Graduation Student Planning Guide
Meeting #1: Sept 23rd
1. Discuss Parent Grad Booklet
2. Election of Grad Committees
a) Chairperson: Chantal
- oversee all graduation preparations
- meet with Ms. Schon regularly to communicate updates, problems etc.
b) Treasurer: Susana
- all student expenses are submitted to the treasurer
- authorizes all expenses and submits to Ms. Rist for payment
- keeps expenses within budget range
- keeps detailed records of expenses
- purchases gifts: guest speaker etc.
- submits final statement of expenses to Ms. Schon
- book and pay for rink
c) Photography: Brianne and Lindsay
- liaison with photographer/class
- choose date for casuals (first week in Nov.)
- arrange for necessary rooms etc. (last year it was in Regina but it can be at the school)
- establish sitting times for everyone for casuals and grad day
- get CD with picture of each grad (for paper) and group picture (for invite etc)
- communicate costs/packages etc.

d) Decorating Committee: Jennifer, CoraLea, Paige, Wendy, Alex, Lindsay, Brook, Sara, Susana
- bring 2 or 3 theme suggestions for voting
- bring 2 or 3 quote suggestions for voting
- bring 2 or 3 colour suggestions for voting
- establish a decorating plan
- purchase required supplies
- submit DETAILED plan for hall to Ms. Schon by May 1st
- find rose prices and have picked up on grad day
- design outside of ceremony programs and e-mail to Ms. Schon
e) Tassels: Squidge and LJ
- see Ms. Schon for order form
- distribute order form to grads
- collect order forms and money
- place order and distribute order

g) Invitations: Sara, Jennifer and Alex
- present ideas for voting
- make large foldable invitations: 15 for each grad - max
- print business cards, cut out and number
- guest seating will be done “lottery style”
- business cards will be marked with numbers reserved seating for 20 guests
- other seating will be first come first serve
- distribute to grads prior to Easter (must keep track of # per student for seating plan)
- Allied printers: 522-1681 (for paper) school will do printing
h) Music Committee: Drew, Matt, Dylan and Lucas
- bring 5-10 song suggestions for voting
- 1 theme song (entry) graduate alone
- others can be used for grand march (exit) with escort
- burn CD with O Canada and then 6 tracks of theme song, followed by grand march songs
- communicate with and hire DJ: grant_shaver@hotmail.com phone: 530-2591 ($150 for rink)
i) Grad Write-Ups (for ceremony and paper): Justin
- hand out write up forms
- type write ups for each student and e-mail to Ms. Schon for review
- contact paper and submit cap and gown photos and write ups
j) Slide Show: Izak and Matt
- collect pictures and music selections by January 15th for slide show
- act as liaison for slide show creator
- get CD for each graduate and distribute
h) Special Guests: Landon and Shorty
- create list and distribute invitations to special guests
- See Ms. Schon for last year’s list
i) Videographer: Jacob and Justin
- hire camera person and act as liaison
- distribute DVD’s to graduates
- Hugh McKechnie: 949-2528 ($35..must have a minimum of 10 orders)
k) Ms. Schon’s Jobs
- set date for Jostens rings
- create DVD and CD order form and collect money
- review grad write ups before they are submitted to the paper and submit to memories speakers
- type parent message for ceremony
- type inside ceremony program and copy
- Grade 11’s for rink, clean up, music, slide show operation, ushers, and lighting
- clean up. Grade 11’s only.
- update website for planning and reminders
