Job purpose
To provide strategic leadership and specialist functional expertise to ensure University
managed events and ceremonies make a full contribution to efforts to enhance reputation,
recruit high quality undergraduate and postgraduate applicants and engage our stakeholders
including external partners, students, staff and the local community.
The post-holder will line manage the Events and Ceremonies team which has responsibility
for delivery of summer and winter graduation ceremonies, University Open Days, the
programme of public lectures and such other annual or one-off events as may be planned in
support of the University’s strategic aims.
The role will be a source of specialist advice and consultancy to the University community on
best practice in the planning, communication and delivery of effective events and will play an
important role in building institutional capacity in event management.
Management of events may include sourcing and booking venues, liaising with suppliers,
coordinating invitations by post and email, managing staff at the event, preparing briefing
notes and briefing senior colleagues and managing budgets
Source and nature of management provided
The Head of Events will report to the Director of Marketing Communications
Staff management responsibility
The Head of Events will line manage the Events and Ceremonies team (1 x G6, 1 x G5 (jobshare), 0.4 x G5)
As the University leading event management specialist the post-holder will work in close
collaboration with events teams and individuals with responsibility for event delivery located
in Faculties, the School of Management and Professional Services
Special conditions
The nature of the role will require a reasonable degree of flexibility with regard to working
pattern. This will include work at weekends and in the evening for which TOIL will be
provided. TOIL to be taken with agreement of post-holder’s line manager

Main duties and responsibilities

Lead the planning and delivery of a rolling programme of annual and one-off events in
support of implementation of University strategies to enhance reputation, recruit high
quality undergraduate and postgraduate applicants and engage our stakeholders
including external partners, students, staff and the local community.
Management of events may include sourcing and booking venues, liaising with
suppliers, coordinating invitations by post and email, managing staff at the event,
preparing briefing notes and briefing senior colleagues and managing budgets

Provide specialist advice and consultancy to the University community to ensure events,
ceremonies and similar activities are planned and delivered in line with business need
and best practice.

Supervise the operational activities of the Events and Ceremonies team with overall
responsibility to:
- Align resource allocation (including budgets) and priority setting with business
need
- Ensure event related communication is managed effectively
- Quality assure the events programme and related activities
- Ensure efficient and effective collaboration with colleagues and external
suppliers as required
- Monitor and report on operational activities addressing issues as required
The scope of direct event management responsibility for the team includes:
Summer and Winter Graduation ceremonies
University Open Days in June and September
Programme of Public Lectures
Founders Day lecture, drinks reception and dinner
A range of one–off events determined annually, for example, building openings and
other activities in support of the University strategy

Initiate and develop proposals which identify opportunities for new events and the
enhancement of the management, organisation and communication of existing events

Lead innovation in all aspects of event management practice to better meet the needs of
the University community, its external stakeholders, staff and students

Take responsibility to ensure senior stakeholders internally and externally are kept
appropriately informed in respect of high profile events to ensure efficient and effective
planning, implementation and follow-up

Act in close collaboration with others with event management responsibilities to ensure
opportunities for synergy and consistency in working practice are identified and realised
and the University’s capacity to deliver high quality events which raise profile and
strengthen engagement is enhanced

Contribute to the development and delivery of institutional marketing and
communications strategies acting as a subject matter expert on opportunities and issues
relating to effective events management

Maintain a thorough awareness of relevant developments and trends in event
management both within and without the Higher Education sector nationally and
internationally and respond to them as appropriate

Initiate, develop and maintain trust based working relationships with colleagues across
the University which enhance the reputation of the Department of Marketing &

Communications amongst internal stakeholders for the quality and effectiveness of its
strategic planning, creativity and implementation

Initiate, develop and maintain flexible and effective working relationships with a network
of external service providers to ensure agreed events programme can be implemented
on time, to quality, to scope, to budget

Act as a member of the Marketing and Communications Executive working closely with
colleagues to ensure effective implementation of an effective, integrated, multi-media
marketing and communications activity plan
You will from time to time be required to undertake other duties of a similar nature as
reasonably required by your line manager. You are required to follow all University policies
and procedures at all times and take account of University guidance.

Significant experience of working in an event related capacity
in Higher Education or similar sector

management can to play in the Higher Education sector

Knowledge and understanding of the latest trends in effective
event management sufficient to engage with colleagues from
a position of mutual understanding and respect

Experience of preparing formal written reports and
presentations for a range of audiences including Senior
Management

Experience of managing priorities, processes and procedures
in a complex service-delivery environment

Skills
Ability to think strategically and develop and implement policy
specifically in the area of event management

Outstanding project management skills including effective
communication

Sensitivity to requirements of handling high profile VIPs and
guests with social and emotional intelligence to handle such
situations deftly

Proven skill in managing and developing staff
