTS Webinar Regina Reynolds (LC) for national test information Jennifer Young (Northwestern) and Valerie Bross (UCLA) for CRCC test operations/results Renette Davis (formerly Chicago) for her original RDA workflow 2 Today’s Outline • Let’s Catalog a Serial • Still to be Resolved • Useful Resources 3 What’s Different 4 But First, What are We Talking About Serial. A resource issued in successive parts, usually bearing numbering, that has no predetermined conclusion (e.g., a periodical, a monographic series, a newspaper). Includes resources that exhibit characteristics of serials, such as successive issues, numbering, and frequency, but whose duration is limited (e.g., newsletters of events) and reproductions of serials. 5 Successive Entry’s Here to Stay RDA 1.6.2 - Changes Requiring a New Description/Serials •1.6.2.1 - Change in Mode of Issuance of a Serial Create a new description if a serial changes to a multipart monograph or an integrating resource, or if a multipart monograph or integrating resource changes to a serial (see 2.13) •1.6.2.2 - Change in Media Type of a Serial Create a new description if there is a change in the media type (see 3.2) of a serial. •1.6.2.3 - Major Change in the Title Proper of a Serial Create a new description if there is a major change in the title proper of a serial (see 2.3.2.12.2). •1.6.2.4 - Change in Responsibility for a Serial Create a new description if there is a change in responsibility that requires a change in the identification of the serial as a work (see 6.1.3.2). •1.6.2.5 - Change in Edition Statement Create a new description when there is a change in an edition statement indicating a significant change to the scope or coverage of a serial. 6 Choose the Preferred Source RDA 2.2.2.2 - Resources Consisting of One or More Pages, Leaves, Sheets, or Cards (or Images of One or More Pages, Leaves, Sheets, or Cards) If the resource consists of: a) one or more pages, leaves, sheets, or cards (e.g., a book, an issue of a periodical, a poster, a series of sheet maps, a set of flashcards), or b) images of one or more pages, leaves, sheets, or cards (e.g., a microform reproduction of a musical score, a PDF file of a text, microform reproductions of a set of sheet maps, a JPEG image of a photograph) use the title page, title sheet, or title card (or image thereof) as the preferred source of information. Alternative - If the resource consists of microform or computer images of one or more pages, leaves, sheets, or cards, use an eye-readable label bearing a title that is permanently printed on or affixed to the resource in preference to the image of the title 7 page, title sheet, or title card. Preferred Source of Information for Text Still the Same RDA 2.2.2.2 If the resource lacks a title page, title sheet, or title card (or image thereof), use as the preferred source of information the first of the following sources that bears a title: a) a cover (or an image of a cover) b) a caption (or an image of a caption) c) a masthead (or an image of a masthead) d) a colophon (or an image of a colophon). If none of the sources listed above bears a title, use as the preferred source of information another source within the resource that bears a title, giving preference to a source in which the information is formally presented. 8 Not Quite the Same...Preferred Source However.... 2.2.2.4 - Other Resources. For a resource other than one covered under 2.2.2.2 -2.2.2.3, use as the preferred source of information, as applicable: Either a) a label bearing a title that is permanently printed on or affixed to the resource, excluding accompanying textual material or a container (e.g., a label on an audio CD or a model) or b) embedded metadata in textual form that contains a title (e.g., metadata embedded in an MP3 audio file). If the resource does not contain a source of information falling into either category a) or b) above, use as the preferred source of information another source forming part of the resource itself, giving preference to sources in which the information is formally presented. 9 More on Sources In AACR2, each ‘area’ of the record had sources defined. In RDA, each element has a source defined and most are expanded beyond AACR2. RDA 2.3.3.2 - Sources of Area - Title and Statement of Responsibility Information AACR2 12.0B3 Prescribed Sources of Information - Title page 245 00 $a Shi chao. 246 14 $a Poetry waves Take parallel titles proper from any source within the resource. 245 00 $a Shi chao $b Poetry waves. 246 31 $a Poetry waves Note: Only Chinese title appears on title page; English title appears on cover. 10 What’s Else is Different? Abbreviations RDA B.4 - Transcribed Elements For transcribed elements, use only those abbreviations found in the sources of information for the element. If supplying all or part of a transcribed element, generally do not abbreviate words. 12 Source of information reads: Department of Geography University of Victoria Victoria, British Columbia Canada Volume 32 Number 1 January 2011 AACR2 260 $a Victoria, B.C. : $b Dept. of Geography, University of Victoria 588 $a Description based on: Vol. 32, no. 1 (Jan. 2011). Gregr and Ryan Coatta. Sources that can be used for statement of responsibility are expanded in RDA. Only statements taken from outside the resource itself are enclosed in square brackets. 21 Transcribe a Statement of Responsibility Relating to the Title Proper AACR2 12.1F3 Do not record as statements of responsibility statements relating to persons who are editors. If a statement relating to an editor is considered necessary by the cataloguing agency, give it in a note . Source of Information: Chief source or Chief source substitute RDA 2.4.1 Record a statement of responsibility identifying an editor of a serial only if the name of the editor is considered to be an important means of identifying the serial (e.g., if a particular person edited the serial for all or most of its existence; if the person's name is likely to be better known than the title of the serial). Source of Information: Varies by type of Statement of Responsibility but typically more sources than in AACR2 22 Is There a Creator? Corporate Body (MARC 110/111) as Creator? RDA/LCPS 19.2.1.1.1 Very similar rules to AACR2 (Emanation/Categories) Person or Family (MARC 100) as Creator? RDA 18.4 & 19.2 “...responsible for the creation of a work.” “If there is more than one creator responsible for the work, only the creator having principal responsibility named first in resources embodying the work or in reference sources is required. If different issues of the serial are known to have been or are likely to be created by different persons, do not enter the work under the heading for a person. Enter a serial under the heading for a person only in instances in which one person is so closely connected to or involved with the serial that the publication seems unlikely to continue without that person. Some types of serials that might sometimes be considered to be unlikely to continue without the person named as author are 1) serials for which the same person is named as both author and publisher; 2) serials that carry the whole name or part of the name of a person in the title; 3) serials that do not emanate from a corporate body that might assure that the serial is continued. Always lean toward not entering a serial under the heading for a person. 24 Record Additional Relationships to Person/Family or Corporate Body If there are multiple creators, you may also record MARC 700/711/711 for any that are not principal (RDA 18.3) You may also record MARC 7XX for other persons, families or corporate bodies if important for access (RDA 18.4, 19.3) 25 A Few Words About Relationship Designators “A designator that indicates the nature of the relationship between entities represented by authorized access points, descriptions, and/or identifiers.” Appendix I: Relationships between a Resource and Persons, Families, and Corporate Bodies Associated with the Resource Appendix J: Relationships between Works, Expressions, Manifestations, and Items Appendix K: Relationships between Persons, Families, and Corporate Bodies Examples: 710 2 $a Wuhan Institute of Technology, $e issuing body. 730 0 $i Supplement to: $a Weinwirtschaft. $pTechnik. Note: LCPS policy for LC testers did not require relationship designators. However, many testers (LC and elsewhere) applied cataloger’s judgment to give appendix I relationship designators in 1XX and 7XX. BFF is not yet an RDA relationship designator 26 Choose the Authorized Access Point for the Work RDA 5.5 - Authorized Access Points for Works/Expressions When constructing an authorized access point to represent a work or expression, use the preferred title for the work as the basis for the access point If applicable, construct the authorized access point representing the work by combining (in this order): a) the authorized access point for the person, family, or corporate body responsible for the work (see 6.27.1.2–6.27.1.8) b) the preferred title for the work (see 6.2.2). If two or more works are represented by the same or similar access points, add to the access point representing the work an element or elements such as form of work, date, place of origin, or other distinguishing term. For specific instructions on additions to access points representing works, see 6.27.1.9 . 27 Authorized Access Points for Works & Expressions Examples: Ebert, Roger. Copyright date is a separate element in RDA. It does not substitute for a publication date. Copyright date is a core element if neither the date of publication nor the date of distribution is identified. If more than one place of publication or publisher’s name appears on the source of information, only the first recorded is required. 31 What if publication information is lacking? If any publication information (place, publisher, date) is lacking, then distribution/manufacture elements become core elements Catalogers will likely want to supply probable information for the publication elements whenever possible to avoid having to supply distribution and/or manufacture information. 32 Unknown place and/or publisher Distribution/Manufacture 260 $a [Place of publication not identified] : $b Sherman & Brothers, Inc. ; $a Australia, $c 2010On source: Sherman & Brothers, Inc., 2010. What is an Aggregator-Neutral Record? An aggregator-neutral record is one that is separate from the print that covers all versions of the same online serial on one record. (There may be cases however, where a cataloger determines that because of substantial differences (e.g. in content or subject), another online "version" really represents a separate work, therefore a separate record is needed.) 3. Why do we need it? The same serial titles are made available by multiple aggregators. CONSER's earlier policy of creating a separate record for each aggregation became confusing and hard to maintain. While the appearance and coverage might differ among these aggregators, there is still one basic e-serial that is being distributed. Recent trends have been for one aggregator to buy up another, or for publishers to pull their titles from an aggregation. Thus, maintaining separate records became very difficult and undesirable. By creating one record that can be used for all aggregations, records will not need to be updated or deleted to reflect such changes and far less maintenance will be required. 55 Aggregator-Neutral Approach 6. How will records differ from other serial records? The primary difference is that multiple manifestations will be covered by a single record with only the presence of a URL and possibly a variant title in field 246 indicating manifestations other than that that the description was based on. The publisher and dates will be that of the original serial, as found on the copy being described, as opposed to the digitizer and dates of digitization. This information is considered much more useful and is more readily available. ... 588 Description based on print version record. 56 006 m d 007 cr un| 022 0/ 2158-5806|y 0091-8083|2 1 050 14 PS370|b.S87 082 10 813|214 222 /0 Studies in American fiction |b (Online) 245 10 Studies in American fiction |h [electronic resource]. 246 1/ |i Issues for <autumn 1998- > also called:|a SAF 260 // |31973-2009:|a [Boston] :|b Dept. of English, Northeastern University 260 3/ |32010- :|a Baltimore, MD :|b John Hopkins University Press, Project MUSE 310 // 2 no. a year 362 1/ Began with v. 1 in spring 1973. 500 // Description based on print version record. 650 /0 American fiction |x History and criticism |v Periodicals. 710 2/ Northeastern University (Boston, Mass.).| b Dept. of English. 776 08 |I Also issued in print:|t Studies in American fiction |x 0091-8083|w (DLC) 73645206 |w (OCoLC)1787903 856 4/ |z Link no longer valid as of Sept. 23, 2009:|u http://www.dac.neu.edu/english.saf/saf.htm 856 40 |z Some vols. available in Northeastern University's Institutional Repository: |u http://iris.lib.neu.edu/saf/ 856 40 |u http://gateway.proquest.com/openurl?ctx_verZ39.88-2003&xri:pqil:res_ver0.2&res_idxri:lionus&rft_idxri:lion:contents:abl_toc/StudiesinAmericanFictionDeptofE/issues.jsp 856 40 |z Periodicals Index Online: |u http://pao.chadwyck.com/journals/displayItemFromId.do?QueryTypejournals&ItemIDd304 856 40 |u http://muse.jhu.edu/journals/saf/ 57 Additional Resources • Email: LChelp4rda@loc.gov • CONSER CSR document and webinar: http://www.loc.gov/acq/conser/ • Renette Davis.
