TJ HORSEMANSHIP Contact: 717-226-5221 Website: www.tjhorsemanship.com Meet Lashon Bussell-NRCHA/ARCHA Show Secretary Just in case anyone was interested in what goes on behind the scenes as a Show Secretary at our shows, here are a few items that go into being, I hope, a “successful” one. First off, almost as soon as our previous year is completed, the directors have booked our dates for the following show season. This is necessary because while everyone else is preparing for the holidays, I have to complete AQHA applications at least 120 days before each of our shows. The NRCHA applications are completed at least 60 prior to the first show. I’ve been the show secretary for around 8 years. So I’ve developed all the entry forms, tab sheets, and other forms that are needed to run a show smoothly. The days leading up to a show, I have a checklist of all the forms that I need to update for that particular show. Dates and sometimes classes need to be changed and revised. Then I have to make copies of any needed forms, such as entry forms, tab sheets, membership forms, nomination forms, patterns, score sheets, my class log and various reporting forms. I also make copies of articles that may be of interest to our competitors or spectators. About a week before the show, I send an email to the judge with a copy of our showbill, their hotel reservation, and directions from the both the Philly and Allentown airports. As for stall reservations, please get them in to me early in the week leading up to a show. I like to send Whip a list of stalls by Wednesday, so that he has Thursday to prepare the stalls for assignment, since a lot of the riders come in on Friday afternoon. Okay, now this part isn’t really part of being a show secretary! But since I’ve been doing office work for various shows, I bring Cookies!! And since we’ve been doing our own buffet table with Kinda Silly Café, for two to three nights before a show, I’m in the kitchen, cooking and baking! Now pack everything in my truck, get up very early in the morning and head off to the show. Unpack. And set up my portion of the buffet table and, oh yeah, the office! Now the fun begins! Please get your entries in early. All my paperwork is manual, so I need as much time as possible to put entries onto my class log sheet, and tab sheets. For the first show of the year, I need copies of everyone’s horse’s registration papers and all your memberships, both AQHA and NRCHA. Even if you are not planning on showing in NRCHA or AQHA classes, by having copies of everything on file, then if you do decide to ride in those classes later in the year, I will already have the information I’ll need to fill out post show paperwork. As you know, several NRCHA and AQHA classes run concurrently. I devised two forms to help me with this. One helps me do the ride draw, by listing a horse/rider combination and all the classes that combination is entered into. My favorite time was when Meg and Dick rode their own horses in the NRCHA and then each other’s horses in the AQHA classes, concurrently. I had to make sure that horses and/or riders were spaced apart in the ride draw! My second form helps Joanne and the judge know which horse/rider is in which class, so that the placings are easier to determine. Several judges have commented that this form is very helpful to them. The ride draw is posted for the first couple classes. While those classes are in progress, I’m busy doing the rest of the ride draws, tabbing entries, stalls, memberships, etc. onto each person’s tab sheet, doing paybacks, and answering questions (my favorite one…..”How many more until I ride?”) Saturday’s show is finished! Now it’s check into my hotel room, eat my Subway sandwich and begin balancing the day’s entries. I try to make sure that all the entries are tabbed properly, all the day’s paybacks are tabbed, and all the entries are logged on my class sheet for Sunday. I make notes regarding any questions I need to ask on Sunday. I also begin filling out my end of show paperwork for AQHA and NRCHA. While doing the AQHA roster, this is where I find out if I need membership numbers or registration papers. If I don’t have that information on my spreadsheet, then I make a note to ask for it on Sunday. For NRCHA, I begin filling out their end of show paperwork, which is about 5 pages of different evaluations forms that need to be signed by either the judge or the show’s NRCHA representative . All this takes 3 to 4 hours. Then beddy-bye time! (continued) (Lashon Bussell Continued) Sunday morning! Everything starts all over! Along with all the previous day’s procedures, now I have people checking out to go home and Green Rider/Horse high score awards to tabulate. I also have to finish filling out more of the end of show forms. When the show is finished, I need to have the NRCHA rep fill out their evaluation form. The judge has several evaluation forms to sign, along with any and all judge’s score sheets and cards. After everyone has paid their tabs, and we’ve paid the judge, Willow Brook and all our other personnel, it’s time to pack up and go home! The show may be over for everyone else, but I still have to send results and reports to AQHA, NRCHA and ARCHA. AQHA is first up. I have to have the results to AQHA within 7 days of show. Hopefully, I have all the correct memberships and registration numbers. If anything is incorrect or memberships are expired, I’ll receive a fine from AQHA. NRCHA results need to be sent into their office within 2 weeks to avoid a fine. Again this is why I need registration papers on all horses. I must submit all entries in every class for all NRCHA classes. Beside scores and money won, I have to list owner and their membership number, rider and their membership number, and the horse’s registration number, sire and dam. That’s around 25 to 30 class results. I used to have to handwrite all this but thankfully, now it’s on an Excel spreadsheet, and I can cut and paste a lot of the names and numbers. Next I scan all the judge’s score sheets and save the PDF’s to send to Debbie to post to the website. All the original score sheets, along with all the signed evaluation forms, results sheets and a check for the NRCHA office fees are mailed to NRCHA. A second copy of everything is sent to Tom for ARCHA records and year-end points. I also go through all the tab sheets to balance the numbers with total number of show entries, stalls, work sessions, jackpots, memberships, etc. I make notes for adjustment to be made at the following show for any corrections. Finally, everything is finished, all results have been mailed to their respective associations, and I can pack up that show’s paperwork for back-up if there are any questions later. So there it is in a nutshell, my self-imposed duties as a show secretary! Now you know why I have a bottle of Excedrin on my table! Vaccinations are typically a spring topic, but it’s time to think about how we want to protect our horses for the next competition year. As a starting point, the veterinary industry recognizes four core vaccines that every horse should receive. The first of these is the rabies vaccine. A horse is generally infected with rabies after being bitten by an animal—usually a raccoon, fox, or bat—that is carrying the rabies virus. Although incidence is uncommon, the virus causes a fatal brain infection and the risk is such that every horse should receive a yearly rabies vaccine. The second core vaccine addresses tetanus, for which all horses are at risk. The causative clostridium bacteria are present in soil, and horses are particularly susceptible to these bacteria. Any surgery or wound, even if superficial, should dictate a booster if the last vaccine was over six months ago. Otherwise, yearly boosters are given. The third core vaccine is for West Nile Virus. Since 1999, 25,000 cases have been reported among horses in the United States, with a fatality rate at around 33%. West Nile virus is transmitted to horses by infected mosquitoes, and it can be fatal if it compromises the central nervous system. Yearly vaccination is recommended, unless a regional outbreak requires more immunity. The last core vaccine is a combination of Eastern and Western encephalitis. Once again, horses are infected by mosquitoes carrying the encephalitis viruses and the disease infects the nervous system. Both Eastern and Western encephalitis can be fatal. Horses should receive yearly vaccinations; however, biannual vaccinations are recommended in heavy mosquito areas. Other available vaccines may be indicated for certain horses. Factors such as region, disease risk, and age may dictate the use of the following vaccines: Anthrax – may be recommended regionally Botulism – for foals Equine herpesvirus – This is a respiratory virus, but a recent genetic variant is associated with the neurologic disease that has struck several horse shows. Our show horses should receive this vaccine twice yearly for the respiratory disease, but the vaccine does not appear to stop the neurologic form. Viral arteritis – for breeding horses Equine influenza – Comparable to the influenza virus that affects humans, this is a highly contagious respiratory disease. Our show horses should be vaccinated against it twice a year for protection. Potomac Horse Fever – Spread by mayflies, PHF is a rickettsial bacterial infection, and vaccination may be indicated regionally. Snake bite vaccine – This is available in the western states, where rattlesnake exposure exists. Strangles vaccine – This is available to use in the face of an outbreak, but there is great danger of adverse effects, which needs to be taken into consideration.
