Organizational Breakfast Planning Meeting
November 24, 2014

1. Welcome and Introductions
a. Minutes stand as presented from October Meeting
b. Agencies in attendance:
i. Palmyra Circles
ii. Vision Corp.
iii. United Way of Lebanon County
iv. Compeer

vi. Literacy Council of Lancaster-Lebanon
vii. QUEST Inc.
viii. Area Agency on Aging
ix. Community Action Partnership (CAP)
x. Domestic Violence Intervention (DVI)

2. Sharing of successes in the last month
a. QUEST – partnered with the Dress for Success program
b. Compeer – former client trained to volunteer
c. Lit. Council – “
d. Additional successes with volunteers/thank yous
i. Vision Corps: Philly Pretzel “thank you”
ii. United Way: FOOD, candy & T-shirts (combo of all three)
3. Ask: “What recognition would you want for volunteering?
a. Personal touch
b. Tie into something already happening on site, not two separate events
c. Recognition at Board Meeting – have dinner with Board Members
d. Photo Opp. for certificate/award presentations – share and tag on Social Media (if volunteer
approves)
e. Share the impact – what results came from the volunteer(s) efforts
i. Put together stats and share
f. Volunteer of the month award
4. Training/Education:
a. Volunteer Recognition Ideas – Cathy Gable, RSVP
i. Know your volunteers, cater to their wants
ii. Training in Baltimore, but trip to NYC – make sure meeting directions are clear!
iii. Honor volunteers’ stories! Share why they do what they do if comfortable
b. UW Worldwide’s Volunteer Resources will be passed around at January meeting
i. Erika will not be in attendance at January meeting, but can present later
ii. Organize a Spring and/or Fall volunteer recruitment fairs
c. Ideas/Suggestions for next month’s program
i. Palmyra Circles – offered Slideshow of law changes, reporting, accountability, etc.
5. Official VAN Announcement Plans
a. Send flyer out to any and all volunteer contacts – non-partner and for-profit
b. Photo Opp./Press Release with County Officials/Mayor for February? Decide on date.
c. Invite media/officials to upcoming meeting for photos/interviews
d. United Way will brainstorm promotions with Marketing Committee Chair, CMO at Hershey Med
Center
6. National Volunteer Month, April 2015
a. Work with LDN/WLBR/WQIC to do feature?
b. Further discussion/brainstorming needed
7. VAN Landing Page Update
a. No designing done – groundwork laid after Holidays
b. Add email/sign up link
8. Sharing of issues/challenges for group input – resources/experience of volunteer management
a. Go online/sign up for newsletters:
i. Energize.com & Pointsoflight.com
b. CAP/RESVP - VITA (Volunteer Income Tax Assistance) “thank you” dinner not well attended
i. Breakfast seems to work best for older groups – Ex. Golden Corral is popular
c. Literacy Council – success with international “pot luck” – proud to display heritage
d. Vision Corps – hard to find a “thank you” that fits all
i. **Interested in out-of-the-box ideas
e. DVI – needs help with recruitment and retention
9. Agency Updates/Event Announcements – all agencies welcome to bring event hand outs
a. DVI – Leapin’ Leprachaun race – Spring ‘15
b. QUEST – sales: cookies, poinsettias, basket bingo
c. Vision Corps – Lititz Fire and Ice Festival with Chili cook off – 12 gallons!

a. Volunteer Fair – non-profit roundtable recruitment fair
i. Need to get more business/chamber members to attend
