Working with Graphic Design in OMC 4. The designer will create the design as per agreed brief, ensuring all UQ brand and corporate identity requirements are observed. Sometimes there may be further amendment of the design. October 2013 Please follow this procedure when working with the team to get the best results. This is a general guide – please don’t hesitate to contact the Design Manager Craig Oddy or team at any time if you have questions not covered here. A draft pdf will then be returned to you for detailed checking. If multiple stakeholders need to check/amend the design, it will work best if a single hard copy or one pdf with mark ups is returned to the designer. Lengthy delays at this point will hold up job completion. Steps in Design process 1. Scope and briefing Please send a concise written brief to omcdesign@uq.edu.au. This should include the key points for your item, such as audience, purpose, number of pages, size of item, deadline, style/tone, print and/or electronic, number and type of images, colour preferences etc. A short meeting or phone call may be needed to confirm details. Please use the Design and DTP Briefing Template (download from http://www.uq.edu.au/omc/templates 2. 5. Corrections rounds and approvals Ideally, there should be no more than two to three corrections rounds – one or two for any final content changes, and a final one for minor accuracy and proofreading changes. Your assistance is requested in making this a short, straightforward and costefficient process. Final approval, usually by email, is required from you following completion of all changes. Time and cost estimation 6. The design manager will inform you via email about the designer who has been assigned to your job, a job number, the estimated time of job completion, and a cost estimate for cost recovery work. For minor cost recovery work (i.e. leaflets, A4 flyers, A3 posters, etc), please ensure the estimate is approved by the budget holder and an approval email is sent to us. Work cannot commence without this approval. For major cost recovery work (i.e. brochures, reports, etc), please ensure the estimate is approved by the budget holder and a preliminary RISQ form is sent to us via email. Work cannot commence without this approval. If you prefer, you may source your own print quotes and organise this process independently in line with UQ procurement requirements. In this instance, the designer will provide a print-ready pdf for you to forward on to your selected printer. 7. Note that the provision of high-quality, relevant and engaging images can help to streamline the design process, significantly reduce the overall time that is spent on a job, and result in a more eye-catching final product. Final RISQ Form for cost recovery work For cost recovery work, the designer will supply you with a RISQ form with the final design costs (as costs may vary from the initial estimate). Please arrange for completion of the form and return to us. Client provision of APPROVED raw text and images Please supply APPROVED raw text in full and any proposed high-resolution images. We can help source stock images if needed – these will be charged to you - or you may wish to check UQ Images database and utilise the Lightbox sharing function. Printing quotes If printing is needed, the designer will source quotes in line with University procurement procedures and provide them to you for approval. You will then need to confirm your choice of printer and arrange for an official Purchase Order (PO) to be raised by your Business Unit via UniFi for the printing costs. You will need to provide us with this PO number before we can initiate printing. Your designer will liaise with the selected printer and manage the print process for you. We charge $60 per hour for our work (in-house charge only). 3. Design, layout and return to client for checking 8. Feedback The Design Manager and team value your feedback about the service.
