• All participants should be familiar with the requirements and the
topics to be covered;
• The workshop scribe is responsible for documenting the parking lot
issues and follow up questions;
• The workshop facilitators are responsible for keeping the discussion
centered on the topic being discussed. If an issue is determined
that cannot be resolved during the workshop, the facilitator will
note the issue for future resolution and enter it into the workshop
output document; and

Answer: Internal number range delimits the generation of employee numbers.
Question: Do employees keep the same personnel number if they move to a different org?
Answer: Yes, the same number is kept throughout the lifetime of their record in the system.
Question: Is there a comprehensive cheat sheet of infotypes and shortcuts?
Answer: Talk to Derick afterwards.
Question: Can PA70 be used to reclassify job?
Answer: Not in this case, PA70 is only applicable to personnel administration.
Question: Has anyone mapped the data elements of SPAHRS to SAP?
Answer: Yes, but that’s not what we may be sticking with for org structures. It depends on further
discovery from the requirements gathering process with the client.
Question: On the pay types (hourly) if an employee is monthly the current system converts it to
hourly...will that be a problem going forward?
Answer: The system calculates the hourly rate so it should not be a problem. If you work less than
the specified work schedule it will pay you accordingly (could be based on %). This topic was
suggested for further discussion in payroll workshop.
Question: Why do you have a Master Agency?
Answer: Master agencies have authorization over their sub-agency for the purpose of reporting,
not so much for enforcement of standards. Sub agencies are fairly disparate from one another in
policy enforcement. Master Agencies exist possibly because of consolidated information needs.
Question: What are your thoughts on a personnel area and sub area?
Answer: Dept of Mental Health -> Bureau Mental Health (agency) - > Hospital; facility (sub
agency). Rules are applied uniformly across sub agencies. There is small variance, but not much.

Question: Are personnel areas related to the org structure or are they just relevant to payroll?
Answer: Right now there is indirect link to org structure.
Question: What determines SPB oversight of your agency?
Answer: Statutes
Question: Do you do reporting by agency?
Answer: Sometimes
Question: Are overtime rules shared or by agency?
Answer: These rules are shared across agencies...but specific to employee type and eligibility. Set
rule by type of employee vs. an agency specific rule.
Question: If agencies are specified as personnel subareas, what would go above them?
Answer: SPB, non-SPB agency, not SPB relevant.
Question: If agencies are defined as personnel areas, what would then be the subareas?
Answer: Sub-agency.
Question: Would FSLA level status groups be considered like an agency when grouping by
personnel area or sub area?
Answer: To be determined
Question: Are contract workers considered in a head count report?
Answer: Sometimes they are, but not most of the time. Unemployment and worker’s compensation
account for contract workers.
Question: How does pay frequency relate to workers that get paid in a repeated (hourly, daily,
weekly) lump sum type payment?
Answer: That can be specified on IT0014 (recurring payments).
Question: If an employee is active does that mean they are active within the State of Mississippi
and what happens if they transfer?
Answer: Yes, and they will remain active as a state employee during the transfer.
Question: In regards to personnel data, can non-required addresses be updated by employee?
Answer: Yes, the employee can and should be responsible for entering their data via ESS.
Question: Can data about employees be imported from legacy systems?
Answer: Yes, through an interface to the legacy system.
Question: Is EEO info captured somewhere?
Answer: Yes, it’s coming from infotype(s) 0077 + 0002.
Question: Can we put beneficiary information into the system for people without computers?

Answer: Yes, there are two ways to do it: 1) The employee’s manager can do it via MSS in ESS,
2) The employee can have an HR rep enter it in for them.
Question: How could the system keep up with physical fitness requirements required for some
employees job type?
Answer: It could be set as a qualification.
Question: Is the 0046 infotype capturing pension plan info?
Answer: That’s more of a benefits issue.
Question: If I leave one agency one day and start work at another agency the next day, how would
you go about that termination?
Answer: You wouldn’t terminate under that circumstance, you would perform a transfer.
Question: Can we clarify unoccupied vs vacant position?
Answer: A position marked as vacant flags for recruitment and demands a new employee.
Unoccupied means that the relationship between the holder of the position is nullified, in essence,
the position is on hold and can be edited at that time.
Question: Abolished positions happen due to lack of funding or smaller allocation of PINs. How do
you handle abolished positions?
Answer: We would immediately delimit that position (PIN) every time.
Question: Can someone down the approval chain of a form see original data after it has been
changed mid-stream?
Answer: It depends on your role. If you have authorization to see that original employee data then
you can.
Question: We have employees that have several fund sources, would we be able to keep that on
their time sheet?
Answer: Yes.
