Submission of Consignment Prints - Procedures
Forthcoming Members’ Consignment Appointments:

Between 10.30am - 12.30pm and 2.00pm - 5.00pm on the following days:
07, 08, 09 August 2012
Unfortunately we can only accommodate you if you have made an appointment on one of these days and
appointments will be given on a first come, first served basis.
If you cannot make any of these appointments then the next submission dates are in January 2013.

Data Protection and Commercial Protection Policy:
In accordance with Edinburgh Printmakers’ policy on data protection and for commercial reasons, Edinburgh
Printmakers reserves the right to keep all customer details confidential.
In the event that Edinburgh Printmakers enters into a sales agreement with a private customer, the customer
details will not be disclosed to the artist.
In the event that Edinburgh Printmakers enters into a sales agreement with a public organisation, collection, or
gallery etc., Edinburgh Printmakers will communicate summary details to the artist for their records so the
information can be included in their biography and on CV's. In the event that Edinburgh Printmakers
communicates back to the artist information relating to the sale of work into a public collection, this is on the strict
understanding that the artist will not misuse the trust that has been extended and attempt to communicate with
the client independently concerning the sale. Edinburgh Printmakers reserves the right to refuse to represent an
artist commercially if they are found to be taking part in any of the following activities:

Whilst exhibiting work at Edinburgh Printmakers in either the browser or gallery, making arrangements
with Edinburgh Printmakers’ customers in the gallery or shop area to sell featured work at a discount
privately.
Having been advised of the details of a representative public collection client, contacting the client
independently for follow up sales activities.

Client Introduction Discount:
If you bring in a new client to the gallery (not already on our mailing list) to look at your stock of prints and they
purchase one or more of these prints then we will offer you a discount on gallery commission of 20% plus VAT
on that commission instead of our usual terms of 40% plus VAT on that commission.
The benefit of this to you is you no longer have to sell to clients privately and you can present yourself to the
client in a professional environment and have the sale supported and processed by Edinburgh Printmakers staff.
All you have to do is advise reception staff that you are making a ‘new client introduction’ sale, either just before
your arranged time to meet your client or at the point of sale. Your discount will be applied at the point of sale
and will show up automatically in your payment advice.
Unframed Stock for the Display Browsers:

We will be concentrating on selecting only RECENT unframed works and will be releasing older work
back to you before we take newer work on consignment. Please feel free to bring in as many new works
as you wish from which we will select new stock. We can’t take work larger than 89 x 138cm or smaller
than 6 x 6cm.
We will ask you to complete and sign a form to release old stock back to you and a consignment form
recording each new print to be signed by yourself and Edinburgh Printmakers. As this takes time please
be prepared for an appointment lasting at least 20 minutes.
We can only accept work on consignment from you if a valid countersigned consignment note has been
completed. Members must agree to leave prints on consignment for a minimum period of 3 months

Framed Stock for the Shop Wall:

We are selecting and accepting RECENT framed works from members to hold in storage for temporary
rotation on the shop walls. Please feel free to bring in a small number of framed works from which we
may select stock for this purpose. We may be releasing older framed work back to you during this
appointment.
We will ask you to complete a consignment form recording each print to be signed by yourself and
Edinburgh Printmakers. As this takes time please be prepared for an appointment lasting at least 20
minutes.
We can only accept work on consignment from you if a valid countersigned consignment note has been
completed. Members must agree to leave prints on consignment for a minimum period of 3 months

Essential Labelling:
As we will have a high volume of appointments over this period we can only accept work if it has been labelled
IN ADVANCE of the appointment with the following information:

Signed, with title and an impression number; this can be written on the front or reverse of the print.
All prints must also be clearly labelled on the reverse in pencil, using block capitals with the
following details:
NAME, TITLE, DATE, EDITION NUMBER, PAPER SIZE and IMAGE SIZE (Sizes to be written with
height first then width and in cm)
We will then add a gallery stock number in pencil on the back to help identify each impression. Please
also make sure that you know how many more impressions from that edition are available so we
can note that information on our database.

NEW!!!!!! Images:

We can only accept new work from members if a digital image is submitted of each print on a CD or
emailed to Sarah at the same time as it is handed in (each image must measure at least 1300 pixels
over the longest boarder. Resolution no lower than 300dpi) email address: gallery@edinburghprintmakers.co.uk (if images are too large to email we advice to use www.wetransfer.com). All images
should be of high quality and reproduce the colour, tone and character of the work as faithfully as
possible. Most images reproduce better when cropped in PHOTOSHOP to remove margins although
this can vary.
We can no longer accept images that are incorrectly labelled. Please make sure that the image filename
is clearly labelled with your name and title of the work and only submit images of works submitted for
consignment, please label file as follows: ‘Surname, First name – Title’.
Artist Information:

If you have not submitted a current biography and artist’s statement within the last 6 months then please
submit this information in digital Microsoft WORD format or SIMPLETEXT on the same CD as the
images (sorry we can only accept digital information) or email it to Sarah, email address:
gallery@edinburgh-printmakers.co.uk.
We can only accept written biographies (not list CV’s), the biography should be no more than 250 words.
The statement should be a general statement about your work (not specific to certain prints) this should
be no more than 350 words. If you would like to see an example of either, please see Sarah.
Condition of Work:

Prints consigned to Edinburgh Printmakers should be in excellent condition, printed straight with clean,
well-proportioned borders and with clean backs. Bleed prints (prints without border) may also be
consigned. We reserve the right not to refuse work if it is poorly printed.
We do not accept work with window mounts.
Gallery Display Browsers:

We may display consignment stock prints in the print browsers. The display of work in browsers is
rotated to reflect the range of work available and in relation to customer demand.
Collection of Prints on Consignment:
-
Please arrange an appointment at least one week in advance, if you wish to uplift your work before the
next arranged hand-in dates.
When you come in, please bring in your consignment note for cross-reference.
If you want your prints returned by post, you will have to cover the costs of postage and packaging.
Unclaimed Consigned Art Work Policy:

Artists must notify Edinburgh Printmakers of any change of contact details. Artists must ensure that their
current postal and digital contact information is up to date and accurate on Edinburgh Printmakers MAIN
ARTIST DATABASE. (Communicating this information to studio staff does not count)
We will notify the artist when work should be uplifted, we cannot be responsible for long-term storage of
unclaimed prints and reserve the right to dispose of works one year after notification to the artist that
uplift of work is required. In the event that it is not possible due to the artist’s failure to notify EP of a
change of current contact details EP reserves the right to dispose of the work through any channel and
at any price.
To be clear about this: In the event that an artist fails to notify Edinburgh Printmakers of their current
contact details, and Edinburgh Printmakers has attempted to contact the artist in writing to advise that
they should uplift work (but the artist is not available at the address that Edinburgh Printmakers holds on
the main artist database), 12 months from the date Edinburgh Printmakers attempted to advise the artist
of the end of the consignment agreement, the outright ownership of the artwork to be uplifted will be
transferred to Edinburgh Printmakers. Thus from this point Edinburgh Printmakers has the automatic
right to dispose of the work through any means. Any financial gain made through the disposal of works
in this category will be used for the charitable purposes of the organisation.
Art Fairs:

We may invite artists to submit work for exhibition at Art fairs. The selection process is entirely
dependent upon the format and content of the Art Fair and relative to customer demand.
Terms:

Normal Commission
40% commission plus VAT for prints and 20% commission plus VAT for frames
Corporate Commission (if you want your work to be considered by corporate clients and have not
signed the corporate discount agreement, please ask Sarah for a copy at the time of consignment)
40% commission plus VAT plus 10% discount for prints and 20% commission plus VAT for frames.
New Client Introduction Commission (Valid from Sept 2012)
20% commission plus VAT for prints and 10% commission plus VAT for frames.
Payment:

If want quick secure payment for prints sold, please bring your bank details with you to give to the
finance administrator.
EP will provide the artist with a remittance statement of sales together with payment.
IT IS YOUR RESPONSIBILITY TO KEEP US UPDATED WITH YOUR CURRENT CONTACT DETAILS
AND BANK DETAILS OR PAYMENTS FOR SALE OF YOUR PRINTS CANNOT BE MADE.

All work has been photographed and a digital image is ready to be submitted of each print.
The digital image filename is clearly labelled with the title of the work.

If your contact details have changed please notify the member of staff during your appointment.
