LOCATION: New York, NY DUTIES: The Executive Assistant is responsible for providing full administrative support for the Executive Director and Program Director, as well as general administrative back-up to other staff, as directed. Executive & Administrative Support: Candidate must provide efficient support for Executive and Program Directors, manage information flow, and be a personable and professional voice for the organization. In addition to working closely in sync with the Executive and Program Directors, the successful candidate must have the ability to be diplomatic, discreet, amiable, and professional with colleagues, steering committee members, funders, and other stakeholders. Executive Support Manage the Directors’ schedules to ensure efficient and effective us of their time Coordinate all aspects of Directors’ speaking engagements and meeting travel, including responding to requests, making travel arrangements, and creating itineraries; track receipts and prepare expense reports Draft and proof correspondence as requested Coordinate logistics for outside meetings with partner organizations Manage Executive Director’s office, files, and items requiring signature Update Directors' calendars; relay schedule to staff and media relations Coordinate with other staff and partners all incoming and outgoing communications Screen requests and coordinate logistics for media interviews, events, and appearances Assist Program Director in her work off-site General Administrative Support Draft agenda and take minutes for staff and biannual steering committee meetings Secure location and catering for regular and ad hoc meetings Assist with listserv management and monthly meeting and attendance lists Manage press clippings archive and polling files Provide back-up to Administrative Associate as needed Other tasks as assigned by supervisor Requirements: 2-4 years experience as executive-level assistant or equivalent 2-4 years secretarial experience or equivalent Demonstrated excellence in written, verbal, telephone, and electronic communication skills High level of comfort and skill speaking on behalf of high-profile public figure Excellent organization skills, including but not limited to management of both electronic and paper filing, meeting organization and planning, telephone conferencing, online calendar scheduling, and juggling travel arrangements Ability to exercise independent judgment when appropriate; strong decision-making skills Ability to prioritize work and multi-task in fast-paced, high-pressure environment Ability to interact with all levels of an organization, particularly at senior levels Ability to maintain confidentiality regarding sensitive issues or information Strong PC skills in MS Word, Outlook, Excel, and internet search engines Willingness to work on occasional evenings and weekends Plus factors: facility working with BlackBerry and other office technologies; demonstrated commitment to nonprofit organizations and equality for LGBT persons COMPENSATION: mid-30’s, depending on experience.
