BCAP Summer Camp 2015
How to Apply for Financial Aid
Thank you for your interest in BCAP Summer Camp! We are happy to offer
50% of our families with financial aid on a sliding scale. Please take a
moment to carefully read these instructions. Spots in camp are reserved
on a first come, first served basis once ALL steps below are complete.
Spots are limited and camp fills up by April, so don’t delay!
SEVEN EASY STEPS
1) MAKE AN ACCOUNT
Click the green “Register Now” button on our website: www.bklynlibrary.org/bcap/register. This will take you
to UltraCamp, where you will create an account. (If you already have an account with BCAP, just log on.)
2) START YOUR APPLICATION
After you have completed the basic contact information, click “Register for Camp +/or Apply for Financial Aid.”
Select “BCAP Summer Camp 2015 with Financial Aid” and select ONE two-week session you would like to
apply for. Check your email for a confirmation that we have received your application request.
3) COMPLETE ALL ONLINE DOCUMENTS
UltraCamp will lead you through a series of online documents you need to fill out for each child. Please
complete the forms thoroughly and accurately. If UltraCamp doesn’t take you directly to these forms, click
your child’s name, then click “My Documents”. Click, complete, and SAVE each one! If you are returning from
last year, you must still SAVE each document to show that it has been updated for 2015.
4) SEND PROOF OF INCOME DOCUMENT
Send the first page of your 2014 federal income tax form 1040, which lists your gross income and number of
household dependents. Email is preferred, but you can also fax, mail, or drop off a copy. See the list below of
alternate documents if your 2014 taxes are not available.

If your 2014 taxes are not complete:
2013 federal income tax form 1040 will be accepted
as a temporary placeholder until you can send the 2014.
If you do not file taxes, please send one or more of the documents below:
Benefits/Award Letter for Public Assistance, Social Security, Unemployment, Disability, or Child Support
*We cannot accept W-2’s or pay stubs.

5) WE WILL CONTACT YOU WITH AN AWARD OFFER
Upon completion of steps 1-4, a BCAP representative will calculate your award offer and email you within 2
business days. If you don’t receive an email, please give us a call to check in.
6) ACCEPT OR DECLINE THE AWARD
Reply to the email to accept or decline the award. Once we receive this, we will put the balance on your
account so you can pay the deposit.
7) PAY THE DEPOSIT
Log on to your account and pay the $50 deposit online within 48 hours*. Checks or money orders made out to
“Brooklyn Public Library” will also be accepted. (No cash.) ONCE YOUR DEPOSIT IS PAID WE WILL RESERVE
YOUR SPOT IN CAMP! Please check for an email confirmation, and mark the camp dates in your calendar.
We will be sending your Family Handbook on June 1st, with all the details you need to know about camp! *Call
us if you need a short extension to pay the deposit.
8) FINAL STEPS: Send in your Physician Exam & Immunization Record, complete any final payments, and make
any final changes to your online documents no later than June 1st.
IMPORTANT NOTES
 EMAIL: Check your email immediately for a confirmation after you apply. If you do not see it,
check your junk mail. If you still do not see it, please call us. Be sure to check your email
regularly for important updates leading up to camp.
 APPLICATION DEADLINE: Camp typically fills up by mid-April, and spots are reserved on a first
come, first served basis once steps 1-7 above are complete. Please complete ALL of these
steps in a timely fashion so that we may offer you a spot in camp before it’s full!
 PHYSICIAN EXAM & IMMUNIZATION RECORD and FINAL PAYMENTS due JUNE 1st
Physician Exam & Immunization Record: Please email a copy of your child’s annual school
physical and immunization record. It must be less than a year old at the time of camp. If your
doctor doesn’t have a form, you can download a blank one on your child’s account under “My
Documents.” Final payments and any changes to your online documents are also due June 1 st.

Office Drop-Off: Enter the Library through the side, “Children’s Library” entrance on
Eastern Parkway. Just inside the door, take a sharp left and go through the door
marked with a BCAP sign. Come up the stairs and knock on the office door. If you’re
lost, go to the Youth Wing desk and ask them to call Erin Shaw, BCAP Director.
