In Other Words Feminist Community Center Job Title: Lead Staffing Coordinator Position Type: Volunteer Position Reports To: Board/ Financial Personnel Location: 14 NE Killingsworth Ave. PDX Travel Required: No Salary: $0.00 Job Description Role and Responsibilities In Other Words is a non-profit community center in NE Portland. Our Mission is to support, enrich, and empower communities through educational and cultural events, art, and literature. We achieve this by having a bookstore, lending library, consignment program and community events programming. In order to help grow our community center’s vision and community engagement, we are looking for a passionate and qualified individual to serve as our Lead Store Coordinator. The Lead Staffing Coordinator’s role is to oversee staffers’ jobs and accountability, cultivate a supportive feminist mentorship program, promotes our values and mission of IOW with the responsibility to make quick decisions about the day-to-day actions in the store. The Lead Staffing Coordinator will also be responsible for the following: • Coordinate 3 separate volunteer trainings between senior volunteers and new volunteers* • Maintain and coordinate the schedules all staffers and strive to have two staffers on every shift • Oversee internal communications, complaints, issues that staffers may have* • Ensure all staffers are abiding by the IOW policies and oversees absenteeism policy * • Gather job descriptions from other volunteer teams to keep as common knowledge and post job descriptions when needed • Gather individual work team policies and procedure to keep as common knowledge documentation • Create, maintain, and update the Staffing Binder* • Oversight of short-term volunteer projects and internships* • Alternate On-call/Emergency responsibilities with other Lead Coordinators, such as but not limited to, • Shift coverage for scheduled events, scheduled staffing shifts, public outreach, and store emergencies * • Provide excellent mentorship services to staffers and volunteers • Look into offsite trainings that would be useful for board members and volunteers alike* • Attend board meetings and sharing that knowledge with the staffers/volunteers* • Communicate regularly with work teams regarding donations, consignment, books and orders • Listed on the emergency calling list for the alarm company* • Be available to field volunteer and staffer questions when needed • Create weekly staffer emails to keep everyone up to date on what is happening in the store • Implement punch in and out procedures to help in grant reporting* • Maintain the scheduling@inotherwords.org email account • Attend weekly or bi-weekly Lead Coordinator meetings with the other Lead Coordinators, in which, as a group the Coordinators are specifically responsible for, but not limited to, * • The creation and management of centralized documentation and knowledge base • The creation of a action plan to cultivate a cohesive mentorship process for IOW volunteers * denotes in-store presence needed to fulfill these responsibilities Qualifications and Education Requirements • Interest in being at part of a large feminist community • A dedication to the IOW mission and values • Excellent leadership skills • Professional and friendly communication skills; in person, on the phone, and through emails • Goal oriented with excellent attention to detail • An In Other Words volunteer who has been with the organization at least 3 months required unless not feasible. • The ability to multi-task and prioritize assigned work • Self motivated, solution orientated • Professional demeanor in an office environment • Must be able to attend all Board Meetings or other meetings when required • Must be have the ability to cover any shifts when needed and be able to be connected when needed. • This person should expect to be in the store for staffing, meetings, events and such between 2 to 4 times a week 1 In Other Words Feminist Community Center Application Process If you are interested in applying for this volunteer position please submit your resume with 3 references and a cover letter showcasing why you feel like you are a good candidate for this position to humanresources@inotherwords.org by 5:00pm on July 5th, 2013.
