Greater Burnside Business Association Administrative Assistant (Part‐Time – 25 hours/month) Job Description The Greater Burnside Business Association (GBBA) is a volunteer organization that promotes, supports, and advocates for businesses and organizations within Burnside Business Park, one of Canada’s largest industrial parks and a major economic driver of the Halifax Regional Municipality. Under the guidance of the Board Chair, the successful applicant will be responsible for providing administration services to the Chair as well as the Volunteer Board as required. This position requires an organized team player who can multi task, prioritize and work for several team leaders at the same time. The successful applicant must be able to work unsupervised on a dedicated part‐time schedule from home or some other suitable location. A laptop computer, cell phone and meeting tape recorder are provided. Duties & Responsibilities: Board of Directors Meeting – Administrative Duties (approx. 6 hours/month) – Meeting held first Thursday of every month 7:30 – 9:30 a.m. in Burnside  Develop templates for agenda, minutes, committee reports, invoicing and other internal documents as required  Notify Board Members through Outlook about upcoming meetings and track RSVP  Prepare and Distribute monthly board meeting agenda and minutes  Attend meetings to take minutes at meeting, transcribe and distribute draft to Board Members  Maintain contact with Board Members, through email and phone, and assist as necessary with their activities Monthly Network Events – Administrative Duties (approx. 8 hours/month) – Meeting held 3rd week of month for 3 hours. Meeting time, date and location within Burnside vary.  Distribute notification for general meeting to mailing list  Coordinate RSVPs and regularly relay information to Board Chairperson and Events Chair  Print new badges and maintain organized system for current and past event badges  Arrive one hour early on event day to set up information table and displays (put out name badges, get cash box, set up ballot boxes)  Assist Events committee members as required Membership (approx. 4 hours/month)  Assist Membership Chair with September Membership Campaign  Manage renewals, new member packages and updating Proprietary and External Databases  Assist Marketing and Membership Chairs with identifying and contacting potential members General Correspondence (approx. 2 hours/month)  Review incoming email and voice mail in a timely manner and distribute appropriately to committee chairs and Board as required  Collect and review mail regularly Website Updates (approx. 2 hours/month)  Manage, with the direction of the Communications Chair, www.greaterburnside.com Qualifications:  Grade 12 and business administration diploma from a recognized educational institution or a suitable combination of education and experience  Three years related experience in an administrative position  Website development or maintenance is considered an asset  Proficiency and expertise in the use of current computer technology and related software (i.e. Microsoft Office Suite)  Intermediate level in typing, office management, communication and records management, meeting coordination, drafting documents, etc. Hours of Work: Approximately 20 ‐ 25 hours a month, with the following mandatory times:  Two hours 1st Thursday of every month (except July) from 7:30 – 9:30 a.m.  Three hours on event day – time and date varies within the 3rd week of each month (no meeting in July or August) Location of Work:  Board Meetings and Networking Events are held within Burnside  Administrative and website work can be done at a suitable location of the applicant’s choice Wage:  $17.00 per hour Application Process:  Please send your cover letter and resume only by email to info@greaterburnside.com .
