Stotesbury Handbook

Selected rowers will represent the Woodbridge Senior High School Crew Team at the
prestigious Stotesbury Cup Regatta, 16-18 May 2013 on the Schuylkill River in Philadelphia.
This regatta is the largest and oldest high school regatta in the United States and is a highlight
of our competitive crew season. Rowers (and alternates) are chosen by the coaches based on
their capabilities, skill, and team dedication and in accordance with the entry regulations for this
national level competition.
Regatta Registration and Costs:
To participate, each rower must do the following:
 Turn in a completed Regatta Parental Permission Form with parent signature (even if the
rower is 18).
 Turn in a signed (both parent and rower signature) “Away Regatta Rules” form.
 Pay the participation fee of $300 by Wednesday, 8 May 2013 at the final Stotesbury
Regatta Meeting in the Lower Cafeteria at 7:30 PM. This fee helps cover charter bus
transportation, entry fees, hotel accommodations, and all meals and snacks for each day.
(Rowers will be given cash for a meal stop on the way home from the regatta.) Checks
should be made out to Woodbridge Crew Inc. or credit card payments will be accepted.
What Rowers Should Bring







A day pack or small duffel bag for the bus with your practice clothes, weather gear,
snacks, bus entertainment stuff like cards, books, DVDs, etc – labeled with your last
name and ABOVE.
Any movies shown on the bus must be rated G to PG-13 and approved by chaperone.
Lightweights must bring their Uni's on the bus for weigh in!
Uni and Long Sleeve Uniform Top
Rain gear (PLAN on it RAINING!. A watch (so you’ll know when it’s time to return to the
team tent or the launch area)
Layers, layers, layers!
You need to be prepared for every weather condition – hot, cool or downright cold; wet,
dry, windy or oppressively still!
Label all clothing/personal items with rower’s name.







All the stuff you regularly bring to an Occoquan regatta, such as:
Sleeping bag or blanket and pillow
Reading material, cards, games, music, etc, to relieve monotony when not rowing or
cheering on teammates
Extra socks, many pairs of socks!!!
A towel in a large zip-lock or trash bag in case you're soaked after a rainy race
Extra spending money for bus rest stops and regatta vendors if desired.
Label luggage, sleeping bag with BELOW and your last name , bags will be loaded
onto the buses after inspection, you will not see these bags again until you get to
the hotel.

Departure and Bus Instructions on 16 May 2013







We will leave school between 11:30 AM – 12:00 noon at the latest. The plan is that
students will go to 4th period (ending at 11 a.m.), then go to “A” lunch 11:05-11:30, and
then come directly to the bus after lunch.(NOTE: Advanced Placement World History
students must bring a lunch to eat on the bus…they will miss “A” lunch). All rowers
should leave via the Auditorium Door/ Receiving area (where we hold our car washes).
All your luggage will be out there already. Your bags that are stored below the bus will
already be loaded and will not be accessible until you arrive at the hotel AFTER your
practice. Your carry-on bag will be waiting for you. Make sure you bring everything that
you need for practicing on the water as we will be going directly to the water from the
school. You should also bring a healthy snack on the bus. See directions below about
where to drop bags in the morning.
Make sure you bring your practice gear on the bus with you. Also some snacks as
lunch this day will be early at school.
Lightweights also need their uni's on the bus for Thursday afternoon weigh-in.
Lightweights will weigh in on Thursday afternoon – plan your meals and snacks
accordingly!
Bring your bus day pack/luggage/etc. to school Thursday morning. We will plan
on collecting luggage at the Vikette Storage Room between 6:30 – 7:30 AM, which
is located across from the Weight Room and Orchestra Room at WSHS.
Woodbridge Crew booster volunteer parents will inspect all luggage.
Rowers should separate items needed for practice that afternoon on the Schuylkill
(snacks/practice gear) from the rest of their luggage, and label it “ABOVE” to go
with them for the trip to Philadelphia. Rowers should label all other items
“BELOW” for loading in the luggage carrier and retrieval upon arrival at the hotel
after practice on the Schuylkill. Rowers need to bring everything in the morning as
there WILL NOT be time to go home prior to bus departure for Stotes!!!
As we get close to Philadelphia, rowers should be in their practice gear – and
appropriate weather gear – If you are not prepared for this, there is a restroom on the
bus. Upon arrival at the regatta site, we will (weather permitting) have a river
familiarization practice.
General Regatta Info





You can expect approximately 200 schools and 800 boats to be entered in this year's
regatta. The regatta starts with time trials on Friday for all the events, with only the top
half or so advancing to the semifinals, depending on the number of entries in the event.
This means boats will be racing the clock, not each other!
For events with more than 12 entries – the top twelve boats from each time trial will
advance to conventional semi-finals.
For events with 12 or fewer entries – the top six boats from each time trial will advance
directly to finals on Saturday afternoon.
Some semifinals are on Friday afternoon, some on Saturday morning, with finals on
Saturday afternoon. The team stays until Saturday afternoon, so some competitors will
not be rowing on Saturday, others will.
All contestants will receive ribbons. Medals will be awarded to all first, second, and third
place crews.

The Regatta Site



The team tents will probably be somewhere towards the middle of the race course. You
can watch races from there or go down to the grandstand, which is at the finish line, and
could be a half mile or more from the team tents. The launch area and many of the
vendor tents may be about a mile (or more) from the finish line area, so a comfortable
pair of walking shoes is needed for both rowers and spectators.
There are a lot of fun booths set up at Stotesbury and all kinds of merchandise to buy (Tshirts, sweats, blankets, knick knacks, jewelry, bumper stickers, cheese steaks, etc) – you
may wish to bring additional spending money.
Athletes must stay between our boat trailer and boats, and our Regatta Site unless
they are accompanied by a chaperone (which means…if facing the Schuylkill River, they
can go left out of our regatta site towards the grandstands, and past to where our boat
trailer and boats will be, or, right from where our boat trailer/boats will be and back past
the grandstands to our regatta site, but no further without an adult chaperone).
The Hotel

The team and coaching staff will stay at the Wyndham Philadelphia - Mount Laurel, 1111
Route 73, Mount Laurel, New Jersey, 08054, Phone 856-234-7000.

Woodbridge Crew, Inc, has also blocked a limited number of rooms at the Wyndham for
rower parents to ensure appropriate chaperone and bus driver support is maintained at
all times. Some of those rooms are available to parents on a ‘first come, first serve’
basis.

If you are a parent of a rower, and cannot get into the Wyndham in either our blocked
rooms or by reserving an individual room because the hotel is full (which has happened
in the past…it’s a busy tourist time of year), there are well over a dozen hotels/motels

available within a two mile radius of the Wyndham (a Google search of “hotels mt laurel
nj route 73” gets decent results).

Regardless of which hotel you are staying in , the directions that follow apply if you are
traveling to and from the regatta site back to Route 73 in NJ in the proximity of the
Wyndham.
Directions to Hotel from Woodbridge
1. Take I-95 North toward Baltimore and Philadelphia –
134 miles
2. Take the I-295 exit toward New Jersey Turnpike/Del Memorial Bridge/NJ-NY .2 miles
3. Keep Left at the fork to continue toward I-295 N and merge onto I-295 N
6.2 miles
4. Continue on New Jersey Turnpike N
34.7 miles
5. Take exit 4 to merge onto Rt-73 S (A Double Cloverleaf to merge onto Rt-73 S) 1.5 mile
6. Make a U-turn at Church Rd/Mount Laurel Convale Rd/Ramblewood Pkwy

Directions to Kelly Drive (Regatta Site) from Woodbridge High School
(GPS Address: 1 Boathouse Row, Philadelphia 19130 or 39.969255N -75.185399W)








Take I-95 North through Wilmington and just past Philadelphia International Airport take Exit 13 toward I-76
West/PA 291 = 161.5 miles (This takes you across the Penrose Avenue Bridge across the Schuylkill, aka
Route 291.)
As soon as you come down the bridge get in the left lane and turn left at the first light onto 26th Street
This will take you directly onto I-76 West. Follow I-76 about 8 miles past Boathouse Row and the
racecourse.
Follow I-76 West to exit 340A on the right. Stay in the 3rd lane from the right – the two right lanes
are "exit only" for 340B. Note: unless the City of Philadelphia or state of Pennsylvania has
remedied this, there are NO signs for 340A until the exit, and that Exit 339 is a left exit BETWEEN
340B and 340A.
Turn right at foot of exit and get in the left lane as you Merge onto CITY AVE W to go over The City Avenue
Bridge across the Schuylkill River. = 0.1 mi
Stay Left and take the Left exit toward RIDGE AVE EAST/KELLY DR/LINCOLN DR. = 0.1 mi
Turn Slight Left to take the ramp (the ramp will spiral downwards in a counter-clockwise direction and will
merge you toward RIDGE AVE/KELLY DR. Southbound = 0.2 mi
Move to right lane of Kelly Drive after merging at the bottom of the spiral. Follow Kelly drive past four traffic

Directions from Kelly Drive (Regatta Site) to Wyndham Mount Laurel Hotel at
1111 Rte 73, Mt Laurel, NJ = 16.6 mi – about 30 mins.












Head southwest on Kelly Dr/E River Dr toward Fountain Green Dr. Continue to follow E River Dr = 2.8 mi
Slight right at N 24th St = 0.1 mi
Take the ramp onto I-676 E = 1.5 mi
Take the exit toward I-676/US-30 = 0.2 mi
Merge onto N 6th St (signs for I-676) = 20 ft
Take the exit on the left onto I-676 E Entering New Jersey = 1.8 mi
Slight left at US-30 E (signs for Trenton/US-30/US-130/NJ Turnpike) = 2.2 mi
Slight left at Kaighns Ave/NJ-38 = 0.5 mi
Slight left at Kaighns Ave/NJ-38/Rte-38 Continue to follow NJ-38/Rte-38 = 5.0 mi

Directions to Kelly Drive from Hotel




Start out going NORTH on NJ-73 N toward FELLOWSHIP RD. = 1.5 mi
Merge onto KAIGHN AVE/NJ-38 W toward RT-41/B FRANKLIN BR/HADDONFIELD. = 5.8 mi
Turn SLIGHT RIGHT onto ADMIRAL WILSON BLVD/US-30 W. = 0.2 mi
Turn SLIGHT LEFT onto ADMIRAL WILSON BLVD/US-30 W. Continue to follow US-30 W (Portions toll)
(Crossing into PENNSYLVANIA). = 3.8 mi
 Merge onto US-30 W toward CENTRAL PHILA. = 2.7 mi
 Merge onto I-76 W. = 3.4 mi
 Follow I-76 West to exit 340A on the right.
Stay in the 3rd lane from the right – the two right lanes are "exit only" for 340B –
Take 340A toward Lincoln Dr/Kelly Dr. Note that there are absolutely NO signs for 340A
 Turn right at foot of exit and get in the left lane as you Merge onto CITY AVE W to go over The City Avenue
Bridge across the Schuylkill River. = 0.1 mi
 Stay Left and take the Left exit toward RIDGE AVE EAST/KELLY DR/LINCOLN DR. = 0.1 mi
 Turn SLIGHT LEFT to take the ramp (the ramp will spiral downwards in a counter-clockwise direction and

Merge onto Kelly Drive at the bottom of the spiral. They will force you to merge left by the race course to park

Volunteer / Booster Support
Volunteers / Boosters are essential to making the Stotesbury Regatta such a fantastic experience for
the student athletes. The more Volunteers / Boosters who attend and help out, the more free time
we'll all have to shop and watch races! You'll definitely get to see your own rower race!

Rower and Coach support

Shoppers = Work TBD to buy all food items and supplies ahead of departure to support team
and boosters for entire regatta. (TBD)

Trailer Loaders: Meet at Woodbridge High School loading dock at 2:30 on Wed, 15 May 13
to get ice. Then go 3232 Manitoba Drive (Cindy/Ric Thomas’ house) to load the trailer
with tents, food, water, supplies, etc. (Gary Tallman, 703-794-9502/703-819-5783).

Propane Tank donators: Please drop your tanks (full) at 3232 Manitoba Drive (Cindy/Ric
Thomas’ house) between 3:30 and 6:00 p.m.

Advance Party – Regatta: Travel with the boat trailer and Campsite items on Thursday, 16
May 13 morning to help get the regatta/tent site set up at the trailer area and the booster area,
and to help rig boats to be ready for rowers to practice. Advance Party will depart from
3232 Manitoba Drive (Cindy/Ric Thomas’ house) (Gary Tallman, 703-794-9502-home/703819-5783 cell)

Luggage/Bag Checkers: Come to WSHS by 8 AM Thursday, 16 May 13 to check bags for
alcohol, medications, glass bottles, dangerous items, etc. We will go through everyone’s
luggage and then help to load it on busses. We will meet on the lower level of WSHS at
the Vikette Storage Room which is located across from the Weight Room and
Orchestra Room at WSHS. You may want to bring disposable sanitary gloves!

Bus Chaperones: Be at School no later than 10:00 AM on Thursday, 16 May 13. Basically,
chaperones are responsible for the health and safety of our rowers. Duties include: riding the
bus with the rowers; helping boats do head counts before every bus departure; keeping an
eye out for inappropriate behavior; distributing meal money. Will ride bus to Philadelphia
Thursday – to hotel in New Jersey Thursday, to and from Regatta on Friday, to Regatta on
Saturday and then back to Woodbridge. (Julie Hyzy 703-491-6323)

Advance Party Hotel and Chaperones: 10 parents (5 male and 5 female) needed. Some of
the chaperones will be asked to be at the hotel in Mt. Laurel, NJ no later than 4:00 PM to
inspect rooms. Chaperones will also issue rooms to rowers by boat. Chaperones will be ‘on
duty’ from 7:00 PM – 10:00 PM Thursday, 8:00 PM – 10:00 PM on Friday. Chaperones will
monitor corridors/stair wells and handle rower room keys. (Julie Hyzy 703-491-6323)

Kitchen Operations/Cooks: Food preparation at the Regatta site. Head to the racecourse
before the rowers so we can prep breakfast, prepare and serve breakfast and lunch on Friday
and Saturday. Help Serve food buffet line and site clean up. 5:30 AM – 2:00 PM each day.
Kitchen crew will: help monitor the food table, cook eggs and pancakes for breakfast, grill,
serve food and drinks, make sure trash bags are taken care of, help clean cook gear, etc. 1012 pre-filled propane tanks are needed for the weekend. Please label your full tank and drop

Recovery Operations We meet at the school on Sunday, 19 May 13 at 10:30 AM to clean all
kitchen/equipment items used at Stotesbury before putting in storage. Start time is subject to

Boosters' Costs and Logistics
 Hotel cost for accompanying boosters who stay with the team is $89+tax/night. Rooms outside the
room bloc may be more, depending on the eligible discounts (AARP, government, military). Call the
Wyndham directly 856-234-7000 to make your individual reservations.
 Boosters’ on the Bus. We will offer up any open seats on the busses we are chartering to Boosters
staying at the Wyndham Philadelphia-Mt. Laurel for a cost of $100.00 per seat. Depending upon how
many student athletes we take to Stotesbury will determine how many seats we have to offer to
Boosters. (If you consider current fuel costs and road tolls from Baltimore to points north on I-95 and

back -- not to mention the food provided at the regatta site during breakfast and lunch -- this is a pretty
good deal, and it can also reduce individual rower cost).
What Boosters Should Bring to Stotesbury
 Snacks and drinks for Thursday if you're traveling as part of the set-up team.
 Rain gear (Plan on it raining)
 A watch
 Layers, layers, layers! You need to be prepared for every weather condition – hot, cool or downright
cold; wet, dry, windy or oppressively still!
 All the stuff you regularly bring to an Occoquan regatta, such as:
 Folding camp chair
 Small cooler for any personal beverages and snacks – just remember you may be hauling whatever
you're carrying for a couple of miles, so keep it small, or maybe on wheels!
 Plenty of spending money for food, regatta program, vendors, T-shirts, etc.
 Binoculars
 Sunscreen
 Hand wipes or hand sanitizer
 Camera
 Tissues or "important papers" in case the port-a-johns run out of paper.
 Whatever else you want to bring along to make a day at the river more pleasant!
Parking
 Most parking for vehicles other than team food transport vehicles is on the grassy plateau above
Kelly Drive. Cost will be $15 per vehicle this year. The regatta will provide complimentary shuttle
bus service (4 school buses running constantly) from the parking areas to the venue and back
again.
 Parental experience notes:
o The lots fill up quickly, so it's a good idea to head over to the venue early.
o The walking path from the parking lot down to the venue cuts through the forest, and down the
streambed before ending up by the upper reaches of the crew team area. The walk is pretty
enjoyable in that direction. It is all up hill on the way back.
o The buses are supposed to run from the lot every 10 minutes, but traffic is atrocious so they may
often run late.
o Carpooling with other Boosters is a good idea. If you elect not to carpool because you've got
younger or older people with you, you may want to come early and drop them near the race
course, and then proceed to the parking area. You don't want the less-than-sure-footed
negotiating the hill.
Food at Stotesbury
 The Boosters provide food for the rowers throughout the weekend. If any rowers have special dietary
needs (vegetarian, exceptionally picky, etc) please let us know ASAP so we can plan for that! Parent
Volunteers at Stotesbury are welcome to eat with the team at the Woodbridge Tent on the race
course for no charge.
