Instructions to produce Payment Summaries in Reckon Accounts
Integrated Payroll
Remember the Payment Summaries must be given to each Employee by 14th July and
the ATO must receive the EMPDUPE file by 14th August.

Check that each employee has all their information entered into their Employee cards.
In particular, their Tax File Number, their Date of Birth and their correct Name &
Address.

Also make sure each Employee has the correct option chosen as their PREFERRED
SEND FORM METHOD (which you will find under the PERSONAL INFO/ADDRESS
AND CONTACT tab in their Employee Card). If you wish to Email them, you must
have the method EMAIL selected; if you wish to PRINT them, you must have the
method PRINT selected or you can choose BOTH and then you can do either.
(NOTE: The method you select here also relates to their Payslips as well as their
Payment Summaries, so if you want to email their Payslips, and print their Payment
Summaries you will need to select BOTH.)

If you have any employees with Fringe Benefits you will need to add in your
calculated REPORTABLE FRINGE BENEFITS amount to the last pay prior to 31 st
March of the financial year. (I have separate instructions for how to calculate and
enter FBT - let me know if you need them)

From REPORTS/EMPLOYEES & PAYROLL, print a PAYROLL TOTALS REPORT.

From the Employees Drop Down list choose, PROCESS PAYMENT SUMMARIES
and select either SELECT PAYMENT SUMMARIES TO PRINT, OR TO EMAIL
depending on which way you would like to send them to your Employees.

Choose the appropriate financial year – ie. 11/12

Choose INB Payment Summaries

Choose SELECT ALL

Choose PREVIEW and carefully review the Payment Summaries. You should
generally check them and also compare them with the PAYROLL TOTALS
REPORT you printed earlier.

Either Email the Payment Summaries or print two copies of them onto plain
A4 paper. Give one page to the employee and keep one page for the employer
records.

From the Employees Drop Down list choose, ATO MAGNETIC MEDIA (EMPDUPE)

Choose the appropriate financial year – ie. 11/12

Choose INB Payment Summaries

Choose SELECT ALL

Select the ELECTRONIC FILE button on the right to create the Empdupe file
that you need to sent to the ATO. Save it somewhere you will find it, with a
name you will recognise. For example you might call it EMPDUPE 2012 and
save it to your Desktop).

Once created you need to burn the file to CD using your using burning
method.

Once the file has been burned, you need to write any 6 digit identifier on the
CD (ie. For my business I might use for example KIS012). This is all you
write on the CD. (Check the file is correctly on the CD before sending it).

You then need to complete the Magnetic Media form (that I have attached to
your email) and also write the same 6 digit Identifier on to this form.

The form and the CD should then be posted to the ATO to the address on the
bottom of the Magnetic Media form.

Attach the PAYROLL TOTALS REPORT to the employers copy of the
Payment Summaries and file for your own records.
