FBAA Leadership Committee Meeting Minutes - 03-23-10

9:05 PM) A. Reid: Hello Everyone

(9:05 PM) Katie: Hello

(9:06 PM) A. Reid: Are we the only two?

(9:06 PM) Katie: I believe Ethelence is here as well

(9:07 PM) A. Reid: Okay, I suppose we should wait a bit for the others. How have you been?

(9:07 PM) eaburto16: Hello :)

(9:07 PM) Katie: Yes. Very exhausted. I have a new job and it's a lot of work.

(9:08 PM) A. Reid: Hey Ethelencie.

(9:08 PM) eaburto16: Hang in there Katie

(9:08 PM) eaburto16: Hi Mr. Reid

(9:08 PM) A. Reid: Jeremie mentioned the job. I hope at least it's an improvement from before.

(9:08 PM) Katie: I will. lol

(9:09 PM) Katie: Yes it's a huge improvement so I don't like to complain lol

(9:12 PM) A. Reid: Hello Jerica.

(9:12 PM) jduverge: Hello. I'm trying to catch up on the conversation

(9:12 PM) Katie: Hey

(9:13 PM) A. Reid: Just small talk...

(9:13 PM) Katie: Veronica is currently at another meeting. Did Jeremie confirm?

(9:14 PM) A. Reid: Jerica, you're here! Now, you're gone...

(9:14 PM) jduverge: Jeremie and claudia did not confirm

(9:14 PM) Katie: Ok, so I guess we can get started.

(9:15 PM) A. Reid: Jeremie said he'd patch in from work.

(9:15 PM) jduverge: oh, well should we wait?

(9:16 PM) A. Reid: Let's start.

(9:16 PM) jduverge: can everyone see the agenda uploaded?

(9:17 PM) A. Reid: Yes

(9:17 PM) eaburto16: yes

(9:17 PM) jduverge: I believe we can type on it, have you tried Ethelence?

(9:17 PM) Katie: Yes. Are there any changes that need to be made to the minutes from the last meeting?

(9:17 PM) jduverge: No changes.

(9:17 PM) A. Reid: No changes

(9:18 PM) jduverge: So approved?

(9:18 PM) Katie: If Ethelence has no changes, the minutes are approved.

(9:18 PM) eaburto16: no changes

(9:19 PM) Katie: Ok. Let's talk about the event at Hurricane Grill. If anyone can give me some details since I missed the last meeting I would greatly appreciate it.

(9:19 PM) jduverge: Mr. Reid would you like to carry on with it, since you have the updates?

(9:20 PM) A. Reid: I met with the manager of the Hurricane Grill today and we are set for two events on Friday 6pm and Monday 3pm. 10% of all sales will go to FBAA.

(9:22 PM) A. Reid: Since Yanelis Lopez originally approached Hurricane regarding tshirt sponsorship. Is it okay for us to give her the commission in the event we raise $50 or more from the restaurant fundraising? I would like your approvals.

(9:23 PM) Katie: You want to give her all the proceeds?

(9:23 PM) eaburto16: can you please not type a lot at once?

(9:24 PM) eaburto16: the scroll bar is not that helpful

(9:24 PM) eaburto16: and the conversation gets cut off. is anyone else having that problem?

(9:24 PM) Katie: No. I can see it all

(9:25 PM) A. Reid: No, only $10 if we earn $50 and $20 if we earn $100. This is what we agreed on for t-shirt sales by San Fran participants.

(9:25 PM) Katie: Oh ok. I approve.

(9:25 PM) jduverge: Yes the scroll bar is a bit weird, if your mouse has a scroll wheel it's easier to manage

(9:25 PM) eaburto16: thanks jerica

(9:25 PM) jduverge: I approve with Yanelis getting the proceeds as proposed

(9:25 PM) A. Reid: Ethelence. It is possible to move the bar up so that more can be seen.

Try that.

(9:26 PM) eaburto16: i did mr. reid but it goes up too much that i miss what you're saying. no worries i got it

(9:27 PM) jduverge: Ok, about the event, do people need to present some kind of coupon?

(9:27 PM) jduverge: Basically, how do people indicate they are attending to support

FBAA?

(9:28 PM) A. Reid: Jeremie is preparing flyers and Yanelis and others are spreading the word in school to visit Hurricane between Friday and Thursday. All they do is drop our name when they order.

(9:29 PM) jduverge: Sounds great. I'll spread the word as well.

(9:29 PM) Katie: Ok. SO the facebook invite has not been sent out yet, correct?

(9:29 PM) Katie: So*

(9:30 PM) A. Reid: Correct. I wanted to wait until I had that meeting. The Facebook event should be up tonight when Jeremie gets the chance.

(9:31 PM) Katie: Ok great. Are we ready to move on the the next topic?

(9:31 PM) jduverge: Yes

(9:32 PM) A. Reid: FSFB...Yes

(9:32 PM) jduverge: Were we able to get any sponsorship or donation from Don Pan?

(9:33 PM) Katie: No, they kept brushing us off and the manager was never available.

You can't really secure donations over the phone.

(9:34 PM) A. Reid: We should have all worked together on this one... A missed opportunity.

(9:35 PM) Katie: It was short notice and work didnt really allow us to stop in the store

(9:36 PM) jduverge: There seem to have been miscommunication or lack thereof

(9:36 PM) jduverge: seemed*

(9:37 PM) Katie: Yes. So this event is on Monday. Have any volunteers confirmed they are attending?

(9:37 PM) A. Reid: I would have been able to stop if necessary. It's near Paul Bell. I think we need to have a sit down on how we should secure donations in the future. I think we can all learn from each other and those (parents) we've work with.

(9:38 PM) A. Reid: Yes, we have confirmed (paid with forms completed) 7 participants -- not including myself and Jeremie.

(9:39 PM) Katie: Great. What is the fee for?

(9:40 PM) jduverge: Speaking of which, I'm not sure how long it takes for the form to arrive, but I mailed mine yesterday.

(9:40 PM) A. Reid: The fee covers the cost of the bus, Don Pan, and the FBAA t-shirt.

Okay, Jerica, that makes 8.

(9:41 PM) Katie: Ok. Therefore, the participants will not be paying anything out of pocket on the day of, right?

(9:42 PM) A. Reid: No, only if they did to join us at Hurricane later for lunch.

(9:43 PM) Katie: Ok. I know there is an event on facebook for this already. Anything else regarding this event?

(9:43 PM) A. Reid: Is anyone else attending from the committee?

(9:43 PM) jduverge: I think that covers everything, I have not further questions.

(9:44 PM) Katie: Actually, did we mention anywhere that the money they pay covers those thingd? I don't remember seeing it. I work that day, so I won't be attending.

(9:45 PM) A. Reid: Yes, at the last meeting at FIU.

(9:45 PM) A. Reid: Next item?

(9:46 PM) Katie: Ok. T-shirts will be ready Thursday

(9:46 PM) jduverge: Just spoke to Claudia, she's not able to join, she's not home.

(9:47 PM) jduverge: Great. Moving on to the first garage sale update.

(9:49 PM) A. Reid: We made a total of $332.32. Half of that went towards the general

San Fran trip fund and the other have was divided among those participants who contributed items to sale.

(9:49 PM) A. Reid: It was fun... :-)

(9:50 PM) jduverge: I look forward to the next one coming up!

(9:50 PM) jduverge: Which brings us to the San Fran updates?

(9:50 PM) A. Reid: Jeremie is taking care of advertising.

(9:51 PM) A. Reid: San Fran Updates...

(9:51 PM) A. Reid: I sent out an email recently that just about covers the updates. Does anyone have questions?

(9:52 PM) jduverge: Yes. Can apply the AAdvantage to get AA miles?

(9:53 PM) Katie: Yes. I got your email.

(9:53 PM) A. Reid: I believe it's only if you yourself purchased the ticket. I'm not really sure.

(9:53 PM) jduverge: Ok I can call, just asking.

(9:53 PM) jduverge: No further questions

(9:55 PM) A. Reid: Regarding San Fran. As stated in the update I sent out. The trip is

$112.76 in the red. It is very likely that FBAA will have to make up some of the short coming of this trip.

(9:56 PM) jduverge: Hopefully the upcoming events will help out for that?

(9:56 PM) Katie: Unless that money is raised at the garage sale after it's divided amongst the participants, correct?

(9:56 PM) A. Reid: Correct.

(9:56 PM) Katie: As well as at Hurricane Grill

(9:56 PM) Katie: Ok. Fingers crossed.

(9:57 PM) Katie: Treasurers report. I think that kind of covered that unless Mr. Reid wants to say something on Claudia's part?

(9:57 PM) A. Reid: Is there a way to share the spreadsheet here?

(9:58 PM) jduverge: I'm not too familiar with the site, it seems that participants can moderate. If so, click on import on the top left

(9:59 PM) jduverge: You should be able to upload it into another page

(9:59 PM) Katie: Are you sure we all have the option to import? I dont see it

(10:00 PM) jduverge: I'm not sure, it was supposed to allow everyone to make changes, but it seems I might have not done it properl

(10:00 PM) jduverge: y*

(10:00 PM) Katie: Lol, you could always email it to us Mr. Reid

(10:01 PM) areid: Ok. It's available from the website.

(10:03 PM) Katie: Ok. Moving on to new business. The second garage sale is this saturday from 8AM-4. Jeremie sent out an email with specifics and some things that are needed.

(10:03 PM) jduverge: I don't recall receiving the email

(10:04 PM) Katie: He sent it about an hour ago

(10:04 PM) jduverge: oh ok then

(10:04 PM) jduverge: Will any of you be able to attend/donate?

(10:05 PM) Katie: I have something I am attending in the morning so I might be able to make it in the afternoon.

(10:05 PM) areid: I'll be there.

(10:06 PM) eaburto16: I have my nephews' birthday parties i have to help set up for and attend

(10:07 PM) Katie: Ok. Everyone look over the email after we're done here to see if you can help out with supplies. FBAA credit cards is next

(10:09 PM) areid: I've been doing some initial research on a possible credit card that may help us save money in the long run.

(10:09 PM) Katie: Which credit card?

(10:10 PM) areid: I was looking at the Plum Card from American Express. This card returns 1.5% of purchases made each month as long as we pay the balance early.

(10:11 PM) areid: https://www217.americanexpress.com/cards/home.do?pmccode=499&intsearchct=3%7C

73f048fbef79cfd41a63261d7a25dcf6#CARDS/499/0/0/-1

(10:12 PM) jduverge: Sounds like a good deal.

(10:12 PM) eaburto16: yep never heard of it before

(10:13 PM) areid: Considering the amount of money we've spent on San Fran ($15,000+) alone this could have meant a significant kick back.

(10:13 PM) Katie: I agree. I think we should all look over this and come back to it at the next meeting when everyone is present.

(10:14 PM) jduverge: I agree with Katie

(10:14 PM) areid: Yes, we need to consider our bank balance and the integrity of the committee in the near future first.

(10:15 PM) Katie: Exactly.

(10:15 PM) areid: Which brings us to FBAA Elections. First of all, who from the present board would like to rerun?

(10:15 PM) jduverge: I would

(10:16 PM) eaburto16: I haven't decided yet

(10:16 PM) Katie: I would, but I want to make sure that I can commit wholeheartedly before I decide for sure

(10:19 PM) areid: I think we decided to wait until after spring break to dive into it. In the meantime I suggest we seek interested, qualified people to run. I don't like this period. It when this fledgling organization is most vulnerable.

(10:21 PM) Katie: Yes. I dont know if you want to make an announcement on facebook about it to help spread the word. We'll wait until the meeting after the trip to discuss it further, I guess.

(10:22 PM) areid: The only other issue I have is the CSO banquet on the 31st. Will we have a representative?

(10:22 PM) jduverge: That sounds good to me.

(10:23 PM) Katie: I won't be able to.

(10:24 PM) areid: Claudia expressed interest but she hasn't confirmed. Ethelencie?

(10:25 PM) eaburto16: No i have class

(10:25 PM) areid: Let's hope she's available. Other issues?

(10:25 PM) Katie: I have none.

(10:26 PM) jduverge: None from my part

(10:26 PM) eaburto16: no

(10:26 PM) areid: If only this connection was faster we'd be done by now.

(10:27 PM) Katie: Next meeting...Sunday, April 11th? Jerica can you send me an email either tonight or tomorrow asking the committee if this date works for them? That way everyone has ample time to let us know if they can make

(10:27 PM) Katie: it*

(10:28 PM) jduverge: No problem, I'll send an email.

(10:28 PM) jduverge: The 11th at noon?

(10:28 PM) Katie: Thank youuu

(10:28 PM) areid: Good night everyone. I hope this was productive?

(10:28 PM) Katie: 2 if possible

(10:29 PM) eaburto16: I'll email you as well about my attendance

(10:29 PM) jduverge: I was going to suggest for the minutes to be forwarded to everyone whenever they are available

(10:29 PM) jduverge: Not just to the members that weren't able to attend*

(10:29 PM) eaburto16: i have no problem with forwarding them to everyone

(10:29 PM) Katie: Yes, please email them to the entire committee. Good night.

(10:29 PM) eaburto16: Will do. Good night.

(10:29 PM) areid: Ethelence, I'll just copy the log for the minutes. You are off the hook this time. Good night

(10:29 PM) eaburto16: what?

(10:30 PM) jduverge: Oh that sounds better, I didn't even think of that.
