ARTICLE I – NAME Section 1: Title The name of the group is Tonal Recall.
ARTICLE II – PURPOSE The purpose of this club is to provide a fun atmosphere through which co-ed members
can enhance their musical abilities and entertain the Berklee community through at least
two annual concerts.
ARTICLE III – MEMBERSHIP Section 1: Active Members Active membership is open to all Berklee College of Music students with the right to vote and hold office. Members are selected through audition only. The Director determines and oversees the audition process, but final decisions are made by majority vote among all group members.
Section 2: Associate Members Associate membership is open to faculty and interested people outside the College setting. For example, students from Boston Architectural Center, Boston Conservatory, Emerson College, Massachusetts College of Art, and School of the Museum of Fine Arts. They may not vote or hold office. Section 3: Alumni Members Alumni membership is open to former Berklee students who were members of the club; they may not vote or hold office. Section 4: Membership Rules of Order Members must be open minded, willing to learn, committed to the group, have an enthusiasm for creating a successful musical experience, and a general interest in a cappella music. Members are required to be positive members of the group and state outright that they will participate to the best of their abilities in order to make the group the best possible. Berklee College of Music student clubs shall not deny membership to any student on the basis of race, age, color, religion, national origin, gender, disability, sexual orientation, veteran status or disability. Section 5: Duties of Members Members are required to attend all meetings, unless specifically providing an adequate excuse. Members may miss up to 4 rehearsals each semester, only 1 of which may be considered unexcused. The following qualify as excused absences: contagious illness, death in the family, out of town, or pertinent personal issues. A member must notify the President at least 4 hours prior to rehearsal in order to have an absence count as excused. The only exception to this rule is in the case of severe illness or emergency situations. In the case that a member has 3 unexcused absences over the course of one semester, the Executive Board will examine the person in question’s membership and dedication. A total of 4 or more unexcused absences is considered excessive absence, and may be grounds for suspension or loss of membership. Members are required to attend every performance unless an excuse is given at least one week prior to the performance. Attendance at both annual concerts is mandatory. A concert absence may be grounds for suspension or loss of membership. See Section 7. Members are also expected to participate fully in every meeting. Excessive phone usage may be grounds for suspension or loss of membership. Members are allowed to run for board positions once per year, with no restrictions. Section 6: There are no membership dues. Section 7: Removal of Members If a member is confronted by the Executive Board and told that their membership is in jeopardy, first a written warning will be issued. If the problem persists twice more (absences, phone usage, etc.) the board will issue a hearing with the member, outside of regular rehearsal meetings. The member has the right to speak on his/her behalf, and has the right to an appeal. If the Executive Board sees fit, the member will be removed from the group for the rest of the semester. It is up to both parties to decide if the member should be able to re-­‐audition for the group in following semesters.
ARTICLE IV. – ELECTED OFFICERS Section 1: Officers The group will consist of the following 6 officer positions: President Director Assistant Director Publicity Chair Social Chair Treasurer This Executive Board will consist of only active Berklee student members. Each officer must have been in the group for at least one semester before running for executive membership. Section 2: Duties of Officers President: The President is the main contact person for the organization. The President’s
duties include but are not limited to: finding performance opportunities for the group,
seeing that all delegated tasks are completed, taking attendance at rehearsals, overseeing
elections, directing communication within the group via phone and email, finding and
reserving rehearsal space and concert venues, ensuring that the appropriate equipment is
provided for performances, purchasing arrangements, and maintaining a relationship with
the Student Activities Center. The President will also oversee the duties of the Treasurer,
Publicity Chair, and Social Chair, and provide advice and feedback when needed.
Director: The Director’s duties include but are not limited to: running rehearsals,
overseeing auditions, rehearsing music, knowing each arrangement thoroughly, granting
final approval on all arrangements, and providing suggestions for changing arrangements.
Assistant Director: The Assistant Director works in sync with the Director, sharing ideas
and assisting the Director with necessary tasks. The Assistant Director should be able to
confidently lead sectional rehearsals, and in the case that the Director is absent, will lead
rehearsals.
Publicity Chair: The Publicity Chair is responsible for publicizing all events (including
auditions, performances, and concerts) through making, copying, and distributing flyers,
in addition to posters. The Publicity Chair is also responsible for publicity at events such
as the Organization Fair. Lastly, the Publicity Chair is in charge of maintaining the
group’s social media including: the group’s website, Twitter account, Facebook account,
and YouTube account.
Social Chair: The Social Chair is responsible for planning and executing social events for
group members throughout the semester in order to build morale and friendship within
the group.
Treasurer: The Treasurer must work in tandem with the Student Activities Center in order
to keep track of the group’s finances. The Treasurer is in charge of turning in all receipts
incurred by the group to the Student Activities Center.
Section 3: Election of Officers Elections for Executive Board membership will be held at a regular meeting the week before Thanksgiving break. The President will oversee elections, with the exception of positions for which the President is running, in which case the Director will oversee. Members interested in running for an officer position should prepare a brief explanation of why they want to run and why they would be the best candidate. When all candidates have given their speeches, they will leave the room and the current President will lead the rest of the group in a showing of hands to determine the winner. Majority vote will determine the winner. In the case of a tie, the Executive Board’s vote will break the tie. Length of office is two semesters in a row, with no limit to how many terms one can hold while a member of the group. Board turnover should take place before winter break. Section 4: Removal of Officers If an executive member is subject to removal for discipline or lack of performance, first a written warning will be issued. If the problem persists for more than 7 days the board will issue a hearing with the member, outside of regular rehearsal meetings. The member has the right to speak on his/her behalf, and has the right to an appeal. If the rest of the Executive Board sees fit, the officer will be removed from the Executive Board for the rest of their term. It is up to both parties to decide if the member should be able to remain in the group as a regular member.
ARTICLE V – MEETINGS Section 1: Business/General Meetings Meetings will take place twice a week for two hours at a time. These rehearsals are mandatory. Meeting times and days will be determined by the President and Director preceding each semester. Around concert times, the President and Director are allowed to implement extra rehearsals. In terms of business/official matters that require every member’s opinion, a majority vote is required to make decisions, determined by a showing of hands.
Section 2: Executive Board Meetings Executive Board meetings will take place at the discretion of the President and Director. The President will arrange the time, place, and agenda for these meetings, however any executive member is able to bring up topics they find important. It is encouraged, though not required, that the Executive Board meet at the beginning of each semester to discuss plans for the group and make sure everyone is on the same page.
ARTICLE VI – ADVISER Section 1: Election Members of the group will recommend candidates for the Advisor position. It is up to both the President and the Advisor to determine the length of the Advisor’s term. Should an Advisor choose to leave their position, elections should be held the week before Thanksgiving. The President should lead the group in a showing of hands to find a majority winner.
Section 2: Qualifications The adviser must be a Berklee faculty/staff member who has an interest in serving as an adviser. Both the faculty/staff member and the club members can mutually determine the level of involvement of the adviser. Section 3: Duties The Advisor must have an interest in the group and wish to see it succeed. There are no required duties of the Advisor but they are always welcome to attend any/all rehearsals, performances, and concerts. It is recommended but not required that the Advisor attend the Executive Board meetings. The adviser may not vote but can offer advice to the club. ARTICLE VII – AMENDMENTS This constitution may be amended at any regular business/general meeting of the club by two-­‐thirds vote of active membership, provided that the amendment has been submitted to the membership in writing at least one week prior to the business meeting. ARTICLE VIII – ACCOUNTING AND FINANCES Sections of financial structure include your preferred method of record keeping within the club, authorizations to use funds from the SAC, compliance with Berklee policy and state law on appropriate use of funds, etc. The treasurer will be in charge of managing the group’s finances and keeping in contact with the Student Activities Center to make sure everything is taken care of. The college will audit Berklee Clubs at least once a semester and more often if necessary. Club members, including officers, are NOT empowered to sign contracts, or enter into agreements, orally or in writing on behalf of Berklee College of Music. All contracts or relationships that will results in payment must be pre-­‐approved by the Student Activities Center. ARTICLE VI – BYLAWS Bylaws may be altered at any regular business/general meeting of the club by majority vote of active membership, provided that the amendment has been submitted to the membership in writing at least one week prior to the business meeting.
