2009 World Jr A Challenge Hosting Guidelines Hockey Canada is now in the process of accepting letters of interest to host the 2009 World Junior A Challenge, an Invitational International Hockey Canada Event, hosted in partnership with Hockey Canada and the Canadian Junior Hockey League. Prior to submitting your letter of interest to host this event, please ensure you have reviewed all the attached hosting guidelines and that you have a strong partnership in place with your provincial hockey branch and Jr A league. The World Junior A Challenge will be comprised of 6 teams in 2 divisions - Canada (East) in one division, Canada (West) in the other division, both Canadian teams will be joined by 4 international teams. The event is scheduled to be held the first week of November 2 - 8, 2009, with a tournament format including a single round robin followed by two (2) semi-final games and two (2) medal games for a total of 13 games. The attached document is an information package for prospective Host Organizing Committees. The packages contains: a draft schedule and an outline of Hockey Canada and Host Organizing Committee responsibilities. This Event is a Hockey Canada event hosted in partnership with a Host Organizing Committee, the Host Junior A League and the Host Branch. The Host Organizing Committee for the World Junior A Challenge will report to a Steering Committee consisting of representatives from Hockey Canada, the Host Provincial Branch Association, and the Host Junior A League. It should be noted that as of this year, Hockey Canada will be open to reviewing the possibility of interested parties hosting the World Jr A Challenge as a two year term. If this is something you wish to pursue please make note of that in your letter of interest. Hosting Standards/Guidelines - Confirm relationship/partnership with Host Provincial Hockey Branch - Confirm relationship/partnership with local Junior A League and Minor Hockey Organization - Confirm main host facility can accommodate a min 1500 fans and 6 teams in dedicated dressing rooms - If using two facilities confirm space is available to accommodate the 6 teams and how the two facilities and groups will work together in hosting a successful World Jr A Challenge - Host committee with strong business ties within your community - Strong volunteer base and past history of hosting successful National and International events - Strong legacy plan for the event and any remaining profits that arise from hosting the event - Financial guarantor – should the event not be profitable, ensuring all bills are paid upon completion of the event - Ability to sell sponsorship and tickets, while respecting Hockey Canada’s Sponsorship exclusivities - Showcase a detailed business plan highlighting the following Organizational mandate and objectives Financial forecast reflecting all potential revenues and expenses, highlighting key targets and a detailed description on how these can be reached. Proposed Host Committee Organizational chart Sponsorship sales plan highlighting key prospects, structure and how goals can be achieved, while maintaining respect of Hockey Canada’s sponsorship guidelines HOCKEY CANADA Host Committee Responsibilities The Host committee is responsible for all the following details specific to hosting the World Jr A Challenge. Upon selection of a suitable host community a hosting contract will need to be signed outlining all details relating to the World Jr A Challenge. This contract will be signed by Host Branch, Host Committee, Canadian Junior Hockey League and Hockey Canada. - Hotel Accommodations for six (6) competing teams, one day prior to their first exhibition game, or two days prior to their first tournament game up until one day following the gold medal game. Accommodations are based on 28 persons per team for international federations, 13 doubles and 2 single rooms per team and 30 per team for Team Canada, 13 doubles and 4 singles rooms per team. - Meals for all 6 teams, based on 3 meals per day plus snacks at practice for non-game day, and 4 meals a day on game days. A separate meal/meeting room should be supplied to each team at their host hotel. - Local transportation to and from the closest airport that accommodates team travel. Each team should have a 56 passenger coach bus and a cargo van for equipment for any airport transfers. - Local transportation to and from practices, games, meals, and any other tournament functions. i.e. school visits, banquets - Team Canada Training Camps – all expenses related to the preparation and selection of Team Canada East and West. Costs include air travel, local travel, apparel, equipment, meals, accommodations, ice time, scouting, staff selection, and parent receptions. Estimated costs to be $110,000.00 - Hotel accommodations for twelve (12) officials, one day prior to competition, departing the day after the final game. Based on 2 single rooms for supervisors, and 5 double rooms for officials. - Meal per diem for all officials for any meals that are not provided by the host committee. Meal per diem is based on $50.00 per day, $10 breakfast, $15 lunch, $25 dinner. - Game Fees for all game officials, based on $120 for referee, and $60 per linesman - All costs associated with off ice officials, time keeper, statistician, scorekeeper, goal judges, PA announcer - Ground transportation for officials and tournament delegates to and from closest airport, including all local travel to and from all tournament related functions, i.e. banquets, games, practices etc. HOCKEY CANADA - All costs associated with arena facilities, including ice time, necessary staffing, security, meeting space, first aid medical, use of score clock, use of video boards, use of electronic signage, installation and removal of event in ice logos, ice preparation and maintenance, and all costs associated with providing a “clean building” Clean Building – ice, boards, and all camera visible signage (as determined by Hockey Canada) need to be free of any sponsor marks unless otherwise agreed upon - Facility needs to meet television standards to ensure ability to host broadcast of gold medal final. Any costs associated with getting the facility up to standards are the responsibility of the host committee - Opportunity for Hockey Canada preferred suppliers to gain access to pouring/serving rights on site in host venues. Molson, Pepsi, Lays, Gatorade, Mars and Aquafina. - Any required signage at secondary facilities, including production, installation and removal costs (e.g. rinkboards, ice logos, banners) - Local marketing, advertising, promotional and public relations budgets - Media and scout services and related expenses - Ceremonies (opening & closing) and hospitality centres, including Gold, Silver, Bronze medallions and player of the game awards - Event administration expenses, including staffing, volunteer costs, offices, supplies and meetings - Event content and cancellation insurance - Team services expenses including providing laundry service, towel service, equipment repair and snacks at practices and games, i.e. bagels, fruit, yogurt, snack bars - Video DVD copy to all teams following each game in tournament competition - All costs associated with Hockey Canada event manager, coordinator media services, and chair of the tournament directorate, this includes being on site for duration of event as well as site visits and exhibition games - Production costs of host committees four (4) rinkboard positions - $500.00 per position - Costs associated with any ancillary events held in conjunction with the 2009 World Jr A Challenge. All ancillary events must respect Hockey Canada sponsorship guidelines HOCKEY CANADA - Provide 200 tickets to Hockey Canada to all tournament games. All tickets should have VIP access. Any unused tickets will be returned to the host committee to be sold on site. - Medical Services need to be provided for all practices and games. This should include a doctor, dentist, physio therapist, and ambulance for all games. An AED machine should also be made available to ice level at all times. Profit Share - Hockey Canada, the Host Organizing Committee and the Canadian Junior Hockey League will share in the net profits equally Host Committee Revenue Opportunities - Ticket Sales Package Sales Individual Game Sales - Event Program Sales - Merchandise Sales – 15% of sales from Hockey Canada’s National merchandiser - Local Event Sponsorships - Government funding and grants - Concession and Beer Sales - Special Events Revenue – banquet, fan fest - 50/50 sales - Silent Auction – other fundraising initiatives - Other revenue as outlined by host committee and agreed upon by Hockey Canada HOCKEY CANADA Host Branch Financial Responsibilities - Unless otherwise stated the host branch shall guarantee the financial success of the event by ensuring that the Host Organizing committee meets all financial obligations and all creditors of the event have been paid - Any staff support that the host branch determines to provide to the host committee and event - Any additional officials supervisors that are assigned by the branch to oversee the event Hockey Canada Financial Responsibilities - Any additional staff assigned to support the event through the host committee - Printing of the official tournament program – 4 pages of which will be supplied to the host committee at no cost - National Broadcast of the Championship final through TSN - 500 pucks for team gifting and competition - Championship trophy - Athlete and official gifting clothing piece provided by Under Armour - Championship hat and t shirt provided by Under Armour - Gatorade product and supplies for all 6 teams in competition - Hosting Grant of $25,000 to assist with Team Canada East and West costs and servicing NHL scouts and central scouting on site at event - Official event website hosting through Hockey Canada.ca, website url is www.hockeycanada.ca/wjac - Team Canada equipment and jersey’s for both Team Canada East and West - Promotional Banners, event banners, and promotional support where needed and as agreed upon between Hockey Canada and the Host Committee HOCKEY CANADA Hosting Application Process 1. January 20, 2009 Availability of World Jr A Challenge – Hosting Guidelines and Information package 2. February 13, 2009 Interested Host communities submit letter of interest to Hockey Canada. This letter needs to be endorsed by your branch and include involvement from your local Jr A league. Branches may approve more than one interested host community. 3. February 16 – March 6, 2009 Hockey Canada and the Canadian Junior Hockey league to follow up with interested host communities with any potential questions or investigation to ensure all details are in place to assist site selection committee with ultimate decision as to who will host in 2009. At this time if the site selection committee feels that they require more information they have the right to request a more detailed hosting and business plan from any potential host groups 4. March 16-20, 2009 Site Selection committee to forward recommendation to Junior Council for approval. HOCKEY CANADA Any group looking to host the World Junior A Challenge for multiple years should state this in their letter of interest.
