Coweta County School System Definitions Red Triangle Tabs The tabs are along the bottom of the worksheet. Each tab represents one student report card. To move from one report card to another, click on the tab. The red triangle indicates that there is a comment relating to that cell. Put your mouse over the cell and the comment is visible. These comments will not print on the report cards. 1. To rename the active sheet, right click on the tab. Then click Rename. 2. Type the new name over the current name. If you don't see the tab you want, click the tab scrolling buttons to display the tab, and then click the tab. Worksheet Drop-Down Arrow The primary document that you use in Excel to store and work with data. Also called a spreadsheet. A worksheet consists of cells that are organized into columns and rows; a worksheet is always stored in a workbook. When you click into a cell that should contain a letter grade, an arrow appears next to the cell. Coweta County School System Elementary Report Cards Instructions The ESOL Report Card is the same as the Report Card. The only difference is there are no numerical grades on the ESOL Report Card. Saving the Report Cards from the Intranet 1. Open the Elementary Curriculum page on the Intranet for your grade level. 2. Right click the Report Card link. 3. From the menu box that opens, select “Save Target As”. 4. Select a location on your hard drive or U: drive on the server to save the file. NOTE: See your ETSS for information on saving to your server folder. 5. Change the name in the File Name box: Example: Waites Report Cards 04-05 6. Open the file from the U: drive or hard drive. NOTE: Use the saved file and not the file directly off of the Intranet. 2. Make sure that Student 1 is the active sheet. To make it active, click on the Student 1 tab. 3. Enter the student name in the Name box. 4. Rename the sheet tab to the student name. You may want to use last name, first name on the tabs. Example: Smith, John HOW 1. 2. 3. 4. TO: Rename a Sheet Right click on the tab that you want to rename. Click RENAME. Type the new name over the current name. Enter. 5. Enter the School, Teacher, and Principal names. These names will be automatically entered on Students 2 – 30 worksheets. Entering Grades The chart below shows the subjects for each grade that receives a numeric grade. All other grades are AC, IP, NE for Kindergarten and S, N, U, \ for first, second, third, fourth, and fifth grades. Only the type of grade required can be entered into the cell. The numerical grades are calculated for you. When you enter the first and second nine weeks grade, the first semester average is calculated for you. When you enter the third and fourth nine weeks grades, the second semester average is calculated. At that time the Yearly average will also be calculated. Completing Non-Numerical Grades When you click in a cell that requires a letter grade, an arrow appears. When you click the arrow, the choices for that cell appear. Click on the appropriate grade, and that letter appears in the cell. To make a change, click in the cell again, the arrow appears and then you can choose the correct grade. 7 For additional information contact Sandra Waites. Coweta County School System If you get the following message, you have entered a non-valid grade for that cell. The cells are restricted so that an incorrect value can not be placed in the cell. Click Retry and enter the correct value. Error Message: The value you entered is not valid. A user has restricted values that can be entered into this cell. Attendance The Days Present shows 45 days. This information can not be edited. When you enter the Days Absent and Days Off Roll, the Days Present will be calculated. The Semester totals and Yearly totals will also be calculated. The space is limited so you may have to abbreviate the subjects. Example: Grades based on modification and/or accommodation if indicated in box. 1st 2nd Lang. Example: Grade Assignment Next Year 1st Teacher Comments The teacher comments are limited by characters. The comments tell you the character limits. Coweta County School System Printing When you complete the report cards, you have three options for printing. All report cards print on an 8.5 x 11 sheet of paper. There is no special paper required to print report cards. Option 1: Only the active report card will print. 1. Select the tab of the report card that you want to print. 2. Click File > Print 3. In the Print window, the Print Range should be ALL. 4. In the Print What window, choose Active Sheet. 5. Click OK. Option 1 Option 2: All report cards for students 1-30 will print. 1. Any report card can be active. 2. Click File > Print. 3. In the Print window, the Print Range should be ALL and the Print What should be Entire Workbook. 4. Click OK. Click File > Print. 3. The Print Range will be Pages 1 - ?. Each student report card prints as a page. If you have 23 student report cards, put 23 in the last page box. 4.
