Summer Meeting August 23, 2012

Camping  The case of the missing items
A. Shenna is missing a lot of her items (Pots, pans, bowls, water jug) from camp
B. HaSEAAC is also missing one of the cooler
C. HaSEAAC will reimburse/replace Shenna for the missing items
D. For the Future:
i. Label/ Keep an inventory of the items you bring
ii. Bring at your own risk (May prevent members from volunteering to bring
their equipment)
iii. Take your items with you when you leave
iv. Joejo suggested that maybe we can get stuff donated to HaSEAAC
1. Problem is there’s no storage space

Tutor/Mentoring Program Update –Mya
A. Survey Results: Not much responded  Only got 5 responders
i. All 5 knows about the TLC but does not utilize it
ii. 3 out of the 5 responders are looking to be tutor and mentor
B. Mya will resend the survey in the beginning of the semester hoping for more
responses
C. Why aren’t students utilizing the TLC if they know about it?
i. Time consuming
ii. Maybe dependent on their friend(s) to help them
iii. It’s intimidating
iv. Already tried and it did not work out

Tutor/Mentor Hours:
i. ideal plan was to have this be very flexible with no set time so anyone
can come and go at any time
ii. The responders wants to have set time/hour
iii. Tutees and Mentees can also work out a schedule and time with their
tutors and mentors
1. Weekend hours?
iv. Will wait for more responds in the fall to determine and set time
The interested tutors and mentors have either never tutor anyone on campus
before or had no previous experience
i. How to prepare them?
1. Get tips from Laurie
2. Ask Toni Sage to help
3. Have Sue do a presentation
4. See if we can get the interested tutors into the TLC training
program
ii. We want to have the tutor/mentor be as fully prepared as they can be
Will give out a half sheet survey on the first meeting to see if the members
would be interested in either getting tutor on specific class, or just useful study
skills, or both
Decorations on Window and Office
i. Have picture of tutors on the window with the listed class that they are
tutoring
ii. This way it will be more inviting and the members can choose who they
want to ask for help from
President’s Volunteer Service Award (PVSA)- Sue
A. What is it?
i. A program where you log in your volunteer hours
ii. Have a certain amount of hours and you get a pin and a letter signed by
the President
iii. Sue will keep track of hours
1. Let her know about the event
2. Keep track of date, hours, and participants
B. What activity will count towards this?
i. Any activity that is strictly volunteering such as M.A.D.D, I-Dinner
Performance, StWEA Reading, College Tour for Kids, and more
ii. If you are unsure if the activity will count, please ask Sue

Possible 2013 Dinner Dates
A. Mai Chue to do reservation at the earliest convenience for these three dates to
see which one will be open

VII.
Webmaster- Joejo
A. HaSEAAC’s website is under maintenance for right now
B. Joejo wants all officers to have a head shot picture on the website with some
information such as: Name, title, major & minor, and year
C. She will send out an e-mail to all officers
D. She will link the picture to our Facebook page where they can view our event
photos
E. WHCC Page
i. Post up constitution
ii. Minutes
iii. Ask if previous reps will write a small blurb about WHCC
VIII.
Hmong Documentary
A. Budget total is agreed on for $700 from last spring’s meeting
B. $500 from SGA account
C. Remaining $200 will be from an eggroll fundraiser
IX.
2014 Spring Conference
A. The Hmong Documentary will be presented
B. New Board will work the documentary into the theme
X.
Hmong National Development 2013 (HND)
A. Will be held in Fresno, CA in either March or April
B. Theme: Modern Hmong and Issues in Hmong Communities
i. Ties in perfect with the Hmong Documentary
ii. This will provide an opportunity for the student participants and Dr.
Maysee Herr to have a workshop at HND and talk about the Hmong
Documentary
C. HaSEAAC’s executive board will ask Dr. Maysee Herr and the students to see if
they will be interested in having a workshop for HND
D. Proposal due at the end of September
E. Further discussion will be make after we hear back from Dr. Maysee Herr
XI.
Hootenanny- Fundraiser Opportunity
A. What is it?
i. It’s a free program held every fall at the library with a live band, free
pizza, and root beer
B. Andy, ask if HaSEAAC would like to sell eggrolls there
C. The date for this event is Friday, September 14th
D. The officers are concerned about whether or not are eggrolls will be selling since
they are already giving out free foods
E. Officer decided that we will only do it if they pay for the eggrolls and then just
give them out for free at the event
F. Pachear will email Andy about the proposal
XII.
Member of the Month
A. Will have a box at the meetings where members and officers can vote for who
they thick deserves to be “Member of the Month”
B. There will be 2 members of the month
C. Slip will include a reason why that person is suitable to be Member of the Month
D. The member of the month will be someone who stands out among the rest in
devoting their time to help, volunteer, and participate in HaSEAAC’s events
E. Prizes will be given to the Member of the Month
i. $5 gift certificate to the Brewhaus
ii. Member of the Month Certificate
F. Joejo and Mya suggested to also bring back the suggestion box for HaSEAAC
XIII.
Campus Welcome Picnic at DeBot Field
A. When: Saturday September 1st @ 5:30 PM
B. Pachear will have a booth about HaSEAAC there
C. Anyone who is free on that day is welcome to join and help Pachear out

HaSEAAC will provide pizza, drinks, chips, and s’mores
It will be a Potluck so please bring something to share

Mai Chue to reserve Pray Sim’s basement for the rain site in case of bad weather

Collaboration with Crossover
A. This incoming year we will be working and collaborating more with Crossover
B. Ideas of some of the events
i. Welcome Back Picnic
ii. Soup and Substance
iii. Epic Fortune Cookie Night
iv. Christmas Gift box for overseas children

Color Coded
A. Programed started by Latino Student Union (LSU) President Maira Avila
B. It’s a program gear towards minority women addressing a lot of issues that
minority women are facing.
C. Maira wants all the minority club( HaSEAAC, I-CLUB, BSU) to help promote the
program
D. Basic set-up
i. Once a semester luncheon on a Saturday with a speaker and then a
workshop for the women
ii. It’s an invite only event with limited seating
iii. Further information will be given out once the program starts running

A. Will announce it on the first meeting on Monday, Sept. 10

Officer Retreat on Monday September 3rd, 2012
A. Wear comfortable clothes
B. Time: 12-4 PM
C. Location is TBA; Pachear will send out another e-mail detailing the retreat.
